Onboarding and offboarding

Getting started
Clients are onboarded using a structured delivery approach covering discovery, design, implementation, and transition to business-as-usual. During discovery, priority business processes, user roles, and success measures are agreed. Design and implementation activities include configuration of WalkMe DAP in-application guidance, workflow automation, analytics, and WalkMe Learning Arc role-based learning journeys aligned to agreed processes.

Knowledge transfer is embedded throughout delivery to ensure client teams can independently manage, maintain, and extend the service. This includes walkthroughs of platform configuration, content lifecycle management, governance, and reporting. Optional administrator and builder training can be provided, covering best practices for creating guidance, maintaining learning paths, and optimising adoption using analytics.

Where required, tailored onboarding documentation, governance playbooks, and operational handover materials can be provided at additional cost. This structured approach enables users to begin using the service quickly while supporting long-term ownership and sustainable adoption.

Availability and resilience

Guaranteed availability
WalkMe guarantees 99.99% uptime for the WalkMe Player, which delivers in-application guidance to end users. The service loads asynchronously, ensuring that even in the unlikely event of WalkMe unavailability, the underlying application remains unaffected. Availability commitments are defined within the customer SLA, and service credits are available where SLA thresholds are not met. WalkMe utilises CDN-based delivery with automated failover to cached content to further enhance resilience.
Approach to resilience
WalkMe is designed for high resilience using a multi-region, multi-availability-zone cloud architecture. Services are deployed across multiple data centres with automated failover. Daily encrypted backups are retained for 30 days, and data is replicated to disaster recovery sites. WalkMe maintains a documented Business Continuity Plan (BCP) and Disaster Recovery (DR) strategy, tested annually. The Recovery Point Objective (RPO) is up to four hours and the Recovery Time Objective (RTO) is up to 24 hours. DR-tests are conducted annually on servers and databases
Outage reporting
WalkMe communicates service incidents and outages through direct customer notifications and support channels. Customers can raise and track incidents via the WalkMe support ticketing system. Incident status, prioritisation, and escalation are managed according to SLA commitments. Major incidents are communicated proactively to affected customers, with post-incident reporting available where required.

Optional IP restrictions or VPN connections can be applied where required by the customer’s security policy.

Note: End users of WalkMe Player (guidance on web pages) do not require authentication.
Access restrictions in management interfaces and support channels
WalkMe restricts access to the Editor and management interfaces using role-based access controls. During setup, roles and permissions are configured according to customer hierarchy, granting only the access required for each function. WalkMe applies least privilege principles, ensuring users can only access relevant parts of the system. Access to support channels requires authentication via the customer’s account, and support staff access is logged. Sensitive actions are limited to authorised personnel. WalkMe’s SaaS infrastructure is hosted on AWS with secure account management, ensuring administrative access is protected by strong authentication measures.

Potential threats are identified via continuous monitoring, internal vulnerability scans, and industry threat intelligence sources. Vulnerabilities are assessed for severity and impact, prioritized using the Common Vulnerability Scoring System (CVSS), and tracked through formal remediation workflows. Patch deployment follows controlled release processes and is verified post-deployment. Weekly scans are conducted using industry-leading tools, including Acunetix, Tenable.io, Fortify on Demand, WhiteSource, and GitLab. Findings and mitigation outcomes are documented and reviewed in periodic security reviews to minimize risk exposure/ensure controls remain effective.

Security events and anomalies are logged and analysed using automated tools and processes. Monitoring covers service availability, access attempts, and infrastructure performance. Alerts are generated for defined thresholds, and incidents are escalated to appropriate response teams. Roles and responsibilities are documented, and response procedures are tested periodically. Monitoring results and incident outcomes are reviewed as part of continuous improvement activities to maintain visibility and rapidly identify compromises or deviations from expected behaviour.
Incident management type
