Onboarding and offboarding
- Getting started
-
Once someone signs up, we typically help them get started with a mix of “try it right away” plus self-serve learning.
Onboarding with Dovetail begins with understanding the organisation’s research processes, data sources and collaboration workflows. Workspaces, projects and user roles are configured to reflect existing structures. The initial setup includes defining permissions, importing existing research files, establishing tagging frameworks and organising research libraries for effective retrieval.
Teams upload or import research artefacts such as interview notes, videos, audio files, transcripts and documents. Training is provided to help users apply tags, create highlights, structure insights and use Dovetail’s thematic analysis tools. Research frameworks, taxonomies or coding structures may be designed during onboarding to ensure consistency across studies.
Pilot projects allow teams to practise uploading data, tagging content, generating insights and sharing outputs with colleagues. Feedback from early use is incorporated to refine workspace structure, tagging conventions and workflow patterns.
Once validated, wider rollout includes onboarding additional teams, standardising templates and establishing processes for ongoing research organisation. Dovetail’s intuitive environment enables rapid adoption, while support resources help teams maintain consistent research practices. - Service documentation

- End-of-contract data extraction
-
At contract end, clients retain full ownership of all research data stored within Dovetail. The platform supports export of notes, transcripts, video and audio files, tags, highlights, insights, taxonomies, project structures and workspace metadata. Exports are provided in formats suitable for storage, analysis or migration to alternative tools.
Clients validate exported datasets to ensure completeness. Where large volumes exist, exports can be delivered incrementally or via automated methods. Once validated, Dovetail removes client data from its environment in accordance with data deletion and retention policies.
Documentation describing workspace structures, tagging sets and metadata organisation can be provided to support re-implementation in other systems. This ensures continuity of research knowledge and traceability of insight sources beyond contract termination. - End-of-contract process
-
The offboarding process begins with formal notice and agreement of timelines, including data export, user account closure and workspace deactivation. Clients identify required datasets, insights and media to be exported. Dovetail assists by providing structured exports, metadata descriptions and guidance to support downstream storage or migration.
During transition, users may continue accessing the platform until exports are fully validated. Once confirmed, user accounts are suspended, and access to projects and workspaces is withdrawn. Integrations with third-party tools are deactivated to prevent additional data flow.
Dovetail then deletes client data from active systems following internal governance and data protection policies. This includes removal of research files, insights, indexes and workspace structures. A completion confirmation can be provided to show that all data has been securely removed.
This process ensures continuity of evidence, transparency of data handling and compliance with organisational governance standards. - Documentation accessibility standard

- Designed for use on mobile devices
- Yes
- Differences between the mobile and desktop service
-
Dovetail can be used on mobile and tablets (like an iPad or Surface), but it won’t work exactly the same as it does on a laptop or desktop. Some workflows are a bit clunky right now - especially highlighting and tagging - so the overall experience may not be the best on mobile/tablet.
Also, Dovetail doesn’t support offline use, so you’ll need an internet connection on mobile too. - Service interface
- Yes
- User support accessibility
- WCAG 2.2 AA
- Description of service interface
-
Dovetail is a web app with a left-nav style interface where you move between core areas like:
Insights (summaries and shareable findings, with AI support)
Channels (ongoing, real-time theme tracking across feedback, with AI-powered analysis)
Chat (beta) (ask questions across your workspace to analyze data and get answers)
Docs (you can build things like “feeds” by adding a search block, filtering it, and pinning it to the top of Home)
There are also account settings pages for things like billing and payment, and general workspace/account configuration - Accessibility standards
- WCAG 2.2 AA
- Accessibility testing
- Specific accessibility testing documentationb is available upon request.
- API
- Yes
- What users can and can't do using the API
-
The Dovetail API lets you extend Dovetail’s functionality beyond what we provide out of the box. Create your own scripts and applications that integrate with Dovetail to automate tasks, extract insights, and manage your data in an efficient manner.
Our API is available on Professional and Enterprise workspaces. Legacy Free, Pro, Personal Pro, Starter, and Team plans must upgrade to a current plan to gain access.
What a user can do (and can’t do) depends on both their plan and their role. In general:
With a Personal API key, you can only query or update data your user account already has access to; anything outside your permissions (or not allowed for your role) won’t be available via the API.
With SCIM, admins can sync identities (create users, update profiles, create groups, deactivate/reactivate users) from an identity provider into Dovetail.
On the Free plan, the workspace is limited to one project; contributors can still add data to the existing project but can’t create additional projects. - API documentation

Scaling
- Independence of resources
- Dovetail requires no client-managed infrastructure and supports export of all research artefacts, enabling migration to alternative tools at any time. Workspaces, coding structures and insights are preserved through structured exports. The platform integrates with commonly used research and productivity tools, ensuring organisations are not dependent on proprietary environments or lock-in.

Availability and resilience
- Guaranteed availability
- Dovetail don't publish specific availability guarantees or SLAs in their documentation. However, they do maintain a status page at https://status.dovetail.com where you can check for any ongoing outages or incidents. You can also subscribe to notifications there to stay informed about any service interruptions.Dovetail SOC 2 Type II audit covers availability as one of the Trust Service Criteria they're assessed against, which demonstrates their commitment to maintaining reliable service.
- Approach to resilience
-
Dovetail's public security info doesn’t spell out specific resiliency architecture or data centre design details (for example, multi-region/active-active setups).
What we can share is that they provide security documentation (including infrastructure and application security, plus data security and privacy) via their Trust Center: https://trust.dovetail.com/. - Outage reporting
-
Outages and incidents are reported on their status page: https://status.dovetailapp.com (you can also use https://status.dovetail.com/).
To stay in the loop, you can subscribe there to get real-time incident and downtime notifications.

- Access restrictions in management interfaces and support channels
-
Access is restricted mainly through workspace roles plus per-folder/project/channel sharing permissions.
In management interfaces (folders, projects, channels), people with Full access can manage settings and who has access; others may only edit, view/comment, or have no access. Permissions can inherit from a folder to projects/channels, and you can further restrict or expand access at the child level. Users always inherit their highest assigned access level.
For support channels: Managers and Contributors can optionally grant our employees temporary workspace access for troubleshooting, and it lasts up to 7 days unless revoked sooner (Viewers can’t grant this). - Access restriction testing frequency

Examples include workflows to:
Detect bug-like language (e.g., “crash”, “error”, “not loading”) and group by symptom.
Flag security-related mentions (privacy, data handling, permission concerns, leak fears) with context.
Watch for crisis keywords (e.g., “outage”, “data loss”, “blocked”) and summarise impact.
