CaptionConnect has a small number of operational constraints that buyers should be aware of:
Planned maintenance windows may occur outside UK business hours. These are rare, communicated in advance, and designed to minimise
Stable internet is required. Poor bandwidth may affect accuracy or latency.
Audio quality dependency: Accuracy may be reduced in environments with low-quality microphones, excessive background noise or unclear speech.
Third-party platform limitations may apply when CaptionConnect is integrated with external systems (e.g., Teams, Zoom, or Cisco WebEx).

Scaling
- Independence of resources
- CaptionConnect is a scalable multi tenant SaaS platform hosted on AWS, designed to maintain consistent performance during high demand. Auto scaling infrastructure and load balancing dynamically increase capacity as usage rises. Each captioning session runs in an isolated processing environment, preventing cross tenant impact. Dedicated resource pools handle real time speech recognition, translation, and transcript generation. AWS regional hosting and edge routing reduce latency globally. The platform is monitored continuously with automated alerts and dashboards. Traffic spikes trigger immediate scaling actions, ensuring high availability, predictable performance, and no degradation caused by other organisations’ activity at all times for every user.

Availability and resilience
- Guaranteed availability
-
Our service is delivered under a defined Service Level Agreement (SLA) that includes availability, support response, and service continuity commitments.
We guarantee 99.9% service availability, measured monthly, excluding scheduled maintenance and events outside our reasonable control (such as upstream internet outages or force majeure).
Availability is continuously monitored, with automated alerting and incident response procedures in place.
If monthly availability falls below the guaranteed level, customers are entitled to service credits applied to their account or future invoices, calculated on a pro-rata basis relative to the duration and severity of the outage. Refunds or credits are issued in accordance with the agreed SLA terms and do not require service termination.
SLA breaches and remediation actions are formally documented and reviewed as part of our ongoing service management and continuous improvement process. - Approach to resilience
-
Our service is designed with resilience as a core principle to ensure availability, data protection, and continuity of operations. The platform is delivered as a cloud-based SaaS solution using a fault-tolerant, multi-tier architecture with no single points of failure.
Application components are deployed across multiple availability zones, enabling automatic failover and service recovery in the event of infrastructure or component failures. Continuous monitoring, automated health checks, and alerting mechanisms support rapid detection and remediation of issues.
Data resilience is achieved through encrypted storage, regular automated backups, and point-in-time recovery. Backups are isolated from production environments and are periodically tested to validate restoration processes.
The service is hosted in enterprise-grade cloud datacentres with physically secure facilities, redundant power, cooling, and network connectivity. Datacentres are geographically separated to reduce the risk of regional disruption and are certified against recognised international security standards, including ISO 27001.
Detailed architectural diagrams, datacentre locations, and disaster recovery metrics (including RPO and RTO) are available on request under appropriate confidentiality arrangements. - Outage reporting

- Protective monitoring approach
- CaptionConnect employs the Sophos MDR Complete Team to oversee real-time security monitoring, enabling the prompt identification of potential compromises. When a compromise is detected, immediate action is taken, and our internal technology team are contacted. If the internal team identifies a security issue, they follow a structured incident response plan, lodging a case with the Sophos MDR Complete Team for remediation and detailed incident reporting. This collaborative approach ensures rapid response to incidents, minimizing risk and maintaining robust security oversight.
- Incident management type
- Supplier-defined controls
- Incident management approach
- CaptionConnect's incident management processes are structured and include pre-defined procedures for common events, guided by an Incident Classification and Severity Matrix that dictates response times based on severity. Users primarily report incidents via the technology department help desk. Incident reports are documented in a centralized Incident Register, maintained by the Technology and Security teams, which includes comprehensive details such as Incident ID, description, actions taken, resolution summary, and lessons learned, and is regularly reviewed by the Senior Information Risk Owner (SIRO) and retained for a minimum of 5 years. Additionally, a Communication Plan ensures internal and external stakeholders are notified.
