- How the web chat support is accessible
-
Our website includes a web-based contact and enquiry facility designed to be accessible to a wide range of users.
The web chat is available via standard web browsers and does not require users to download additional software or create an account. Users can initiate contact using keyboard-only navigation and standard assistive technologies supported by modern browsers, such as screen readers. Text is presented in a clear, readable format with sufficient contrast, and the interface supports browser-level zoom without loss of functionality.
Users can submit written enquiries, request information, and ask for follow-up contact via email or telephone. The web chat does not rely on audio, video, or time-limited interactions, allowing users to engage at their own pace. Messages can be composed, reviewed, and submitted without pressure to respond within a fixed timeframe.
The web chat does not currently support real-time voice input, video communication, or live co-browsing. Automated chatbot responses are limited, and complex clinical or technical queries are escalated to a human responder via email or telephone.
Where required, alternative contact methods (email and phone) are clearly signposted to ensure users can access support in a way that best meets their needs. - Web chat accessibility testing

Onboarding and offboarding
- Getting started
-
We support users to start using the service through a structured onboarding approach combining documentation, training, and ongoing support.
All users are provided with clear written guidance, including a Quick Start Guide (PDF) to support initial setup and use, and a comprehensive Instructions for Use (IFU) document covering system functionality, safety, and operational requirements. These materials are available at service launch and throughout the lifetime of the service.
Initial training is delivered by a named Clinical Success Manager and can be provided either on site or remotely, depending on user preference and service needs. Training is role-appropriate and focuses on system setup, user workflows, and day-to-day operation. Refresher training is available to support staff rotation or service expansion.
Technical onboarding support is available during setup to ensure the service is correctly configured and operational. Where required, on-site technical support can be provided to resolve setup or connectivity issues.
Once live, users have access to ongoing support via phone, email, and web-based channels during support hours. Support covers both clinical usage queries and technical issues. This ensures users can adopt the service quickly and continue to use it effectively without disruption to existing workflows. - Service documentation

- End-of-contract data extraction
-
At the end of the contract, users can request extraction of their service data from Strolll.
Data is made available on request in commonly used, interoperable formats suitable for local storage, analysis, or migration to another system. This typically includes structured data files (for example CSV or equivalent) and supporting documentation where relevant, to ensure the data can be understood and reused by the customer.
Data extraction is coordinated with the customer to confirm scope, format, and secure delivery method. Where required, data can be transferred using secure electronic means agreed with the customer, in line with NHS and information governance expectations.
Strolll does not place restrictions on customers accessing their own data at contract end. Customers retain ownership of their data throughout the contract and following termination.
Once data extraction has been completed and confirmed by the customer, remaining customer data is securely retained or deleted in accordance with contractual terms, data protection requirements, and applicable retention policies.
Support is available during the end-of-contract period to answer questions and ensure data is provided in a usable and timely manner. - End-of-contract process
-
At the end of the contract, access to the Strolll service is ended in line with the agreed contract terms.
Prior to contract termination, customers may request extraction of their service data. Data can be provided in a number of commonly used formats on request, suitable for local storage or migration to another system. The scope, format, and secure method of delivery are agreed with the customer in advance.
The contract price includes use of the software for the agreed term, access to service features, standard support, and end-of-contract data extraction. There are no additional mandatory charges for contract exit or data access.
Any optional services requested outside the standard contract scope (for example, bespoke data formatting or extended support beyond the contract end date) may be subject to additional costs, which would be agreed in advance with the customer.
Following confirmation that data extraction has been completed, customer data is securely retained or deleted in accordance with contractual obligations, data protection legislation, and agreed retention policies.
Support is available during the end-of-contract period to ensure a smooth and orderly service exit. - Documentation accessibility standard

Availability and resilience
- Guaranteed availability

Strolll provides the Software Platform on a best-practice SaaS basis and uses commercially reasonable endeavours to make the service available 24 hours a day, 7 days a week. Availability is subject to two clearly defined exceptions:
Planned maintenance, which is scheduled within a defined maintenance window of 20:00–05:00 (UK time); and
Unscheduled maintenance, where Strolll will use reasonable endeavours to provide at least six Normal Business Hours’ notice wherever possible.
Where the Clinic is unable to use the Strolll Software Platform for more than 48 consecutive hours due to technical issues attributable to Strolll (excluding Clinic or user error), the Clinic is entitled to a time credit. This credit is applied as an extension to the contract term equivalent to the period of downtime, rather than a financial refund.
To qualify, the Clinic must notify Strolll of the issue within five Business Days and provide reasonable cooperation to support resolution. This approach ensures service continuity, proportional remediation, and fairness, while reflecting the clinical and operational context in which the platform is used.
This availability model aligns with standard NHS-facing SaaS practice and prioritises continuity of clinical service over punitive refund mechanisms. - Approach to resilience
