Onboarding and offboarding

Getting started
Guided Setup & Licensing: Administrators assign Google AI Pro for Education licenses to specific users or Organizational Units (OUs) directly via the Google Admin Console.

Policy Configuration: Essential setup includes configuring "Trust Rules" and selectively enabling specific features—like Veo 3.1 and Nano Banana Pro—for different age groups or departments. * Resources: Access to comprehensive AI onboarding materials, including "Prompting Guides" for educators and technical deployment checklists is provided.

End-of-contract data extraction
Data Retention & Continuity: Upon contract expiration, all user-generated content remains secure.

Content Preservation: Any content previously created using AI (such as videos generated by Veo 3.1, documents drafted with Gemini, or meeting transcripts) is retained in Google Drive and remains accessible to the user.

Feature Deactivation: Users immediately lose access to generative capabilities. They will no longer be able to use Nano Banana Pro, Gemini Advanced models, or premium meeting features like translated captions.

NotebookLM: Notebooks that exceed the free tier limits (e.g., source counts) may become read-only until data is exported or the subscription is renewed.
End-of-contract process
Subscription Management: At the end of the term, you have three flexible options:

Renew: Continue the service to maintain access to Veo 3.1 and Nano Banana Pro.

Adjust: Reduce license counts if fewer staff members require advanced AI tools.

Cancel: If not renewed, the AI features are simply disabled. This is a seamless administrative change with no impact on core Google Workspace functionality (Email, Drive, Classroom).

API
Yes
What users can and can't do using the API
API usage for Google AI Pro for Education primarily focuses on license automation and usage reporting.

License Management (Admin SDK): Administrators can utilize the Admin SDK to script the assignment of Google AI Pro licenses. This enables automated provisioning for specific user groups—for example, automatically assigning licenses to Science Department staff to grant access to Nano Banana Pro capabilities.

Usage Analytics (Reports API): The Reports API allows institutions to programmatically retrieve data on how AI features are being adopted. You can extract metrics to track the utilization of generative tools like Veo 3.1 and Gemini Advanced to justify ROI and identify areas requiring further training.

Note: This license enables AI features within Workspace apps; it does not provide direct API access to the raw models (like Gemini 3 Pro) for building external custom applications (which requires AI Studio or Google Cloud Vertex AI).
API documentation
Yes
API documentation formats

Customisation available
Yes
Description of customisation
Administrators customize the Google AI Pro experience primarily through Organizational Units (OUs). By separating users (e.g., "Staff" vs. "Students") or departments, you can apply distinct AI policies rather than a "one-size-fits-all" approach.

Feature Availability: Administrators can selectively turn specific premium features—such as Veo 3.1 video generation or Nano Banana Pro capabilities—on or off for different groups. For example, you might enable Veo 3.1 specifically for the "Media Studies" department while keeping it disabled for others.

Access Policies: Admins manage age-based access settings to ensure compliance, restricting specific generative AI features to users over 18 where required.

Data Context: Administrators control whether the AI services are permitted to access end-user data (such as Drive files or Gmail content) to provide context-aware responses.

User Preferences: Individual users can customize their experience by managing their own prompt history, setting preferred languages for Translated Captions, and toggling specific extensions (connecting Gemini to their Workspace apps) within their personal settings.

Scaling

Google, one of the worlds largest Cloud platform providers, have suitable resource active to support any scale of requirement from customers without
any impact to other customers or users using Workspace.

Analytics

Service usage metrics
Yes
Metrics types
Metrics: Administrators gain comprehensive visibility into how AI tools are being adopted across the institution through dedicated reports:

Adoption Tracking: Monitor the number of active users utilizing their Google AI Pro licenses over time to validate investment.

Feature Granularity: Track specific usage counts for high-value tools, such as the number of videos generated with Veo 3.1 or interactions with Nano Banana Pro capabilities.

App-Level Insights: Analyze which Workspace applications are driving AI usage to identify where staff are finding the most value.

Feedback Data: Review aggregated user feedback on AI-generated responses to assess the quality and utility of the outputs.

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
Google Workspace operates under a rigorous Secure Software Development Lifecycle (SDLC).

Component Tracking: All service components are tracked from inception to deprecation. Code changes must pass Binary Authorization—a cryptographic check ensuring only reviewed, tested, and authorized code can run in production.

Security Assessment: Every change undergoes a mandatory Security Design Review and internal audit before launch.

Customer Control: Administrators manage the local impact of these changes using Release Tracks (Rapid or Scheduled) and assess their specific domain security posture via the Security Center dashboard.
Vulnerability management type
Supplier-defined controls
Vulnerability management approach
Google employs a rigorous, automated vulnerability management lifecycle to secure the Workspace platform.

Threat Assessment: We utilize automated scanners (e.g., Security Health Analytics) alongside manual "Red Team" penetration testing to continuously identify risks across our infrastructure.

Patch Deployment: As a cloud-native SaaS solution, security patches are deployed centrally and automatically without user intervention. Critical vulnerabilities are often remediated within hours of discovery, with routine updates released continuously.

Threat Intelligence: Our intelligence is sourced from Google Project Zero (our elite zero-day research team), Mandiant frontline intelligence, and a global bug bounty program.
