Onboarding and offboarding

Getting started
Users are supported to get started through a combination of online onboarding, guidance materials and practitioner training.

For commissioning organisations, onboarding includes account setup, access to digital resources, and introductory guidance on how the service is structured and used.

Practitioners are supported through self-guided e-learning modules, written guidance, and session plans explaining how to use the tools and resources with families. Where included in the purchased package, live online or face-to-face training is provided to support workforce capability and confidence.

Clear written documentation and guidance are provided to support day-to-day use, and users can contact the support team via email for assistance during onboarding and beyond.

No specialist technical setup is required by the buyer, and the service is designed to be straightforward to access and use via a standard web browser.

How the documentation is accessible
Documentation is designed to be clear, structured and easy to read, using plain language and consistent formatting.

Online documentation is provided via web pages that are compatible with modern browsers and assistive technologies. PDF documents are structured to support readability, including clear headings and logical ordering of content.

While documentation has not been formally certified against a specific accessibility standard, accessibility considerations are taken into account during development and feedback from users is used to improve clarity and usability.
End-of-contract data extraction
At the end of the contract, users can request a data extract by contacting OnePlusOne via the designated support email address.

Data relating to usage, participation and reporting will be provided in commonly used formats such as CSV or PDF, as appropriate to the data held and the reporting agreed within the contract.

Data extraction is carried out securely and in line with data protection requirements. Any personal data included will be limited to what is necessary and permitted under the contract.

Following successful data extraction and confirmation from the buyer, data will be securely retained or deleted in accordance with OnePlusOne’s data retention policy and applicable data protection legislation.
End-of-contract process
At the end of the contract term, access to the service will end unless the buyer chooses to renew or extend the agreement.

As part of the standard contract price, OnePlusOne will support a reasonable end-of-contract handover, including responding to queries, confirming service closure, and providing agreed reporting or data extracts on request in commonly used formats.

Any personal or sensitive data will continue to be handled in line with data protection legislation and OnePlusOne’s data retention and deletion policies. Data will be securely retained or deleted following contract end, as agreed with the buyer.

Additional or non-standard requests (for example, bespoke reports, additional data manipulation, or extended data retention beyond standard timeframes) may be subject to additional charges, which would be agreed in advance with the buyer.

Scaling

Independence of resources
The service is delivered using a cloud-hosted, multi-tenant platform designed to manage concurrent users effectively. Capacity is monitored and managed by OnePlusOne and its hosting providers to ensure performance and availability are maintained as demand fluctuates. Usage is primarily asynchronous (e-learning and digital resources), which reduces peak load risk. Where necessary, capacity can be scaled or managed operationally to ensure users are not adversely affected by other users’ demand.

Availability and resilience

Guaranteed availability
The service is designed to be highly available and is delivered using reputable third-party cloud platforms with strong availability records. While OnePlusOne does not provide a formal uptime SLA with financial service credits, availability is actively monitored and issues are addressed promptly if they arise.

Planned maintenance is kept to a minimum and, where possible, scheduled outside of core working hours with advance notice provided to buyers.

In the event of unplanned service disruption, OnePlusOne will investigate and resolve issues as quickly as possible and will keep buyers informed of progress. Any remedies or adjustments are handled in line with contractual terms and agreed on a case-by-case basis rather than automatic refunds.
Approach to resilience
The service is designed to be resilient through the use of established, reputable third-party cloud platforms that provide built-in redundancy, fault tolerance and resilient infrastructure.

Core service components are hosted in professionally managed data centres with safeguards in place to reduce the risk of single points of failure. These platforms provide resilient networking, storage and compute services, along with regular backup processes.

OnePlusOne monitors service performance and works closely with its platform providers to respond to incidents and restore service promptly where issues arise. Business continuity arrangements are in place to support ongoing service delivery, and lessons learned from incidents are used to improve resilience over time.

Detailed information about underlying infrastructure resilience and datacentre arrangements can be made available to buyers on request.
Outage reporting
Service outages or significant service degradation are communicated to buyers via email using the primary contract or service contact details held by OnePlusOne.

Where appropriate, notices may also be published on the OnePlusOne website to provide wider visibility of known issues and updates on resolution progress.

OnePlusOne monitors the availability of its service and third-party platforms and will share information received from platform providers where outages are outside OnePlusOne’s direct control.

There is no public status dashboard or API for outage reporting. Updates are provided through direct communication and published notices as required.

Security governance approach
OnePlusOne takes a proportionate, risk-based approach to security governance aligned with the Software Security Code of Practice. Responsibility for information security sits at senior management level and is supported by documented policies covering data protection, access control, incident management and supplier management.

The service is delivered using established third-party SaaS platforms with their own robust security controls, alongside internal processes for user access management, monitoring and secure handling of data. Security considerations are reviewed regularly, and risks are assessed as part of ongoing service delivery and organisational governance.
Information security policies and processes
OnePlusOne maintains a set of documented information security and data protection policies and processes proportionate to the size and nature of the organisation and the services provided. These include policies covering data protection and GDPR, access control, acceptable use, incident and breach management, supplier assurance, and secure handling of personal data.

Responsibility for information security is held at senior management level, with clear reporting routes for risks, incidents and policy breaches. Staff and associates are required to follow relevant policies as part of onboarding and ongoing engagement, and access to systems and data is granted on a role-based, least-privilege basis.

Compliance is supported through regular review of policies, use of secure third-party SaaS platforms with established security controls, and monitoring of data handling practices. Any incidents or concerns are logged, investigated, and managed in line with documented procedures and contractual and regulatory requirements.

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
Configuration and change management is managed through supplier-defined controls. Service components are documented and tracked throughout their lifecycle, including configuration settings, dependencies and updates to third-party platforms.

Changes are planned, reviewed and approved internally before implementation, with consideration given to potential security, data protection and service availability impacts. Where relevant, changes are tested in advance and scheduled to minimise disruption.

Security implications are assessed as part of the change review process, and changes can be rolled back if issues are identified.
Vulnerability management type
Supplier-defined controls
Vulnerability management approach
Vulnerabilities are managed through a combination of internal controls and reliance on third-party platform providers used to deliver the service. Potential threats are assessed by monitoring supplier security updates, release notes and advisories, alongside internal review of service configuration and access controls.

Security patches and updates provided by platform suppliers are applied as part of their managed services and deployed in line with supplier timelines.

Information about potential threats is obtained from platform providers, trusted security communications, and internal IT and security support arrangements.
Protective monitoring type
Supplier-defined controls
Protective monitoring approach
Protective monitoring is provided through a combination of third-party platform monitoring and internal oversight. Potential compromises are identified via platform security alerts, access logs, automated monitoring tools, and reports from users or administrators.

When a potential compromise is identified, access is reviewed, affected accounts may be restricted, and the issue is investigated in line with internal incident management processes.

Incidents are responded to promptly, with initial assessment typically within one working day, and escalation to platform providers or specialist support where required.
Incident management type
Supplier-defined controls

No
Incident management approach
OnePlusOne has defined incident management processes for common events such as service disruption, data incidents, and security issues. Users report incidents via email to the support team or through agreed buyer contact routes. Incidents are logged, assessed, prioritised, and managed according to severity, with escalation to senior management where required. Buyers are kept informed of progress and impact, and incident reports are provided following resolution, including actions taken and any preventative measures identified. Processes align with data protection and contractual obligations.
