Onboarding and offboarding

Getting started
Axion Solutions supports users to start using the service through a structured onboarding approach designed to enable rapid and confident adoption. From the outset, users are supported with guided setup to ensure the service is configured correctly and aligned to organisational needs. This typically includes assistance with account setup, user roles and permissions, configuration of workflows and data, and, where required, integration with existing systems.

To support effective adoption, Axion provides a range of training options tailored to different user groups. Online training sessions are available for administrators, power users, and end users, focusing on practical use of the service in day-to-day activities. Where appropriate, on-site training can also be provided by agreement. Training can be delivered as initial sessions during onboarding or as follow-up and refresher sessions to support ongoing use.

Comprehensive user documentation is provided to support self-service learning and reference. This includes user guides, configuration guidance, and supporting materials that explain key features, workflows, and best practices. Documentation is kept up to date in line with service updates to ensure users always have access to current information.

Users have access to support channels to help resolve questions, refine configuration, and address any issues.

End-of-contract data extraction
At the end of the contract, users can extract their data using the service’s standard data access and export capabilities. The service provides authorised users with the ability to access and export their data in commonly used, non-proprietary formats, supporting continuity and onward use of the data outside the service.

Data extraction can typically be completed through built-in export functions and, where applicable, supported APIs. These mechanisms allow users to retrieve their data in a structured and readable form without requiring bespoke development. Exports are subject to the same access controls and permissions that apply during normal service use, ensuring data is accessed securely and appropriately.
End-of-contract process
At the end of the contract, the service follows a structured and controlled exit process designed to support an orderly transition and minimise disruption to the buyer. Contract end arrangements are managed in line with the agreed contractual terms and any applicable exit provisions. Users retain access to the service for the duration of the contract, allowing sufficient time to complete any agreed exit activities, including data extraction and transition planning.

As part of the standard contract price, the service includes continued access to normal service functionality up to the contract end date and the ability for authorised users to extract their data using the service’s standard export tools and supported formats. Guidance on the exit process and available data extraction options is also included, enabling buyers to plan and manage the transition effectively.

Where required, Axion Solutions can provide reasonable support during the contract end period, such as clarification of exit steps, assistance with understanding data structures, or coordination of agreed activities.

Customisation available
Yes
Description of customisation
Axion’s software services are designed to be highly configurable, allowing organisations to tailor how the service works to their needs without bespoke development. Customisation is achieved through secure configuration options, role-based controls, and supported integration mechanisms.

Workflows can be configured to define stages, approvals, decision points, and routing, ensuring that operational flows align with internal governance and procedures. User roles and permissions can be set to control access levels and responsibilities for different user groups, supporting secure and appropriate use of the service. Data structures and fields can be configured within supported schemas, allowing organisations to tailor data fields, metadata, classifications, and validation rules to suit their reporting and compliance requirements.

Dashboards and reporting can be tailored to present relevant information through customised views, metrics, and reports for different roles. Automated notifications and alerts can be configured to provide reminders, status updates, and escalations based on defined events.

The service also supports integration and data exchange with other systems through supported APIs and data connectors, enabling interoperability with existing platforms. Where needed, organisations can apply branding and presentation options such as logos, naming conventions, and terminology to align the service with their organisational identity.

Scaling

Independence of resources
The service is designed and operated to ensure that usage by one organisation does not adversely affect the performance or availability experienced by others. This is achieved through a combination of architectural design, resource management, and operational controls that support consistent and reliable service delivery.

The service operates on a multi-tenant architecture with logical separation between customers, ensuring that each organisation’s data, configurations, and activity are isolated from those of other users. Resource allocation and workload management controls are used to manage demand across the platform, preventing individual usage patterns from impacting overall service performance.

Availability and resilience

Guaranteed availability
The service is designed to provide a high level of availability suitable for public sector use and is hosted on resilient cloud infrastructure with built-in redundancy and monitoring. Axion Solutions targets a monthly service availability of 99.9%, excluding planned maintenance, which is aligned with common industry practice for cloud-hosted software services.
Approach to resilience
The service is designed with resilience built in at both application and infrastructure levels, in line with the government’s cloud security principle on asset protection and resilience. The objective is to ensure continued service availability, data protection, and rapid recovery in the event of component failure or unexpected disruption.

The service is hosted on enterprise-grade cloud infrastructure that provides built-in redundancy across critical components, including compute, storage, and networking. Services are deployed across multiple availability zones within geographically separated UK data centres, reducing the risk of single points of failure and supporting continuity of service if an individual component or location becomes unavailable. Detailed information on data centre locations and configurations can be provided on request.
Outage reporting
The service reports outages and service status through clear, proactive communication channels designed to keep users informed and support effective incident management.

A public service status dashboard is provided to give visibility of current service availability and any ongoing incidents. The dashboard displays up-to-date information on service health, planned maintenance, and unplanned outages, allowing users to independently check service status at any time.

In addition, email alerts are used to notify users of significant service incidents and planned maintenance events. Email notifications are issued to designated contacts when an outage is identified, when there are material updates during an incident, and when the issue has been resolved. This ensures that users receive timely and consistent information without needing to actively monitor the service.

Access restrictions are designed to protect the service from unauthorised use and to support accountability, auditability, and compliance with public sector security expectations.

Access to management interfaces is controlled through role-based access control (RBAC), ensuring that users are granted the minimum level of access required to perform their responsibilities.
