Onboarding and offboarding
- Getting started
-
MediLIMS supports users with a structured onboarding process that includes both technical and operational guidance. New users receive comprehensive online training tailored to their laboratory workflows, covering sample management, result validation, reporting, and system configuration. This training is delivered remotely via guided sessions and interactive walkthroughs, ensuring accessibility across locations. In addition, MediLIMS provides detailed user documentation, including service definitions, system requirements, and configuration guides to support independent learning and reference.
The onboarding process is designed to be flexible, allowing labs to begin configuration even before hardware procurement or IT resource allocation. This accelerates proof-of-concept and production readiness, especially for cloud-hosted deployments. MediLIMS also provides ongoing support and maintenance, ensuring users remain confident and compliant as their needs evolve. - Service documentation
- Yes
- Documentation formats
- End-of-contract data extraction
-
MediLIMS supports end-of-contract data extraction to ensure a smooth and compliant transition for laboratories disengaging from the service. Upon contract termination, MediLIMS assists users in securely exporting their data, including patient records, sample histories, audit trails, and configuration settings. This process is designed to meet regulatory requirements such as GDPR and ISO 15189, ensuring that data integrity and traceability are maintained throughout.
Data can be extracted in structured formats suitable for migration to other systems or for archival purposes. MediLIMS technical staff provide guidance on export options, file formats, and validation checks to confirm completeness. If required, documentation and support are available to help users interpret the exported data and align it with their new infrastructure.
This commitment to transparent offboarding ensures that laboratories retain full control of their data and can meet both internal and external compliance obligations. Let me know if you'd like this adapted for a service agreement or regulatory submission. - End-of-contract process
- At the end of a MediLIMS contract, users are supported through a structured offboarding process. This includes secure data extraction of patient records, sample histories, audit trails, and system configurations. MediLIMS technical staff assist with formatting, validation, and guidance to ensure data is ready for migration or archiving.
- Documentation accessibility standard
- None or don’t know
- How the documentation is accessible
-
MediLIMS ensures that both onboarding and offboarding documentation are accessible in line with UK public sector standards and NHS Accessible Information Standard (AIS). Documentation is written in clear, structured language and formatted for compatibility with assistive technologies such as screen readers. Key materials—including user guides, training manuals, and service definitions—are available in digital formats that support text resizing, high-contrast viewing, and keyboard navigation.
During onboarding, users receive documentation that includes step-by-step instructions, annotated screenshots, and glossary support to aid understanding across diverse user groups. Where needed, MediLIMS can provide alternative formats such as large print or audio versions to support users with visual or cognitive impairments.
Offboarding documentation includes clear guidance on data export, account closure, and system handover. It is designed to be equally accessible, ensuring that users can disengage from the service confidently and in compliance with data governance standards.
If required, MediLIMS support staff can assist with interpreting documentation or adapting materials to meet specific accessibility needs. This commitment ensures that all users—regardless of ability—can engage with the system effectively throughout its lifecycle. Let me know if you'd like this adapted for a compliance statement or accessibility audit.

- Description of customisation
-
Yes, buyers can customise the MediLIMS service to suit their laboratory’s specific needs. Customisation options include all screens, laboratory workflows, user roles, reporting formats, analyser integration, and notification rules. Laboratories can tailor sample routing, validation stages, and result outputs to match their operational and regulatory requirements. Reporting templates can be branded or structured to meet clinical and compliance standards. Integration endpoints such as HL7, ASTM, and RESTful APIs are configurable, allowing seamless connectivity with analysers, EHRs, and middleware systems. Terminology and reference ranges can also be adapted to reflect discipline-specific thresholds.
Users customise the system through an administrative dashboard that provides modular controls and access to a rules engine for scripting logic. API access enables external system integration, while a template editor supports report layout modifications. During onboarding, MediLIMS technical staff assist with initial setup and workflow alignment to ensure smooth deployment.
Customisation is typically performed by laboratory administrators, IT and integration teams, compliance officers, and MediLIMS support staff. Each group plays a role in configuring workflows, managing security protocols, and aligning the system with audit and accreditation requirements. This flexibility ensures MediLIMS can support both standardised and specialised laboratory environments while maintaining compliance and operational efficiency.
