Onboarding and offboarding
- Getting started
-
Getting started with Viatel’s Microsoft 365 SaaS service is designed to be simple and guided, ensuring users can quickly access and benefit from the platform. The process begins with service provisioning, where Viatel sets up the organisation’s Microsoft 365 tenant, assigns licenses, and creates user accounts. Administrators receive access credentials and initial setup instructions to manage the environment.
Once provisioned, user onboarding takes place. Each user is provided with login credentials for the Microsoft 365 portal and guidance on accessing the service via web browsers, desktop applications, or mobile apps. Optional training or onboarding sessions help staff become familiar with core apps such as Teams, Outlook, SharePoint, OneDrive, and Office productivity tools.
During setup, administrators configure security, compliance, and policy settings, including multi-factor authentication, conditional access, and data retention policies. Users can customise their personal settings, including themes, notifications, and email signatures, to optimise productivity.
Next, users install Microsoft 365 Apps on desktops and mobile devices, following Viatel guidance to ensure proper login, syncing, and integration with cloud storage.
Finally, Viatel provides ongoing support and resources, including helpdesk assistance, tutorials, and documentation, to help users troubleshoot issues, adopt features effectively, and maximise the value of Microsoft 365. - Service documentation

- End-of-contract data extraction
- When a contract for Viatel’s Microsoft 365 SaaS service ends, users can extract their data before the tenant is deactivated. Files in OneDrive and SharePoint can be downloaded directly or synced locally. Emails, contacts, and calendars in Exchange Online can be exported via Outlook or PST files, while Teams content can be retrieved using Compliance eDiscovery tools. Administrators can perform bulk exports with eDiscovery, Compliance Center, or PowerShell scripts. Viatel typically provides a grace period for extraction. Exported data uses standard formats like PST, CSV, or native document files, ensuring portability and compatibility with other platforms.
- End-of-contract process
- At the end of a Viatel Microsoft 365 SaaS contract, a structured offboarding process is followed. Customers are notified in advance and provided a plan for data extraction, including emails, files, and Teams content via OneDrive/SharePoint downloads, Outlook PST exports, or eDiscovery tools. User accounts are suspended, and licenses are deprovisioned. Cloud storage and service access are removed after a grace period. Viatel completes decommissioning by removing tenant configurations and ensuring data compliance. Support services cease unless a renewal or migration plan is arranged. This process ensures secure, compliant termination while allowing organisations to retain critical data.

This public dashboard allows users to check the health of services like Teams, Exchange, SharePoint, and OneDrive at any time. In addition, email alerts are sent directly to global administrators when service disruptions occur, providing details on the issue, affected services, and estimated resolution times. This ensures administrators are kept informed and can communicate with end-users accordingly.
For more advanced users, Microsoft also offers a Service Health API, which enables admins to integrate service status information into custom monitoring systems or third-party applications. The API provides programmatic access to incident data and status updates, offering an additional layer of automation for large organizations.
Lastly, if the issue requires more personalized support, customers can reach out to Microsoft Support, where dedicated representatives offer updates and assistance. These combined communication methods ensure that outages are effectively reported, enabling users to stay informed and take appropriate actions to minimize any impact.
