Onboarding and offboarding
- Getting started
-
JLL deploys Eptura Engage through a comprehensive, structured approach combining professional services, training, and extensive support resources.
Implementation Services: JLL provides dedicated implementation services with experienced project teams that guide clients through the entire deployment process.
Configuration Process: Deployment begins with Global Administrators setting up core system elements including locations (countries, regions, offices, floors), groups (collections of bookable spaces with shared access rules), workspace types, attributes, and resources such as meeting rooms and personal spaces. The system supports bulk data upload for new customers to streamline initial configuration.
Training and Support: JLL employs multiple training modalities including instructor-led classroom sessions, telepresence sessions, live webinars, and lunch-and-learn sessions. They utilise a Train-the-Trainer methodology, providing comprehensive materials including user guides and quick reference material including PDF kits, email templates, video tutorials, and printed materials for office display.
Post-Deployment: Following go-live, clients enter a hypercare period providing crucial end-user support with the project team, ensuring system stabilisation and improved user adoption during the critical initial usage period. - Service documentation

- End-of-contract data extraction
- Access to Eptura Engage data is managed through a structured permission system that mirrors existing platform access controls. Users must be either a Global Admin or an administrator with the Analytics module selected in their user profile to access data functionality. Historical booking information for the previous three years and all future booking data are available through dashboards, with data refreshing once daily. Users can export data from individual visualisations through multiple formats including CSV, Microsoft Excel, or image copying, providing organisations with the capability to extract their data when contracts end. Data access is initially provided through Power BI templates, with a universal API planned for future implementation that could facilitate comprehensive data extraction. The embedded dashboard system allows bookmarking and dynamic filtering whilst maintaining data integrity through restricted visualisation modifications. This export capability ensures organisations retain access to their historical booking and analytics information, supporting business continuity requirements and facilitating transitions to alternative systems when service agreements conclude, whilst preserving established permission structures and administrative oversight throughout the data extraction process.
- End-of-contract process
- Should a client choose not to renew its Eptura Engage contract, an off-boarding process is initiated. During this period, the client has the ability to export their data from the Eptura Engage platform. Once the off-boarding window closes, the client's access to the Eptura Engage service is deactivated. Following deactivation, Eptura proceeds with the permanent deletion of the client's data from its servers in line with its data retention and physical storage policies, ensuring all client information is securely and permanently removed after the business relationship has ended. Should you require additional assistance in offboarding data retrieval, our technical consultants can provide support for an additional fee.

Testing involved real assistive technologies including JAWS 2022 with Chrome browser and ZoomText 2022. Level Access tested representative samples covering key components and user workflows within Eptura's digital properties. Importantly, this testing was supported by a diverse team of accessibility professionals that includes users with disabilities, ensuring real-world usability evaluation by actual assistive technology users rather than just technical compliance testing.
- API
- Yes
- What users can and can't do using the API
-
Eptura Engage provides a RESTful API and dedicated Developer Portal that enables organisations to integrate workspace booking functionality into existing enterprise systems. Through the API, users can programmatically manage core booking operations including creating, modifying, and cancelling workspace reservations across desks, meeting rooms, and collaborative spaces. The API supports automated user provisioning and authentication management, allowing organisations to synchronise employee data from HR systems and establish booking permissions based on organisational hierarchies. Users can retrieve real-time availability data, occupancy analytics, and utilisation reports to integrate workspace insights into custom dashboards or business intelligence platforms.
The API facilitates bidirectional calendar synchronisation with Microsoft Exchange and Office 365, enabling automated booking creation from calendar events whilst maintaining data consistency across platforms. Integration capabilities extend to sensor data ingestion for automated check-ins, access control systems for badge swipe integration, and service request workflows connecting to external ticketing systems. Limitations apply to API usage. Core system configuration, floorplan uploads, space type definitions, AI-powered intelligent booking recommendations and sensor management provisioning are not directly accessible through API endpoints, maintaining system security and operational stability whilst ensuring comprehensive integration capabilities for standard booking and data management functions. - API documentation

- Customisation available
- Yes
- Description of customisation
- Eptura Engage provides comprehensive customisation capabilities to align the platform with specific organisational requirements. Administrators can customise the mobile application's concierge menu by configuring office-specific tiles that provide one-tap access to announcements, events, and frequently used services such as travel information and weather updates. These tiles can be tailored based on user location with adjustable names, URLs, and images to reflect local office needs. The service request catalogue offers extensive customisation options, allowing organisations to define available service types that reflect their specific operational requirements and departmental workflows. Workspace configuration represents another key customisation area, where administrators can establish various space categories including desks, meeting rooms, collaboration spaces, parking spots, and specialised areas like huddle pods, whilst integrating existing floorplans from AutoCAD or Revit drawings. System administrators hold primary responsibility for these customisation functions, accessing administrative interfaces to configure menu options, manage workspace types, and establish organisational-specific service catalogues. This administrative control ensures consistent configuration management across the organisation whilst maintaining system integrity and standardised user experience. Through these customisation capabilities, Eptura Engage adapts to diverse organisational structures, operational processes, and workplace cultures, enabling companies to create tailored employee experiences that support their unique hybrid work strategies.

- Approach to resilience
-
Eptura Engage provides comprehensive availability guarantees through robust service and infrastructure resilience measures designed to ensure continuous operation and minimal service interruption.
High Availability Design: The platform utilises load balancing and auto-scaling to distribute traffic across multiple server instances, ensuring automatic failover without service interruption if one instance fails. This is supported by 24/7 proactive monitoring to detect and respond to potential outages before they impact end-users, whilst integrated systems enable rapid reporting and resolution of technical issues through automated work orders.
Infrastructure Resilience: Eptura utilises world-class Azure cloud infrastructure , depending on regional deployment requirements. Services are hosted in regional facilities across the US, Europe, Singapore, and Australia to ensure data residency and reduce latency. Geographic failover capabilities include multi-zone redundancy, meaning data and services are replicated across physically separate data centres within regions to protect against site-level failures. Hosting facilities maintain rigorous certifications such as ISO 27001 and include redundant power, cooling, and network connectivity. - Outage reporting
