Onboarding and offboarding

Getting started
We begin with a structured scoping session to confirm requirements and agree the configuration approach. Our consultants then set up the Business Central environment, apply required customisations and prepare initial user settings. We provide onboarding support through remote training sessions and administrator guidance, covering core navigation, modules and day-to-day tasks. Additional online training materials and PDF documentation are also supplied to help users become familiar with the system. Onsite training can be provided at extra cost if preferred. Once live, users can access our support team for ongoing advice, issue resolution and further optimisation.

End-of-contract data extraction
Our onboarding and offboarding documentation is supplied in PDF format so it can be accessed using a wide range of standard tools and assistive technologies. Users can open the documents with screen readers, magnifiers and text-to-speech applications built into common PDF readers. Text size, contrast and zoom levels can be adjusted to support different accessibility needs. Headings, section titles and page structures are written clearly to help users navigate the content easily, and key steps are set out in a logical order to reduce cognitive load. Where screenshots are included, they are presented with descriptive labels to support users who rely on visual aids or who have limited technical experience. Documents are also written in plain language to help users who prefer simpler explanations or have reading difficulties. If a buyer requires alternative formats, such as editable files that work with specialist accessibility software, these can be provided on request.
End-of-contract process
When a contract comes to an end, we work with the organisation to make the transition straightforward and predictable. The primary trigger for ending the service is the non-renewal of the organisation’s Microsoft Business Central licensing, as Business Central is delivered entirely through Microsoft’s cloud platform. Before the service ends, we can provide guidance on how to extract required data, including exporting records in CSV format for use in other systems. Support is available during the offboarding period to answer questions, provide clarification and help administrators complete any actions they need to take within Business Central. If the organisation requires additional consultancy, such as preparing data for migration or supporting a move to another Microsoft tenant, this can be arranged at extra cost. Once licensing expires, access to Business Central is removed by Microsoft and the service fully ends. Akita does not retain access to customer environments after termination.

How the documentation is accessible
Our onboarding and offboarding documentation is provided in PDF format and can be viewed using standard accessibility features built into common PDF readers. Users can adjust text size, apply screen reader tools and use built-in navigation aids. Content is written in clear language with consistent headings to support readability.

Description of customisation
Users can customise fields, workflows, templates, reports and business processes within Business Central. Customisation can be completed through the system’s configuration options or developed by our consultants when more advanced changes are required. Administrators can make standard configuration changes, while technical customisations are delivered by our accredited specialists.

Scaling

Independence of resources
Business Central runs on Microsoft’s cloud infrastructure, which automatically scales to meet demand. Resources are allocated independently for each organisation, so activity in one tenant does not affect another. Microsoft’s underlying platform manages performance, load balancing and capacity to maintain consistent service levels. Akita monitors customer usage and can advise on configuration changes if required.

Yes
Metrics types
We provide metrics covering support usage and service activity. This includes the number of support tickets raised, response times, issue categories and time to resolution. Buyers can request additional summaries showing trends over time, common support themes and areas where optimisation may be beneficial. These metrics help organisations monitor how the service is being used and identify any recurring needs that may require configuration changes or further training.

Availability and resilience

Guaranteed availability
Microsoft guarantees 99.9 percent availability for Business Central as part of its cloud service commitment. This uptime is managed and monitored by Microsoft across its global infrastructure. Refunds or service credits, where applicable, are provided under Microsoft’s own service level agreement rather than by Akita. Akita does not provide additional availability guarantees beyond those offered directly by Microsoft.
Approach to resilience
Business Central is hosted within Microsoft’s cloud environment, which provides built-in resilience through redundant infrastructure, multiple data replicas and automatic failover across datacentres. Microsoft manages all underlying capacity, load balancing and continuity processes to maintain service availability. Data is continuously backed up within Microsoft’s environment, and recovery procedures are tested as part of their platform operations. Further technical details about Microsoft’s resilience controls can be provided on request.
Outage reporting
Outages are reported directly by Microsoft through email alerts sent to administrators and subscribed users. Microsoft also publishes service status information on its public Service Health dashboard. Akita does not provide a separate API or dashboard for outage reporting.

Access restrictions in management interfaces and support channels
Akita restricts access to management interfaces and support channels through role based access control and authenticated entry points. Only authorised staff can access administrative consoles, and permissions are granted on a least privilege basis. Access requires MFA and is logged for audit. Support channels are controlled through the service desk, where analysts authenticate users before making any change or sharing information. Remote access to customer systems is limited to approved connections and monitored. All access rights are reviewed regularly and removed immediately when no longer required to maintain secure operational control.

Information security policies and processes
We operate documented information security policies aligned with ISO 27001. Policies cover access control, data handling, incident management and change control, and are reviewed annually by our Infrastructure and Technical Directors. All staff receive security training and must follow these procedures as part of their role. Compliance is monitored through internal reviews, audits and the ISO 27001 certification process. Security matters are escalated through our established reporting structure to senior management when required.

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
Akita, controls configuration process. All service components are recorded with unique identifiers, version history and relationships so each item is tracked through its lifecycle.

Changes follow a formal workflow. Requests are logged, risk assessed and reviewed for operational and security impact, including effects on confidentiality, integrity and availability. Higher risk changes receive additional technical review.

Changes are tested when possible, scheduled to limit disruption and implemented by authorised staff. Back out steps are prepared in advance. After completion we update configuration records and review the outcome.

This keeps components traceable and ensures security impacts are assessed before change is made.
Vulnerability management type
Supplier-defined controls
Vulnerability management approach
Akita uses a structured process to identify and address vulnerabilities across supported services. We assess potential threats by monitoring systems, reviewing logs and using regular vulnerability scans. Each finding is risk scored so we can prioritise issues that present the highest impact on confidentiality.

Patches are deployed according to severity. Critical updates are applied as quickly as possible after validation, while lower risk updates follow planned maintenance windows to avoid disruption. All changes are implemented by authorised staff.

We gather threat intelligence from vendor advisories, Microsoft security feeds, industry bulletins and recognised vulnerability databases to stay aware of emerging risks.
Protective monitoring type
Supplier-defined controls
Protective monitoring approach
Akita uses continuous monitoring to detect potential compromises across supported environments. We review system logs, security alerts and indicators from monitoring tools to identify unusual activity. Each event is assessed to understand the possible impact on confidentiality, integrity and availability.

If potential compromise is identified, we begin investigation immediately. The incident is logged, risks are reviewed and technical leads are engaged when required. We isolate affected systems if needed and apply containment and remediation steps.

Response times depend on severity. High risk incidents receive immediate action. Lower risk issues are handled within standard service hours and fully reviewed after resolution.
Incident management type
Supplier-defined controls
Incident management approach
Akita follows a structured incident process with pre-defined procedures for common events such as service outages, access issues and performance degradation. Each event is logged, categorised and prioritised using a standard workflow.

Users can report incidents by phone, email or through our ticketing system. All reports are recorded in the service platform so progress and updates can be tracked.

For significant incidents we provide an incident report that includes the timeline, root cause, actions taken and any follow up required. Reports are shared with the customer through the service desk once the incident is resolved.
