Each issue raised by a customer is given a classification relating to its urgency. Customers can also assign priority levels to issues. Depending on the priority category, response times are between 1 working hour (for a Priority 1 query) and 1 working day (for a Request for Information). Our service desk is operational Monday to Friday, 09:00 to 17:00, 52 weeks a year excluding bank holidays. We can provide extended support, including 24/7 support; we provide a 24/7 emergency service for major issues (e.g. system being down) as standard. Our technical team is available for onsite visits at short notice.

G2 Speech provide a comprehensive, fully-managed service proactively, encompassing support for all the server infrastructure, OS, software, backups, etc. Our ITIL-aligned support system includes a dedicated 1st-line team, contactable Mon-Fri (9am-5pm) via our online support suite or a dedicated telephone number & email. All methods provide the customer with a unique call reference number. 2nd and 3rd-line levels ensure that tickets get the correct level of expertise applied in a timely manner to ensure adherence to the SLA. A Service Manager oversees complex issues and provides additional structure and ownership where required; they ensure clear communication and updates are provided, and that tickets are updated to ensure accurate recording. Where onsite support is required (and this is included in our standard support package), we can do so quickly, due to having team members located across various regions in the UK. A clearly documented escalation path is included in the agreed SLA to ensure that our customers have the relevant contact information should they need to use it. We can also agree extended support hours with our customers. Should a major problem arise (e.g. system being down, a major outbreak occurring), we provide a 24-hr emergency service as standard.

Getting started
Following installation, we provide a bespoke, comprehensive and CIPD-accredited training package to ensure end-users are fully competent. Training is hands-on and instructor-led, and delivered via a 'train the trainer' approach (for end-users) and direct training (for system administrators & superusers); we offer classroom-based and/or one-to-one training (onsite and/or remotely via MS Teams, Zoom, TeamViewer, etc.). Full, up-to-date and comprehensive documentation is provided. We provide training and up-to-date materials with each upgrade of SpeechAmbient. We offer a suite of e-learning self-training courses, to train and re-train users at their convenience. This suite, made bespoke to each customer, is accessible 24/7 from any location and device (desktop, mobile, tablet) via a link, or can be uploaded on the customer's LMS. It consists of a series of competency based, interactive modules, bite-sized video tutorials, and quizzes/competency tests. Courses are fun and interactive, with simulations, reinforcement, correction, and reward. Users can choose which module(s) to revisit. All training resources are tailored. We also assist customers with technical queries, via our support suite, accessible online and by telephone/email. Our technical team is fully available for onsite visits (and this is included in our standard support package).

End-of-contract data extraction

Our usual process is as follows: A date will be agreed with the customer upon which all user access will be revoked (we would disable their access). Should a customer wish to end their contract with us, we don't typically apply an end-of-contract charge, however all outstanding payments will still apply. In SpeechAmbient, recorded audio is transient and never stored. Stored content is limited to recognised text and AI‑generated reports necessary for documentation workflows and for quality control purposes; these are stored in Microsoft Azure until deleted in line with the retention policy.

How the documentation is accessible
Our onboarding and offboarding documentation is accessible both in print format and electronically – usually in PDF and/or HTML format, however it is also available in PowerPoint (e.g. as presentations) and MS Word. Training information can be imparted in various formats, including video. All documentation can be provided in a modified format – e.g. in bigger font, videos can be adapted with sub-titles. Offboarding documentation will include notifications of end of contract and service, as well as information aimed at providing technical support to the customer. We would provide this to each customer by liaising with the relevant members of their project team.

Description of service interface
The interface is very user-friendly and straightforward. The initial screen allows the solution's user to choose a title for their recording, and select their reporting templates and their microphone. Transcription and document creation are very simple: The multi-speaker conversation is recorded and transcribed in real time by the solution's recognition engine; the user can then turn this transcription into the required report(s) at the click of a button, and copy the report(s) into an email or a third-party system.

Description of accessibility
SpeechAmbient is accessible via any browser. Once the system is launched, users login with their individual username and password. After having set up certain parameters (name of their recording, choosing their microphone and templates, etc.), the user can start a new recording at the click of a button. The recording of the conversation occurs in the background, without the user’s intervention.

Description of customisation
SpeechAmbient can be configured to suit the customer’s requirements and ways of working. For example: Templates (e.g. SOAP documents) can be created in SpeechAmbient, so that multi-speaker conversations can be turned into reports and summaries, inputted into these templates. These templates can be customised by system administrators, in the solution’s central admin portal; for example, the promptings used for structure and template formats can be customised.

As our cloud environment is hosted on Microsoft Azure, we automatically gain the benefits of the disaster recovery procedures Microsoft has in place to ensure maximum uptime and availability of our entire environment – with SQL servers backed up frequently, application servers imaged daily, and workstations continuously synchronising data. In case of failures, efficient recovery processes restore functionality quickly, minimising downtime and data loss. This means risks regarding network, server or storage failure are minuscule as Microsoft can guarantee an availability percentage of 99.95% on the underlying infrastructure. To cover for the remainder, a template of the complete environment allows the full migration of the entire cloud infrastructure to another Microsoft datacentre within a day if a natural disaster were to occur which could cause our services to be unavailable for a longer period of time. G2 Speech take responsibility for backups. G2 Speech agree to be bound to specific SLAs for service uptime and service recovery.

Due to the nature of Microsoft Azure, Microsoft is responsible for monitoring the physical hardware and external infrastructure, and detect and mitigate for example DDOS attacks. Microsoft has various preventative measures in place to fight off these kinds of attacks to ensure their customers (i.e. G2 Speech) as well as G2 Speech's customers are not affected.

G2 Speech operates an ISO 27001-certified ISMS, subjected to regular audit. Internally, we complete annual security audits, to ensure continued adherence to required standards. We maintain a comprehensive Clinical Risk Management System, overseen by an external CSO, and which includes: a live Clinical Risk Management Plan; a Clinical Safety Case Report; and a Hazard Log and Risk Assessments. In the company, dedicated individuals are responsible for data security/protection and cyber security, at senior level. Our Information Security Manager and COO oversee our Information Security Policy (an overarching document consisting of 14 different policies, procedures, risk logs, registers…), reviewing it annually. We ensure the correct measures are in place to prevent: unauthorised/unlawful personal data processing or disclosure, except in accordance with the law; accidental loss/destruction/damage to personal data. We have clear lines of responsibility/accountability for information security and data protection, including cyber security; these are communicated to all employees. As part of our ISO accreditation, all staff are regularly trained in security standards, including Information Security Awareness; all training is recorded.     • Inclusive and accessible recruitment practices, and retention-focused activities, including those provided in the Guide for line managers on recruiting, managing and developing people with a disability or health condition
    • Introducing transparency to pay and reward processes
    • Offering a range of quality opportunities with routes of progression if appropriate, e.g. T Level industry placements, students supported into higher level apprenticeships.
    • Working conditions which promote an inclusive working environment and promote retention and progression
    • Other measures to provide equality of opportunity for disabled people and those with health conditions into employment, including becoming a Disability Confident employer and inclusion of supported businesses in the contract supply chain
    • Understanding of the issues affecting inequality in employment, skills and pay in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors.     • Inclusive and accessible development practices, including guidance for line managers on recruiting, managing and developing people with a disability or health condition

    • Inclusive and accessible recruitment practices, development practices and retention policies that support-focused activities including those provided in the Guide for line managers on recruiting, managing and developing which support people with a disability or health condition
