Getting started
Gladstone helps customers start using our service through the Gladstone Change Framework—a structured, collaborative approach that takes you from scoping to confident go-live and business-as-usual support. The framework is tailored to the size and complexity of the project, ensuring the right activities are applied without adding unnecessary overhead.

We begin with initiation and scoping, agreeing a clear Terms of Reference that sets objectives, deliverables, roles, milestones, success measures, and the information we need from you. Delivery is supported by strong project governance, including an agreed plan, regular progress meetings, and consistent status reporting covering achievements, next steps, and risks/issues.

To build user capability, we provide training options to suit your organisation, including trainer-led remote or onsite sessions and digital e-learning. Where helpful, we use a train-the-trainer approach so your internal leads can train wider teams, supported by guidance on configuration and best practice.

Alongside training, users have access to online help and user documentation, plus customer support channels for day-to-day queries. Before go-live, we complete readiness checks, including confirmation that training and key acceptance activities are complete. After launch, we provide structured handover, with ongoing support available through Customer Support, Customer Success, Professional Services, and your Account Manager.

End-of-contract data extraction
Gladstone’s exit process is designed to provide a secure, controlled transition while ensuring data protection and end-of-contract compliance. Gladstone create SFTP user account for your nominated representative to enable direct data transfer to your network. A fresh database backup is produced, placed in a password-protected zip file, and made available via the SFTP site. You have a two-week window to retrieve the data; once this period ends, the SFTP account and the zip file are deleted. A separate backup remains in Gladstone’s backup location for a further four weeks and is then securely deleted.

During the exit, Gladstone updates its Helpdesk and CRM systems to mark your organisation as a non-customer, limiting support to assistance with accessing the SFTP site during the transfer period. At the end of the two-week retrieval window, Gladstone contacts you to confirm successful download and address any final questions.

Once you confirm retrieval, Gladstone permanently deletes remaining customer data, removing associated references from domain user accounts, files, folders, backups, and websites in line with contractual and regulatory requirements. Access is revoked by disabling portal firewall rules, deactivating user accounts (and VPN accounts where applicable), and shutting down internal and external websites to prevent further access

Description of customisation
Gladstone apps are highly configurable so leisure operators can tailor them to local policies, programmes and customer journeys without rebuilding the software. Admin users can customise operational setup (activities, booking sheets, subscriptions, block bookings), data capture (user fields) and role-based views (screen profiles). Communications can be customised through segmentation, automated member journeys and reusable email/SMS templates, ensuring the right messages reach the right audiences at the right time. Reporting and insight can be tailored using role-based dashboards and custom reports via the Universal Reporting Connector for preferred BI tools. Customisation is typically managed by admins, comms teams and analysts.

Independence of resources
Gladstone protects users from being affected by demand generated by other users through tenant isolation, resource controls, and scalable infrastructure. Workloads are logically separated, with quotas, throttling, and rate limiting to prevent any single customer or client from consuming disproportionate capacity. Burst activities such as bulk communications, imports, and reporting are handled through queue-based processing to smooth peaks. Core service tiers can scale elastically to maintain throughput and response times, supported by planned headroom during predictable leisure-sector peaks. Performance is continuously monitored (latency, errors, utilisation, queue depth, database health) with proactive alerting, capacity management, and ongoing optimisation.

Gladstone data exporting enables you to securely extract your information for reporting, reconciliation, or exit. Exports can include membership/customer records, bookings/attendance, subscriptions, payments and other operational data. Users select the dataset, date range and filters, then export in standard formats (e.g., CSV) for use in spreadsheets or BI tools. Where deeper or automated access is needed, data can be provided via reporting connectors/integrations. For end-of-contract export, Gladstone creates a fresh database backup, packages it in a password-protected file, and makes it available via SFTP for a defined retrieval window before secure deletion.

Availability and resilience

Gladstone’s cloud platform is hosted on Microsoft Azure, using managed PaaS services designed for high resilience and availability. For example, Azure SQL Database provides a 99.99% availability commitment (and up to 99.995% where zone redundancy is enabled and supported).

At this time, Gladstone does not publish a separate, Gladstone-specific availability SLA; instead, availability commitments are underpinned by the SLAs provided by Microsoft for the Azure services used within the solution.

If Microsoft does not meet its stated availability commitments for an eligible Azure service, customers may be entitled to service credits under Microsoft’s SLA terms (which can be up to 100% of the monthly cost for the affected service, depending on the circumstances and service/tier).

Where Azure service credits are successfully claimed and received for the hosting components supporting the Gladstone service, these credits can be applied against the relevant hosting charges in line with the customer’s contract and invoicing arrangements
Approach to resilience
Gladstone’s cloud service is designed for resilience by using Microsoft Azure managed PaaS components and platform controls that reduce single points of failure and support rapid recovery. The service is continuously monitored 24/7, with alerting across critical infrastructure. On detection of a critical fault, automated recovery/resolution processes are triggered to restore service as quickly as possible (for example, restarting failed components and re-establishing connectivity), and incidents are tracked through to closure.

The underlying datacentre setup benefits from Azure’s resilient design, including redundant power, cooling and networking within the hosting environment, and service architectures that can be deployed with high availability across resilient infrastructure. Where supported, services can be configured to use availability zones/region redundancy to maintain continuity if an individual datacentre zone experiences disruption. Data protection is implemented through regular backups and controlled restore procedures to support recovery from data loss or corruption, with retention and recovery objectives agreed as part of the service design.

Our approach aligns to the UK government’s ‘Asset protection and resilience’ principle. Detailed technical architecture, configuration, and disaster recovery options are available on request.

Public dashboard: Yes. We publish live service status and incident updates on our Cloud Service Status page so users can quickly see current impact and progress updates.

Access to Gladstone management interfaces and support channels is restricted to authorised users only. We apply multiple authentication and access control methods, including IP whitelisting to limit access to trusted networks, and Active Directory authentication with unique user accounts and passwords to ensure user-level traceability. Where users need to access the service securely away from approved networks (for example remote working or when using 4G/5G connectivity), VPN access can be provided to establish an encrypted connection and extend network controls. These measures help reduce unauthorised access, support stronger identity assurance, and maintain secure administrative and support interactions.

Gladstone is committed to preserving the confidentiality, integrity and availability of all physical and electronic information assets. This protects our reputation and commercial interests while supporting legal, regulatory and contractual compliance.

We operate an established governance framework aligned to ISO/IEC 27001 (Information Security Management) and ISO 9001 (Quality Management) and are fully accredited. Our Information Security Management System (ISMS) sets the organisation’s direction and commitment to information security within the defined ISMS scope, including the policies, standards, processes and controls used to manage risk.

Reporting structure and accountability: Gladstone has a dedicated ISMS Manager responsible for overseeing the ISMS, coordinating risk management activities, and ensuring that non-conformities and exceptions are identified, recorded, assessed and handled in line with documented ISMS procedures. Security responsibilities are embedded across teams, with management oversight to ensure controls remain effective and proportionate.

Ensuring policies are followed: The ISMS applies across the business and all offices, covering Gladstone equipment and information wherever it is processed (on Gladstone premises, client networks, or other networks). All changes are captured in a formal Request for Change (RFC), documenting the rationale, scope, implementation plan and timelines, impact assessment, and any additional costs.
