Onboarding and offboarding

Getting started
Getting started with our service is designed to be straightforward, supported, and tailored to each organisation’s needs. We begin with structured discovery calls involving all key stakeholders, ensuring we understand your operating model, labour supply chain, systems, and risk priorities from the outset. This allows us to configure the platform and approach in a way that aligns with the business objectives and compliance obligations.

Following discovery, we provide live training sessions to ensure users are confident using the platform from day one. These sessions are supported by comprehensive onboarding collateral, including video walkthroughs, step-by-step process guides, and written guidance that users can refer back to. Training is practical and focused on real-world scenarios, not generic demonstrations.

To accelerate time to value, clients can upload ledgers directly into the platform. Our system automatically digests the data, identifies relevant worker populations, creates engagements and populates dashboards and workflows accordingly, removing the need for manual data preparation. This enables organisations to quickly gain visibility of their contractor landscape, identify risks, and begin taking informed, defensible action with minimal internal effort.

Customisation available
Yes
Description of customisation
CoComply’s platform is configurable to align with each organisation’s governance model, risk appetite, and operating processes.

The classification engine can be tailored to reflect how an organisation interprets and applies IR35 and broader worker classification criteria. This includes alignment with internal policy positions and precedent roles.

The platform can be configured so internal processes automatically trigger classification workflows. Events such as contractor onboarding, contract changes, extensions, or scheduled reviews can initiate assessments without manual intervention.

CoComply can reflect organisational risk appetite through configurable escalation rules, tolerance thresholds, review requirements, and approval paths for higher-risk or borderline determinations.

Users can select Dark Mode or Light Mode to suit preference and accessibility needs.

Customisation is delivered through platform configuration, workflow rules and triggers, role-based permissions, and policy alignment workshops during implementation, with ongoing support as policies or legislation evolve.

Configurations are applied once and operate consistently across the organisation to ensure repeatable, defensible outcomes.

Strategic configuration is typically defined with the CFO or Head of Tax alongside the internal IR35 working group, while day-to-day operational settings are managed by designated system administrators within the agreed governance framework.

Scaling

Independence of resources
CoComply uses serverless architecture which scales automatically to meet demand, ensuring individual user performance is not impacted by overall platform usage. Each customer environment is logically isolated, preventing resource contention between tenants. This approach provides consistent performance regardless of concurrent usage across the platform.

Availability and resilience

Guaranteed availability
CoComply targets 99.9% service availability, excluding scheduled maintenance windows. Scheduled maintenance is communicated in advance and performed during low-usage periods to minimise disruption.
Approach to resilience
CoComply uses AWS serverless architecture with built-in redundancy across multiple availability zones. Services automatically scale to handle demand and fail over seamlessly in the event of infrastructure issues. Data is replicated across availability zones to ensure durability. This architecture eliminates single points of failure and provides automatic recovery from component failures.

Information security policies and processes
CoComply maintains information security policies based on ISO 27001 principles, covering access control, data classification, incident management, and business continuity. We implement role-based access controls, enforce multi-factor authentication, and conduct regular security reviews. Staff receive security awareness training, and we maintain documented procedures for vulnerability management, change control, and data handling. Security policies are reviewed annually and updated to reflect evolving threats and regulatory requirements.

Operational security

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
All infrastructure is defined as code and version-controlled in Git. Changes follow a pull request workflow requiring peer review before deployment. Production deployments are automated through CI/CD pipelines, ensuring consistency and traceability. All changes are logged with timestamps, authors, and approval records. Infrastructure components are tagged and tracked through their lifecycle. Changes are assessed for security impact as part of the review process, with significant changes requiring additional security review.
Vulnerability management type
Supplier-defined controls
Vulnerability management approach
We use automated dependency scanning to identify vulnerabilities in application code and libraries. AWS provides underlying infrastructure patching for serverless components. Critical vulnerabilities are prioritised for immediate remediation, typically within 24-48 hours. High-severity issues are addressed within 7 days. We monitor threat intelligence sources including CVE databases, AWS security bulletins, and NCSC advisories to stay informed of emerging threats.
Protective monitoring type
Supplier-defined controls
Protective monitoring approach
We use AWS CloudWatch and CloudTrail to monitor system activity and detect anomalies. Logs are retained and reviewed for suspicious behaviour including unusual access patterns, failed authentication attempts, and unexpected configuration changes. Alerts are configured for security-relevant events. When potential compromises are identified, our incident response process is triggered immediately, with initial assessment within 1 hour and containment actions prioritised based on severity.
Incident management type
Supplier-defined controls
Post-quantum cryptography secure
No
Incident management approach
We maintain a documented incident response procedure covering identification, containment, eradication, recovery, and lessons learned. Incidents are classified by severity and escalated accordingly. Critical incidents are responded to within 1 hour. Affected customers are notified promptly where data or service is impacted. Post-incident reviews are conducted to identify root causes and preventive measures.
