How the documentation is accessible
Documentation is made available through the Gatekeeper Service Management Portal and 2T’s secure client workspace in accessible digital formats ( PDF/A, DOCX):

Screen reader compatibility with clear heading structure, alt-text, and semantic markup.

Keyboard navigation and logical tab order.

High-contrast text and resizable fonts for users with visual impairments.

Plain English and consistent layout to aid readability and comprehension.

large-print versions available on request.

During onboarding, users receive guided setup instructions, role-specific quick-start guides, and secure access to online tutorials. Offboarding materials follow the same accessible design principles, ensuring users can independently complete data extraction, decommissioning, or transition tasks without barriers.
End-of-contract data extraction
2T Solutions does not act as the primary data controller or long-term data host for customer clinical information.
The SpiritEHR platform is designed as an interoperability and data-sharing layer that facilitates access, exchange, and presentation of information sourced from authorised connected systems (e.g. EPRs, GP systems, pathology, imaging, and shared care records).

In practice:

2T’s solution aggregates and presents data from multiple live sources through IHE-compliant transactions (e.g. XDS.b, XCA, PIX/PDQ, FHIR APIs).

Clinical documents and patient data remain stored and governed within the originating systems (NHS Trusts, ICS repositories, or partner environments).

2T components may temporarily cache metadata or session data (e.g. for audit, transaction logs, or indexing) within an NHS-approved or customer-controlled hosting environment, but this is non-persistent and time-limited.

All environments used are ISO 27001-certified and configured under the customer’s DSPT-compliant IG framework.

Therefore, 2T Solutions enables secure data sharing and viewing rather than maintaining a separate copy of patient records.

Ownership, custody, and long-term storage of all personal or clinical data remain entirely with the data-controlling NHS organisations.

Owing to this there is no requirement for data extraction at the end of a contract
End-of-contract process
End-of-contract process

At the end of the contract, 2T Solutions follows a structured, transparent offboarding process to ensure service continuity, data integrity, and full compliance with NHS and CCS governance requirements.

Included in the contract price:

Secure data extraction capability using open, standards-based formats (FHIR, HL7 CDA, XML, CSV, JSON).

Access to offboarding documentation and self-service guidance through the Gatekeeper Service Management Portal.

Support for customer-initiated data verification and audit confirmation.

Configuration of the system to prevent new data submissions and transition to a read-only state if required.

Secure data deletion of temporary cache or metadata once confirmation of successful extraction is received.

Provision of an end-of-service completion certificate confirming decommissioning, audit log retention, and data sanitisation in accordance with NHS DSPT and ISO 27001 standards.

Additional (optional) chargeable services:

Technical assistance with bulk data extraction, transformation, and validation.

Extended access period for parallel running or migration to successor systems.

Custom reporting, reconciliation, or clinical validation during data migration.

Using the SpiritEHR API to enable integration with external systems or extend functionality (e.g., embedding patient views or automating document publishing).

SpiritEHR provides a flexible and configurable environment that empowers NHS buyers and system partners to tailor the platform to their clinical, operational, and branding needs — while maintaining full interoperability and compliance with national digital standards.

Scaling

Independence of resources
2T Solutions ensures users are not impacted by demand from other customers through strict architectural isolation and automated scaling.

Each tenant operates in its own logically separated environment with containerised microservices, dedicated namespaces, and resource quotas that prevent any customer from consuming disproportionate compute, memory, or I/O. Kubernetes orchestration with autoscaling policies adds capacity during increased load, supported by elastic cloud infrastructure.

Load balancing, API rate-limiting, and burst-protection maintain predictable performance. Continuous monitoring and alerting ensure stability, so all users experience the same reliable service regardless of wider system demand.

Availability and resilience

Guaranteed availability
2T Solutions provides a 99% uptime guarantee for all production services, measured monthly and excluding planned maintenance windows. Our SLA covers application availability, API responsiveness, and access to all contracted service components.

If availability drops below the guaranteed level, customers are entitled to service credits, calculated as a percentage of the annual service fee. Typical credits range from 5% to 10%, depending on the extent of the downtime, and are applied to the next billing cycle.

High availability is delivered through redundant cloud infrastructure, load-balanced microservices, automated failover, and continuous monitoring to ensure consistent service uptime.
Approach to resilience
2T Solutions is built using a cloud-native, multi-layered resilience architecture designed to maintain continuous service availability even under adverse conditions. The platform uses containerised microservices orchestrated across multiple availability zones to ensure that no single point of failure can disrupt service. Automated failover mechanisms, intelligent load balancing, and horizontal auto-scaling allow the service to adapt dynamically to component failures, traffic spikes, or changing resource needs without user impact.

Data resilience is achieved through synchronous replication across highly durable storage tiers, ensuring that information remains protected and immediately recoverable. Point-in-time backups and automated snapshot schedules support rapid restoration, while optional cross-region redundancy provides enhanced continuity for customers requiring elevated resilience profiles. All infrastructure components are continuously monitored through centralised logging, alerting, and system health checks, enabling proactive identification and resolution of issues. Infrastructure-as-code practices ensure predictable, repeatable deployment of environments and support rapid recovery in the event of an incident.

The underlying datacentre resilience, including redundant power, cooling, network paths, and physical security controls, is delivered by accredited cloud providers that meet recognised international standards.

Full technical documentation describing datacentre resilience and architectural safeguards is available to buyers on request.
Outage reporting
2T Solutions reports outages directly to customers through email alerts sent via our client communication channels. When an incident is detected, notifications are issued to all registered customer contacts, providing details of the issue, affected services, and expected timelines for resolution. Updates are shared throughout the incident lifecycle, with a final notification sent once full service restoration is confirmed.

At present, 2T Solutions does not operate a public status dashboard or availability API. All outage communication is delivered through managed email notifications to ensure timely, targeted and reliable updates for each customer organisation.

Other user authentication
2T Solutions authenticates API users through the use of securely generated, unique API keys assigned per client or integration. API keys are issued following formal onboarding and are associated with defined permissions and usage scopes, ensuring least-privilege access. Keys must be presented with each request and are validated server-side before access is granted. API traffic is transmitted exclusively over TLS 1.2 or higher to protect credentials in transit. API keys can be rotated or revoked at any time and are monitored for misuse. Access events are logged and reviewed to detect unauthorised or anomalous activity.
Access restrictions in management interfaces and support channels
2T Solutions restricts access to management interfaces and support channels through role-based access control, strong authentication, and strict governance. Administrative access is limited to authorised personnel using individual accounts protected by MFA and, where applicable, SSO, with access granted on a least-privilege basis and reviewed regularly. Network restrictions, segregation of duties, and centralised audit logging further protect management interfaces. Support access is controlled via authenticated portals, case-based permissions, and formal approval for elevated actions. All activities are logged and monitored under an ISO 27001-aligned ISMS, ensuring secure, auditable, and proportionate access control.

Information security policies and processes
2T Solutions operates an ISO 27001-aligned Information Security Management System (ISMS) that governs all policies, controls, and assurance activities. Our policies cover risk management, access control, secure development, change management, incident management, supplier security, asset handling, business continuity, and data protection. They are reviewed at least annually or following significant change.

Information security is overseen by the Managing Director (Board-level Security Lead) and the Data Protection Officer, who jointly provide strategic oversight and ensure compliance aligned with ISO 27001, NHS DSPT, and applicable UK GDPR obligations. Operational responsibility is delegated to the Security & Compliance Manager, who monitors adherence to policies, manages risk assessments, and coordinates internal audits.

Security controls are implemented through mandatory staff training, role-based access, MFA/SSO, vulnerability management, configuration baselines, and enforced secure coding and deployment standards. Compliance is verified through regular internal audits, external IT Health Checks, and continuous monitoring across cloud environments.

Incidents follow a documented response process aligned with ISO 27035, including rapid triage, containment, root-cause analysis, and post-incident review. Policy adherence is ensured through audit trails, change approval workflows, automated logging, and monthly governance reporting to the senior leadership team.

Operational security

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
2T Solutions operates formal configuration and change management processes aligned to ITIL and ISO/IEC 27001 to ensure service components are controlled throughout their lifecycle. All assets are recorded in a configuration management database with versioning, ownership, dependency tracking, and audit history. Changes are classified as standard, normal, or emergency and are subject to documented approval, testing, and rollback procedures. Every change undergoes a security impact assessment covering data protection, access control, system integrity, and regulatory compliance. Changes are deployed through controlled release processes with segregation of duties, full audit logging, and post-implementation review to maintain security, resilience, and service continuity.
Vulnerability management type
Supplier-defined controls
Vulnerability management approach
2T operates a formal vulnerability management process aligned with ISO/IEC 27001 and NHS security expectations. Potential threats are assessed through continuous risk review of infrastructure, applications, and integrations, supported by vulnerability scanning, penetration testing, and configuration reviews. Vulnerabilities are risk-rated based on impact and likelihood, with priority given to risks affecting clinical safety, data protection, or service availability. Critical and high-risk patches are deployed following accelerated change control, typically within 24 to 72 hours where safe to do so, with lower-risk updates applied as part of scheduled maintenance. Threat intelligence is sourced from vendors, security advisories, government alerts, and best-practice.
Protective monitoring type
