Onboarding and offboarding
- Getting started
-
Simunix supports users onboarding onto ORBIS Network through a structured and supported onboarding process. New organisations are set up by the Simunix team, with user accounts created and access enabled in line with buyer requirements. Users are provided with guidance on getting started, including how to perform searches, interpret results and use core service features.
Introductory walkthroughs are available to support initial adoption and ensure users are comfortable using the service. Ongoing support is available via email and phone during business hours, and users can raise questions as they begin using ORBIS in live operational environments.
Where required, Simunix can provide tailored onboarding sessions to support specific use cases, user groups or operational workflows. Written guidance and reference materials are made available to support day-to-day use.
Onsite training or workshops can be arranged at additional cost for organisations that require in-person support, larger user rollouts or refresher training. Simunix works closely with buyers during onboarding to ensure the service is configured appropriately and users can begin using ORBIS Network effectively and confidently. - Service documentation

- End-of-contract data extraction
- ORBIS Network stores limited user account information required to operate the service, such as user names, email addresses, departments and contact details, along with usage and management information. At the end of a contract, buyers can request copies of relevant account and usage data, including management information reports. Data extraction is provided through a managed process coordinated by the Simunix account manager, rather than self-service tools, and is subject to data protection and retention requirements.
- End-of-contract process
-
At the end of the contract, access to ORBIS Network is disabled in line with the agreed contract end date. User accounts are closed and access credentials are withdrawn. Simunix will work with the buyer to provide any requested management information or account data that is available, such as user account details and usage reports, subject to data protection and retention requirements. Any data held is managed in accordance with Simunix’s data protection and information security policies.
The contract price includes standard access to ORBIS Network, account setup, ongoing account management, email and phone support during business hours, and routine management information on request. Optional enhancements and additional services, such as SmartPath, bank verification, land registry access, bespoke reporting, or onsite training, are not included in the standard price and can be provided at additional cost if required and agreed separately. - Documentation accessibility standard

For full functionality, desktop access is recommended.

- User support accessibility
- None or don’t know
- Description of service interface
- ORBIS Network provides a secure, browser-based interface with clear menu navigation and structured search forms. Users can perform a range of searches, including person, address, phone, company and zone searches, using simple input fields and selectable data sources. Search results are presented in organised tables for easy review. Optional enhanced features may be available separately. The interface requires no installation, works on modern browsers and is designed for straightforward use on desktop and mobile devices.
- Accessibility standards
- None or don’t know
- Description of accessibility
- ORBIS Network is a browser-based service designed to work on modern devices and standard web browsers. Users can navigate using menus, buttons and form fields, and the interface supports keyboard and mouse input. Text is clear and pages can be zoomed using browser controls. The service does not currently include specific accessibility features such as screen-reader optimisation or enhanced contrast modes. Some complex or optional features may be harder to use with assistive technologies, and we will consider reasonable adjustments where issues are identified.
- Accessibility testing
- ORBIS Network has not yet undergone formal testing with users of assistive technologies. The interface is browser-based and designed using standard web components intended to work consistently across modern browsers. While we do not claim specific accessibility conformance, we will support users where possible and consider reasonable adjustments if accessibility issues are reported. Feedback from public sector users helps inform ongoing improvements and future accessibility considerations.
- API
- Yes
- What users can and can't do using the API
- ORBIS Network provides an optional API delivered through T2A, giving programmatic access to selected lookup functions such as name, address, telephone and identity-related searches. API users can submit queries and receive structured results for integration into their own systems. Users cannot configure ORBIS, manage accounts, or change service settings through the API. Setup requires Simunix to enable API access and issue credentials; buyers manage their own integration. Any changes to access permissions or endpoint availability must be requested through Simunix. Bulk data processing, visual analysis features and ORBIS interface functionality are not available via the API.

Scaling
- Independence of resources
- ORBIS Network is delivered as a centrally managed SaaS service with controls in place to ensure fair and reliable usage across customers. Capacity is monitored and managed by Simunix to maintain consistent service performance. Usage limits and access controls are applied at an organisational level, and API usage may be subject to rate limits. These measures help ensure that demand from one user or organisation does not adversely impact the experience of others.

Simunix is committed to protecting the confidentiality, integrity, and availability of our information assets. Our ISMS policy and ISO 27001 accreditation are critical aspects of our business operations, and we recognise their importance in safeguarding our data, our clients' data, and maintaining the trust of our stakeholders.
Our ISMS Policy established a framework for managing and continuously improving information security within our organisation. Our primary objectives are to:
a) Protect sensitive information from unauthorised access, disclosure, alteration, or destruction.
b) Comply with applicable laws, regulations, and industry standards related to information security.
c) Mitigate information security risks that may impact our business operations.
The policy applies to all employees, contractors, suppliers, and third parties who have access to our information assets and systems. It covers all information assets owned, managed, or processed by Simunix.
The IT Director and DPO are accountable for overseeing the ISMS and ensuring its effectiveness. - Software Security Code of Practice

Operational security
- Configuration and change management standard
- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Configuration and change management approach
-
All service components (hardware, software, licences, and cloud resources) are recorded in a text file and excel doc, held on SharePoint. The documents track ownership, version, and lifecycle status.
Changes are raised through a change request system (Atlassian Jira) and categorised by risk and impact. Each change undergoes security impact assessment, including data protection, access control, and vulnerability considerations, with high-risk changes approved by a senior project manager and DPO before implementation and post-change review. - Vulnerability management type
- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Vulnerability management approach
-
Potential threats are assessed through vulnerability scans, risk assessments, and penetration testing.
Security patches can be deployed within 24–48 hours, while lower-risk updates can be delivered via a 2 week delivery time cycle.
Simunix are a signatory to Risk Ledger who provide regular updates on emerging threats. - Protective monitoring type
- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Protective monitoring approach
- Simunix uses a low-impact proprietary tool that runs on each server. It monitors available RAM, CPU and hard disc space. Should any of these parameters become a cause for concern, an email and SMS is sent to the key IT personnel. Anti-virus software is installed, operated and maintained on all Simunix IT infrastructure including Virtual Environments, PCs and physical servers. A security weakness is recorded in an ISMS vulnerability log and IT will assess the severity of the compromise. Security patches can be deployed within 24–48 hours, while lower-risk updates can be deployed via a 2 week release cycle.
- Incident management type
- Complies with a recognised standard, for example, CSA CCM v4.0 or ISO/IEC 27035:2011 or SSAE-18 / ISAE 3402
- Incident management approach
- All Simunix staff and third party suppliers are responsible for reporting breaches, security events and near misses as quickly as possible. Security events may also be identified through risk assessment or automated tasks or manual monitoring and audit at the organisational or project level. Users report incidents via Atlassian Jira. Incident resolution is provided by IT and updated in Atlassian Jira.
