Onboarding and offboarding
- Getting started
- JLL employs a comprehensive multi-modal training approach to help users start using Archibus effectively. The company develops tailored training classes that specifically reflect the business processes, features, and modules clients need for their day-to-day work, targeting different user roles including end users, managers, system administrators, and developers. JLL offers several training modalities to accommodate diverse organisational needs. Instructor-led classroom sessions provide the most effective training experience, while instructor-led telepresence sessions offer nearly equivalent effectiveness for geographically dispersed organisations with substantial travel cost savings. For broader accessibility, JLL utilises live webinars well-suited for casual users requiring limited functionality, and lunch-and-learn sessions for rolling out simple administrative procedures to many users. The company typically employs a Train-the-Trainer approach, providing clients with comprehensive training materials including detailed user guides, classroom learning guides, and quick reference materials designed to be process-oriented with real-world examples. JLL conducts both in-person and WebEx training sessions globally and offers refresher training as part of their ongoing support services. Additionally, up to three days of annual user refresher training at the client's site is included in the Gold maintenance program, ensuring continued user proficiency and adoption.

- End-of-contract data extraction
- Using the Smart Client application, system users have access to data transfer tools across front and backend data across all of the modules used including work orders, asset information, leases, projects and space data. The data transfer tool allows users to extract data in standard file formats like CSV and XLS. Smart Client users can export active drawings by downloading DWG files.
- End-of-contract process
- Should a client choose not to renew its Archibus SaaS contract, an off-boarding process is initiated. During this period, the client has the ability to export their data from the Archibus SaaS platform. Once the off-boarding window closes, the client's access to the Archibus SaaS service is deactivated. Following deactivation, Eptura proceeds with the permanent deletion of the client's data from its servers in line with its data retention and physical storage policies, ensuring all client information is securely and permanently removed after the business relationship has ended.

- Description of customisation
- Archibus SaaS by Eptura offers Platform Services across three tiers to enable customisations in their SaaS environment. The Basic tier provides UAT and production environments with limited customisation capabilities, allowing only connector .jar file uploads and changes, along with basic infrastructure modifications by request. The Professional and Enterprise tiers offer comprehensive customisation options including DEV, UAT, and PROD environments with dedicated GitHub repositories and CI/CD automation. These tiers support extensive code changes including Java applications, CSS, AXVW, and JavaScript modifications, plus configuration file updates under the web-inf/config folder. customisations encompass external code additions like AXVW, JS, CSS, HTML components, Java-based applications, React Native apps, and database schema adjustments. JLL carries out these customisations on behalf of the customer as Eptura's business partner, acting as the delegated Archibus implementer and software developer. Partners maintain full responsibility for testing, code review, and incorporating future product updates. The platform emphasises an additive approach rather than modifying out-of-the-box components to prevent upgrade conflicts. All customisations follow strict deployment processes with automated pipelines, backup procedures, and rollback capabilities to ensure system stability and maintain SaaS characteristics.

Availability and resilience
- Guaranteed availability
- Based on our Service Level Agreement (SLA), we guarantee 99.5% availability for our Subscription Services each month, excluding excusable downtime such as scheduled maintenance, emergency repairs, or issues beyond our control. Our availability commitment is measured by dividing available minutes by total monthly minutes. ""Available"" means our site responds to standard ICMP or HTTPS requests and remains operational. We exclude routine maintenance (with five business days' notice), emergency maintenance, customer-caused issues, and force majeure events from availability calculations. When we fail to meet our 99.5% guarantee, customers receive service credits as follows: 2% of monthly fees for 99.00-99.49% availability, 5% for 98.50-98.99%, 10% for 98.00-98.49%, and 15% for below 98.00%. No credits apply above 99.50% availability. To claim service credits, customers must email servicecredit@eptura.com within 30 days of the incident, including ""SLA Credit Request"" in the subject line, dates/times of errors, affected services, and supporting evidence. Claims are verified against system records. Service credits are non-transferable, have no monetary value, and only apply against future invoices. Customers in payment default aren't eligible. These credits represent your sole remedy for availability-related service failures, ensuring accountability while maintaining reasonable operational flexibility for necessary maintenance and uncontrollable circumstances.
- Approach to resilience
- Eptura's Archibus SaaS service incorporates comprehensive resilience measures aligned with government cloud security principles for asset protection and resilience. Service Availability: We guarantee 99.5% monthly availability with clear service credit remediation when thresholds aren't met. All customer systems feature local resilience ensuring no single component failure causes substantial outage or data loss. Data Protection: Our backup strategy includes daily backups with 24-hour Recovery Point Objective (RPO) and 8-hour Recovery Time Objective (RTO) for major disasters. We maintain three generations of encrypted backup retention using ""Grandfather-father-son"" rotation schemes. Data Centre Infrastructure: We utilise SOC2 and ISO27001 certified commercial datacentres providing multiple redundancies across energy suppliers, cooling systems, telecommunications networks, and geographic distribution. Our disaster recovery data centre assumes operations if primary facilities become unavailable. Security and Network Resilience: Multi-region hosting capabilities support geo-protection requirements while advanced security controls including firewalls, WAF, IDS/IPS, and SIEM systems provide comprehensive threat detection and response. Operational Excellence: Rigorous annual testing protocols cover fail-over, backup restoration, and disaster recovery configurations. Every production instance undergoes resilience testing before customer release. Detailed technical specifications regarding specific datacentre configurations and redundancy implementations are available upon request through security@eptura.com, subject to appropriate confidentiality agreements.
- Outage reporting
- Archibus SaaS Outage Reporting Eptura provides multiple channels for reporting service outages and maintaining transparent communication with customers during incidents. Support Portal Access: All errors and incidents can be reported 24/7, 365 days per year via our online support portal and other designated support contact methods. This ensures continuous availability for incident reporting and status updates. Internal Monitoring and Alerting: We maintain comprehensive internal notification mechanisms that alert our personnel and support teams about detected anomalies. Our logging analytics tool continuously monitors production systems including server availability, CPU, memory, and disk space. An internal monitoring dashboard aggregates information from multiple systems providing real-time environment status. Incident Management: Our formal incident management process ensures organised, timely responses with clear escalation procedures and post-incident reviews for continuous improvement.

- Configuration and change management approach
- Archibus SaaS employs an agile change management process aligned with DevOps principles, enabling development and operations teams to collaborate for rapid, controlled deployments. All changes to customer systems, networks, servers, cloud environments, and databases are registered in Jira, documenting technical details, risk assessments, testing methods, rollback plans, and necessary approvals. Production changes are tested in a separate environment prior to deployment to minimise risk. Both standard and emergency changes require oversight; emergency changes may be verbally approved after risk assessment but must be recorded in Jira. Ad-hoc changes to production systems are strictly prohibited, preserving system integrity and security.

- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Vulnerability management approach
- Eptura’s vulnerability management process for Archibus SaaS includes monthly infrastructure and application scanning and annual penetration testing. Vulnerabilities are assessed by severity; critical issues are patched within 15 days, high-risk within 30 days, and medium-risk within 90 days. All changes are tracked through formal processes and tested before deployment. If a patch cannot be immediately applied, compensating controls are implemented. Threat assessment is ongoing and incorporates both risk evaluation and monitoring of emerging vulnerabilities through regular updates from industry sources. This approach ensures threats are assessed promptly and remediation aligns with risk to maintain platform security.
- Protective monitoring type
- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Protective monitoring approach
- Eptura employs continuous automated monitoring and logging across all Archibus SaaS environments to detect attacks, misuse, or malfunctions. System and user activities—including logins, access attempts, and configuration changes—are logged, centrally stored, and reviewed at least quarterly. Alerts are triggered for suspicious activity or potential compromises, and dedicated security and incident response teams analyse events using established workflows. When a potential compromise is identified, Eptura initiates its major incident response procedures, containing and investigating the threat promptly. High-severity incidents require immediate action, with initial response and containment occurring within hours to ensure effective mitigation and notification.
- Incident management type
