Standard Support is included within the Optimise SaaS subscription at no additional cost. Following completion of data extraction and confirmation from the buyer, data held within Optimise is securely deleted in line with contractual obligations and data protection requirements. - End-of-contract process

At the end of the contract, access to Optimise is maintained until the agreed contract end date. Prior to contract expiry, the buyer is notified and given the opportunity to confirm renewal, request data extraction or proceed with contract closure.
The contract price includes continued access to the Optimise SaaS service for the duration of the agreement, standard user support, hosting, maintenance and security updates. It also includes support for standard end-of-contract activities, such as coordinating data extraction requests and confirming service termination.
Data extraction is provided in commonly used formats following buyer approval. Once data extraction has been completed and confirmed, user access is withdrawn and data held within the service is securely deleted in line with contractual and data protection requirements.
Additional support beyond the standard contract scope, including bespoke data transformation, extended data retention, assisted handover, onsite support or advisory input, is available at extra cost through Cloud Support services, subject to agreed scope and pricing.

Availability and resilience

Optimise is delivered as a hosted Software as a Service platform on Microsoft Azure and is designed to align with the availability commitments of the underlying Azure services. The service targets 99.9% availability per calendar month, excluding planned maintenance and events outside the supplier’s reasonable control.
Availability is measured at the application access level and relates to authorised users being able to access Optimise via a supported web browser. Planned maintenance is scheduled, where possible, outside normal UK business hours and users are notified in advance.
Service availability is monitored by 1st Planner using application and platform monitoring tools. Where availability falls below the stated target in a given month due to issues within the supplier-managed service, buyers may be eligible for service credits. Service credits are applied as a proportionate extension of service access or a credit against future charges. Cash refunds are not provided.
Availability commitments do not apply where service disruption is caused by factors outside the supplier’s control, including buyer network issues, misuse of the service, or failures of third-party services beyond the Azure platform.

The underlying Azure datacentre environment provides built-in resilience through redundant power, cooling, networking and physical security controls, supported by Microsoft’s managed operations and resilience standards. Azure services used by Optimise are designed to tolerate component failures without loss of service, with infrastructure resilience managed by Microsoft as the cloud service provider.
At the application level, Optimise uses cloud-native services designed for high availability and fault tolerance. Service performance and availability are monitored continuously, with alerts in place to identify and respond to issues. Planned maintenance is scheduled to minimise user impact.
Data is stored on resilient Azure storage services with built-in redundancy, reducing the risk of data loss due to hardware failure. Access controls and logical separation ensure that issues affecting one customer do not impact others.
1st Planner manages service configuration, monitoring and incident response as part of normal operations. Further technical detail on resilience design and recovery processes can be provided on request where required by buyers. - Outage reporting
