The Connected Platform is provided as a cloud-based SaaS service and is accessed via a standard web browser. Planned maintenance windows are required to deploy releases, patches and corrections. These are scheduled in advance and typically carried out outside core UK business hours to minimise disruption. During planned maintenance, parts of the service may be temporarily unavailable. Buyers are notified ahead of any planned downtime. The service does not require specialist hardware and is accessed via modern, standards-compliant web browsers. Unplanned service interruptions are unlikely and, if they occur, are managed through established incident management processes.

Standard support is provided Monday to Friday, UK business days, excluding UK bank holidays. In some circumstances, limited support may be available outside these hours, but this does not change the stated response targets. Support for the Connected Platform is provided as a standard service, with support levels and resourcing scalable by agreement based on contract value, deployment complexity and business criticality.
The following support levels are available:
• Tier 0: Self-service guidance and documentation, where available.
• Tier 1 / Tier 2: Service desk support covering user access queries, incident logging, triage, investigation and resolution of common issues.
• Tier 3: Specialist engineering support for complex defects, platform issues and critical incidents requiring deeper technical investigation.

Onboarding and offboarding

Getting started
Efficio supports users in starting to use the Connected Platform through a structured onboarding and training approach, aligned to each client’s context and delivery model. At the start of an engagement, Efficio provides an onboarding and training session to introduce users to the platform, its purpose, and how it is used in practice. This session can be delivered online or onsite, depending on client preference. Where onsite training is requested, reasonable travel and expenses may apply as an additional cost.
Training focuses on the most relevant platform features for the client, such as platform navigation, initiative and programme setup, dashboards and reporting, document management, and tools. Sessions can be tailored to different user roles to ensure training is practical and proportionate.
In addition to the live training session, Efficio provides user documentation to support adoption. This includes access to a general user guide covering platform access, as well as additional guidance for key functionalities where required. Documentation is made available to users to support reference and self-service learning.
As the platform evolves, any material updates to user guides or training materials are communicated to users, ensuring they are aware of changes to functionality or recommended usage.

End-of-contract data extraction
Ahead of contract expiration, customers may request an extract of their data held within the Connected Platform. Where requested, Efficio will provide a one-off data extract prior to contract termination, subject to agreement on scope, format and timing. This extract is intended to support customer transition and continuity and will be provided in a commonly used electronic format where feasible.
The data extract will include customer-specific data captured during the contract, in line with agreed data ownership, contractual terms and applicable data protection requirements. The extract will not include Efficio proprietary content, methodologies or intellectual property.
Requests for additional data extracts beyond the initial agreed extract are not guaranteed and are provided at Efficio’s discretion, taking into account contractual arrangements, data protection obligations and operational considerations. Any additional extracts, if agreed, may require additional effort and may be subject to additional cost.
Data extraction activities are managed through secure channels and in accordance with applicable security and regulatory requirements.
End-of-contract process
At the end of the contract, access to the Connected Platform is managed in accordance with the agreed contract terms. As part of the contract agreement and any subsequent contract review, Efficio and the customer will agree the end-of-contract arrangements applicable to the service.
End-of-contract arrangements may include, subject to the agreed contract terms:
• Removal of access to active platform functionality and editing capabilities
• Limited, read-only access for a defined period to view information previously available within the platform
• Limited access to selected tools or functionality, where applicable
• Provision of a one-off extract of customer-specific data, agreed in advance
During any agreed transition period, customers may contact Efficio to discuss contract extension or renewal options. Any continuation of service is subject to a new or amended contract.
By default, the contract price includes access to the Connected Platform and agreed services for the duration of the contract term only. Additional costs may apply for continued or extended access beyond the contract term, limited tool usage after contract end, additional data extracts, bespoke configuration or integration work, or onsite activities where travel and expenses are required. How the documentation is accessible
Onboarding documentation for the Connected Platform is provided digitally and shared with users through secure channels, such as email or secure file-sharing mechanisms, in line with client security requirements and applicable regulations. This ensures that users can access onboarding materials prior to, or alongside, receiving access to the platform.
In addition, key onboarding documentation is also made available within the Connected Platform itself once users have access. This allows authorised users to view or download guidance directly from the platform using a standard web browser, subject to role-based permissions. Providing documentation both externally and within the platform supports a flexible onboarding experience and enables users to reference guidance as needed during initial setup and ongoing use.
Where offboarding activities are required, relevant documentation is shared separately through secure channels, such as email or other approved secure connections, in accordance with client requirements, data protection obligations, and organisational policies. This approach ensures appropriate handling of information when user access is being removed or has ended.
Any updates to onboarding or offboarding documentation are communicated to the client to ensure that users and administrators are working from the most current materials.

Description of service interface
The Connected Platform is accessed through a secure, browser-based web interface and does not require local software installation. Users access the service using standard web browsers on desktop or laptop devices. Access is managed through individual user accounts, with password-based authentication and multi-factor authentication (MFA) applied during account setup and ongoing use.
The interface provides access to core functionality, including dashboards, reporting, document management and configuration screens, subject to role-based permissions. Users may be redirected to related pages or download files as part of normal use. The platform can support integration with external systems, including ERP solutions, through secure APIs.

Description of accessibility
Our service is designed to be accessible and usable by a wide range of users. We build and test our platform in line with WCAG 2.1 AA and align with EN 301 549 for web-based services, documentation and support. Users can navigate and operate core functionality using a keyboard, access clear labels and error messages, and use assistive technologies such as screen readers. Some areas have documented accessibility limitations, which we actively review and prioritise for improvement. Our development approach supports ongoing enhancement and can align with newer accessibility standards where required.

The Connected Platform has not yet been formally tested with users of assistive technology. Accessibility considerations have been incorporated during design and development, but structured testing with assistive technology users has not been completed to date. As accessibility improvements are prioritised, the service team intends to incorporate more structured accessibility testing, including testing with assistive technologies, to better understand user experience and identify areas for enhancement. Any future testing outcomes will be used to inform ongoing improvements to accessibility and usability.

What users can and can't do using the API
Efficio maintains a catalogue of available APIs for the Connected Platform, which sets out supported integration points and data objects. These APIs enable controlled data exchange between the Connected Platform and external systems, such as source-to-pay (S2P), ERP and other procurement or finance solutions, allowing relevant data to flow into or out of the service where appropriate.
API integrations are typically established during service setup, based on customer requirements, system compatibility and security considerations. Configuration of API connections is carried out in collaboration with Efficio and, where required, with third-party system implementation specialists. Customers do not self-configure API connections directly through the platform user interface.
Once an API connection is in place, data updates are exchanged in line with the agreed integration design. Any changes to the scope, structure or frequency of data exchanged may require configuration updates and validation to maintain data integrity and security.

Scaling

Independence of resources
The Connected Platform is deployed as a multi-tenant solution with logical data and access isolation between clients. Application workloads are deployed behind load-balanced infrastructure, and capacity is monitored to ensure performance remains within acceptable limits. While infrastructure scaling is currently managed manually rather than through automatic autoscaling, capacity can be increased without service interruption when required. There are no formal performance SLAs in place at this time. Logical tenant isolation ensures that activity by one client does not directly impact the data or access of another client.

Availability and resilience

The Connected Platform is provided as a cloud-based SaaS service with a target availability of 99.90%, excluding planned maintenance windows. Planned maintenance is scheduled in advance and, where possible, carried out outside UK business hours to minimise disruption.
Availability is monitored as part of normal service operations. Where availability falls below the agreed threshold, remedies are handled in line with the contractual arrangements in place with the customer.
Any service credits, indemnities or other remedies relating to availability are not fixed and are agreed on a per-contract basis during commercial negotiations.

Our Information Security Management System (ISMS) is governed by a cross-functional compliance committee, led by our General Counsel, who also acts as our Data Protection Officer. Operational responsibility sits with our Head of Information Security, reporting to the Executive Committee.
