All Treekeeper subscriptions include Basic Support at no additional cost. This covers access to email and telephone support during standard UK business hours, support for general “how-to” queries, web-based overview and training sessions, and assistance with standard configuration tasks such as map symbology updates, attribute configuration, and reference layer updates. Basic Support is included within the annual subscription price.
For organisations requiring enhanced assistance, Premium Support is available as part of higher subscription tiers or as an upgrade for an additional fee. Premium Support includes an allocated number of hours for advanced software support services, assistance with more complex workflows, integrations, and configuration, and regular scheduled engagement to support effective use of the system. Premium Support also includes structured governance sessions, such as steering committee meetings, to review usage, priorities, and future requirements.Under Premium Support, customers benefit from access to a named technical contact who acts as a consistent point of liaison, providing continuity and coordinating technical support activities. While Treekeeper does not assign a dedicated full-time technical account manager, Premium Support customers receive an enhanced level of technical engagement appropriate to their needs.

Onboarding and offboarding

Getting started
Treeconomics supports users to start using Treekeeper through a structured onboarding and training process designed to ensure a smooth transition into live use. At the start of a subscription, users receive guided setup and account configuration, including confirmation of user access, data structures and initial system settings.
Training is primarily delivered through online sessions, allowing users to quickly become familiar with the system without the need for travel. These sessions provide an overview of Treekeeper functionality, workflows and best practice use, and are tailored to the roles of different users such as inspectors, managers and administrators. Online training is supported by screen sharing and practical demonstrations using the buyer’s own data where appropriate.
Treekeeper also includes user documentation and guidance materials, which users can refer to during and after training to support day-to-day use. Ongoing support is available via email and telephone during published support hours to answer questions and provide further guidance as users become more confident with the system.
Where required, onsite training or workshops can be provided as an additional service, subject to agreement. This flexible approach ensures users receive the level of support and training appropriate to their organisation and experience.

End-of-contract data extraction
At end of contract, users can extract their data in a structured and usable format to support transition or archiving. Data extraction is supported through standard export functions and managed assistance where required. Users can request exports of their tree and asset records, inspection data, and associated attributes in commonly used formats suitable for analysis or import into other systems.
The offboarding process is coordinated by Treeconomics in collaboration with the buyer to confirm the scope of data required, preferred formats, and delivery method. Exports typically include tabular data files and associated spatial data where applicable, allowing buyers to retain full access to their information. Supporting documentation is provided to explain the structure of the exported data.
Where users require additional assistance, Treeconomics can provide managed support to help prepare and deliver data extracts as part of the offboarding process. Data is made available securely, and access to the live service is maintained during the agreed transition period to allow verification of exported information.
Once data extraction has been completed and confirmed by the buyer, system access is removed in line with contractual terms, and remaining data is handled in accordance with agreed data retention and deletion procedures.
End-of-contract process
At the end of a Treekeeper contract, the service follows a structured offboarding process to ensure an orderly conclusion and continuity for the buyer. Access to the live service continues until the contract end date. During this period, users can request data exports and confirm that all required information has been received. Standard offboarding guidance and coordination are included as part of the contract.
Data extraction at contract end is included at a basic level, covering standard exports of core data in commonly used formats (xls, shp and csv). Additional services may be charged where buyers request enhanced support, such as complex or bespoke data extracts, large-scale historical data processing, additional analysis, or extended support beyond the contract term.
If a buyer chooses not to renew, system access is removed following completion of offboarding activities. Any remaining customer data is retained or securely deleted in accordance with contractual terms and applicable data protection requirements.

The desktop and mobile versions of Treekeeper provide access to the same underlying data but are optimised for different use cases. The desktop service offers full functionality for data management, reporting, configuration and analysis, typically used in office-based environments. Some advanced configuration, reporting and administrative functions are primarily available through the desktop interface. Treekeeper provides a secure, web-based user interface designed for professional users managing tree and asset data. The interface combines tabular data views, interactive mapping and configurable forms to support inspections, maintenance and analysis workflows. Treekeeper is a browser-based service designed to be usable by a wide range of professional users. The interface supports clear layouts, readable text, adjustable zoom, good colour contrast and consistent navigation. Many tasks, including data entry and record updates, can be completed using a keyboard. Screen readers can access much of the interface content. We have conducted VPAT® Version 2.4 assessment for accessibility and have an overall AA rating. We are also actively working with DRG to improve accessibility and are progressing towards WCAG compliance during the current year.

Treekeeper has undergone accessibility testing focused on front-end user interface behaviour, informed by recognised accessibility standards. Testing has included review of keyboard navigation, focus handling, colour contrast, form labelling and screen-reader compatibility against WCAG criteria, with particular attention to common assistive technologies. This testing has identified areas that are fully supported as well as areas that are partially supported, particularly where interactive, map-based functionality is required. Findings from this testing have informed ongoing improvements to the interface. Treeconomics continues to review accessibility feedback and testing outcomes as part of its programme of accessibility enhancement.

What users can and can't do using the API
Treekeeper supports API-based integration to enable data exchange with third-party systems, but API access is managed and supplier-configured, rather than provided as a self-service or public developer API. Users cannot independently set up, modify or administer API connections themselves.
API integrations are typically configured by the supplier in collaboration with the buyer to support defined use cases such as synchronising tree and asset data with GIS platforms, works management systems, customer reporting systems, or benefit calculation tools such as i-Tree Eco. Integrations may be one-way or bidirectional, depending on the agreed scope. Configuration, authentication and mapping of data fields are handled as part of a managed implementation.
Users cannot use the API to provision the service, create accounts, change core system configuration, or bypass role-based access controls. All API activity operates within the same permission and data protection constraints as the main application. API access does not provide unrestricted write access to the system and is limited to agreed datasets and functions.

Description of customisation
Treekeeper can be customised through configuration rather than changes to the underlying software code. Buyers can customise a wide range of elements to reflect local policies, asset types and working practices. This includes data fields and attributes, inspection and works forms, workflows, map symbology, reference layers, reporting outputs, dashboards, and user roles and permissions. Customisation also allows organisations to structure tree and asset records to match local standards and operational requirements.
Most day-to-day configuration is carried out through the Treekeeper web interface using built-in administrative tools. Authorised users can add or amend data fields, adjust inspection templates, manage user access levels, and configure how information is displayed on maps and reports. These changes take effect immediately and do not require system downtime.
Customisation can be carried out by users with appropriate administrative permissions within the buyer’s organisation. More advanced configuration, such as complex workflows, integrations, or large-scale data changes, can be supported by Treeconomics and Davey through managed configuration or professional support services, where agreed. This approach allows buyers flexibility while ensuring the core platform remains secure, stable, and supported.

Availability and resilience

Guaranteed availability
While the service is architected to achieve high availability through managed cloud infrastructure, Treeconomics does not currently guarantee a specific percentage uptime or availability level through a formal Service Level Agreement.
The service includes provisions for planned maintenance, which is scheduled outside core business hours where possible and communicated in advance. In the event of an unplanned service outage that results in the service being inaccessible, Treeconomics will investigate and take reasonable steps to restore service as quickly as practicable. The SaaS Agreement states that where a service failure occurs and the service is unavailable, the provider will seek to resolve the failure within seventy-two (72) hours.
Treekeeper does not operate a service credit or automatic refund scheme linked to service availability. Pricing reflects a fully managed SaaS offering that includes hosting, maintenance, updates and support rather than guaranteed uptime thresholds. Where significant service issues occur, Treeconomics works collaboratively with customers to communicate status, minimise disruption and agree appropriate next steps.
Approach to resilience
Treekeeper is hosted in professionally operated datacentres that provide built-in resilience through redundant power, networking and environmental controls. Infrastructure is monitored and maintained centrally, with routine updates and maintenance applied in a controlled manner to minimise disruption to users.
The service architecture supports scalability and fault tolerance, allowing the platform to continue operating effectively under varying levels of demand. Customer data is securely stored and logically segregated, reducing the risk that issues affecting one customer will impact others. Backups and recovery processes are in place to support service restoration in the event of system failure.
Operational resilience is supported through defined service management and support arrangements. In the event of service disruption, incidents are investigated and managed by the support team, with communication provided to customers as appropriate. The SaaS Agreement includes a commitment to restore service following significant outages.
Treeconomics works closely with its delivery partner, Davey Resource Group, which provides additional operational resilience through distributed teams. This ensures continuity of service management and support even if local resources are temporarily unavailable. Further details of datacentre resilience and hosting controls can be provided on request.
Outage reporting
Treekeeper reports service outages through direct communication rather than automated public reporting tools. The service does not currently provide a public status dashboard or an outage reporting API. Instead, outage communication is managed through established support and customer communication channels. In the event of an unplanned service outage or significant service degradation, Treeconomics investigates the issue and provides updates to affected customers via email communication. Where appropriate, updates may also be provided through direct contact with nominated customer contacts by telephone. This approach ensures that information shared is accurate, relevant and tailored to the specific impact on each customer.
Planned maintenance that may affect service availability is communicated in advance wherever possible, typically by email, to allow customers to plan accordingly. During incident resolution, customers are kept informed of progress, expected restoration times and any actions required on their part. Outage reporting and communication are coordinated by the support team and aligned with the service management processes described in the SaaS Agreement. This managed approach avoids reliance on automated alerts while ensuring customers receive timely, clear and appropriate information when service availability is affected.

Treeconomics approaches security governance through proportionate, risk-based controls aligned to the nature and scale of the Treekeeper service. Security responsibilities are clearly assigned, and access to systems and data is controlled using role-based permissions and least-privilege principles. The service is delivered using secure, third-party cloud infrastructure, with data protection and security requirements defined contractually. Security risks are reviewed as part of service management and change processes. Davey Resource Group’s software development team utilizes JIRA and bitbucket to document and source control any source code changes for the application. The backlog is prioritized using Agile project management, stakeholder feedback and technical debt remediation. All software development team members have participated in hack.edu’s OWASP Top 10 Vulnerability training. All code is peer code reviewed, with an emphasis on security, readability and maintainability for the produced code. Code is then staged in a release branch, with automated testing applied against the staging environment coupled with manual testing using the X-Ray incorporated with JIRA to identify defects for remediation.
