Users are given clear, easy-read step-by-step guides, alongside video tutorials, audio, and PDFs, so they can choose the format that works best for them.
We also provide separate guidance for group leaders and administrators who manage groups of service users.
From day one, users can get help through email support and our online chatbot, which answers common questions and helps with navigation. We also offer virtual onboarding sessions and training, including train-the-trainer sessions, tailored to how each organisation works.
In a small number of cases, if an individual is really struggling with IT, we offer one-to-one phone support to help them get started. This ensures no one is left behind.

End-of-contract data extraction
When a contract ends, Spectrum Courses ensures users can easily extract their data.

Users may request a data extract by contacting our support team. On request, we securely extract the relevant data and provide it in a commonly used, machine-readable format, in line with UK GDPR data portability requirements.

In addition, group leaders or administrators can independently extract all relevant user and service data directly from the service at any time. This is available via a CSV file download, allowing organisations to retain full copies of their data without requiring supplier involvement.

All data extraction is carried out securely and in accordance with UK GDPR, ensuring personal data is handled lawfully, protected during transfer, and suitable for reuse or migration to another system.
End-of-contract process
When a contract comes to an end, Spectrum Courses works with customers to ensure a clear and straightforward exit process.

Before the contract finishes, we remind customers of the end date and explain how data can be accessed and extracted. Local authority customers can request a secure data extract from our support team or, where appropriate, group leaders and administrators can download data directly using CSV files.

Where a local authority contract ends, individual training records continue to belong to the user. These records may remain relevant and transferable if the individual moves to, or accesses services within, a different local authority area. We support this by enabling training records to be securely extracted and reused where appropriate, in line with UK GDPR requirements.

Customers retain access to the service until the agreed end date, allowing time for transition. After contract expiry, access is removed and any remaining organisational data is securely deleted or anonymised. Confirmation of deletion can be provided on request.

This ensures continuity for users while meeting data protection and exit obligations.

Testing against WCAG 1.1 (Non-text Content) ensures all images, icons, and interface controls have appropriate text alternatives. WCAG 1.2 (Time-based Media) is addressed by ensuring audio output within the chatbot is accompanied by on-screen text and that audio can be paused, replayed, or controlled.

To meet WCAG 1.3 (Adaptable) and 1.4 (Distinguishable), we test page structure, headings, labels, colour contrast, text resizing, and browser zoom to ensure content remains readable and usable without loss of information. Spectrum Courses provides a guaranteed service availability level of 99.5% uptime, measured over a calendar month and excluding planned maintenance (actual 2025 availability was 99.95% uptime).

The service is designed to be available 24 hours a day, 7 days a week. Planned maintenance is kept to a minimum and, where possible, scheduled outside of peak usage periods with advance notice provided to customers.

Service availability is monitored continuously. Any unplanned service interruptions are investigated promptly and prioritised based on impact, with the aim of restoring service as quickly as possible.

If the guaranteed availability level is not met, customers can raise the issue with our support team. We will review the incident and, where appropriate, agree proportionate service credits or remedial actions on a case-by-case basis. Refunds or service credits are not automatic but are assessed fairly based on the nature, duration, and impact of the outage.

This approach ensures transparency and reliability while remaining proportionate to the size and nature of the service.

Updates are provided throughout the incident lifecycle, including confirmation once service has been fully restored. Where appropriate, we also carry out a post-incident review to identify root causes and improvement actions, which inform ongoing service resilience and reliability improvements.
