When the ER360 contract ends:
Access to the service (portal, hosting, UI) is terminated once the license subscription period ends.
The vendor makes your data available for export (e.g., CSV export or database-backup), and you typically have a 30-day window to retrieve/export your data.
After this period, the hosted environment and any stored data are deleted.
The standard off-boarding/export process is included — you don’t normally face extra cost just for contract end and data extraction.
What the contract price covers:
The base license/subscription fee per user (or per concurrent user) provides full access to ER360’s standard features: web-based portal, metadata visualisation, role/user management, metadata export to CSV, collaboration tools, and support (ticketing, web-chat (via the vendor Quest), phone during support hours) per the service definition.
Hosting, maintenance, licensing, and support are bundled under that subscription.

Import files. Create, read, update, delete objects and relationships. The erwin ER360 API provides broad control over metadata, but several constraints limit how users can set up or change configurations. First, authentication tokens expire after about four hours, so long-running scripts must re-authenticate. Role-based access control also restricts what different users can modify; only users with appropriate privileges can perform administrative actions or bulk updates. The API enforces field and naming limitations, such as maximum lengths for catalog names, descriptions, and usernames, which can restrict metadata design.
In some cloud-hosted deployments, there is no dedicated sandbox or test environment, meaning all API actions affect production data. Additionally, the cloud version may run a different or lagging repository version, which can limit access to newer API features available on-premise. While the API supports creating, reading, updating, and deleting objects and relationships, certain UI-specific features—like personalized views, collaboration elements, or layout settings—may not be fully exposed for programmatic modification.

Representation of the metadata can be customized on the diagram with out of the box information. Users can customise the erwin ER360 service across metadata, user experience, and administrative configuration. Customisable elements include metadata structures such as user-defined properties, object attributes, and diagram views; user experience features like custom collections, worksheets, and filtered views; and administrative settings, including authentication methods, user groups, roles, and catalog permissions. Shared or private views and export settings can also be adapted to suit reporting and governance needs.
Customisation is performed mainly through the ER360/Mart Portal interface. Administrators configure system-level features such as SSO/LDAP authentication, security settings, role definitions, and catalog structure. Metadata editors and data modellers can create or modify models, add custom properties, adjust diagrams, and build tailored views or export templates. Business users with limited permissions can still customise their own workspace through personal views, filters, and exports, provided these do not alter system metadata.

Should Erwin incur an unscheduled outage in excess of four (4) hours or more than two (2) unscheduled outages in excess of two (2) hours or more in duration within a single billing month, upon notice by Customer and confirmation by Erwin, Customer will be credited 10% of that month’s monthly recurring payment. Such service availability does not, however, include regularly scheduled maintenance or any unscheduled downtime due to failures beyond Erwin’s control (such as errors or malfunctions due to Customer’s computer systems, local networks or Internet connectivity).
