- End-of-contract data extraction
-
When a contract with Zellis concludes, users have several options for extracting their data. Upon expiry or termination, the customer and Zellis agree on the required assistance to facilitate the transfer of data to another provider. This process is formalised through an exit task list, which details each activity and any associated costs.
There are three principal exit options. Firstly, customers may opt for a read-only service, which allows continued access to view data in the ZellisONE Core Product for a fixed period, subject to additional charges. However, this does not include support for exporting data to other systems or formats.
Secondly, Zellis can generate a standard data extract of employee data and pay history from the database. This is a structured, readable set of data, and charges apply for both the extraction and transfer. Customers may also run their own data extractions using reporting tools before exit.
Thirdly, enhanced exit options are available, including bespoke data extractions in formats such as CSV or XLS, which are chargeable based on the effort required. All data is removed from Zellis systems after contractual exit, in line with the agreement. - End-of-contract process

ZellisONE APIs offers a secure and comprehensive suite of ODATA 4.0 and RESTful endpoints, enabling organisations to integrate, automate, and manage HR, payroll and Workforce Management data. Service setup requires registration with Microsoft Entra ID, configuration of App Roles for each environment, and the allocation of Azure API Management subscription keys. The API supports both service-to-service (read/write) and user-to-service (read-only) connections, with secure access managed through HTTPS and OAuth2.
Users can modify data via RESTful endpoints, including performing bulk data imports, with access controlled by role-based security profiles so that data is accessible only to those with the appropriate permissions. API usage is governed by the Zellis Fair Usage Policy, which is intended to provide a consistent and reliable service for all customers.
Integration Builder for non-payroll integrations is a core component of the integration platform, simplifying the movement of data between systems. It supports both RESTful APIs and file-based integrations (SFTP) and employs token-based authentication alongside features such as pagination and query parameters for efficient data retrieval. Integration Builder reduces reliance on custom development, supporting robust data governance and operational resilience. - API documentation

ZellisONE accommodates a considerable degree of configuration to meet buyer requirements.
Branding facilities can be provided to allow the buyer to customise their self-service portal to get the look and feel of their own organisation. The branding pack allows you to amend style sheets, to customise images, logos, fonts and colours in line with existing intranet, internet and portal website styling.
ZellisONE has also been designed and developed in close consultation with the independent Customer User Group and Zellis continuously work with customer feedback from our Extranet site to enhance efficiency, intuitive data input and process flows and simple navigation.
All configurations are then protected on an on-going basis even following system upgrades, as these user changes form part of the database and not the software.
Scaling
- Independence of resources
-
ZellisONE delivers consistent performance by logically and physically separating each customer’s systems and data. Dedicated databases, namespaces, and Virtual Private Clouds provide strong isolation across both Azure and Amazon Web Services (AWS) environments providing a unified solution across both cloud environments.
Azure Kubernetes Service (AKS) provides automated scaling and self-healing for Payroll, AI, and Analytics, while AWS EC2 equivalents deliver elasticity for HR and Workforce Management. This modular, multi-cloud architecture allows each customer’s workloads to operate independently, preventing demand from one organisation affecting others and not comingling data. Continuous monitoring and high availability underpin reliable service and operational continuity.

Data-in-transit protection
- Data protection between buyer and supplier networks
-
- TLS (version 1.2 or above)
- Other
- Other protection between networks
-
Zellis protects data in transit between the buyer’s network and our environment using strong encryption and secure protocols, with TLS 1.2 as a minimum standard. All API and browser communications are secured by enforced HTTPS, underpinned by RSA 2048-bit encryption and SHA-2 hashing.
For file transfers, Secure File Transfer Protocol (SFTP) with AES256 encryption is used to maintain data security.
Trusted digital certificates are applied throughout the system to reinforce authentication and prevent unauthorised access or tampering. Together, these controls safeguard sensitive information, uphold confidentiality, and support compliance with industry standards during all data exchanges. - Data protection within supplier network
-
- TLS (version 1.2 or above)
- Other
- Other protection within supplier network
-
Within the ZellisONE network, data is protected by logical and physical separation, strict role-based access controls, and robust encryption. Data at rest in Azure is secured using Transparent Data Encryption (TDE) and AES256 encryption, while Amazon Web Services (AWS) employs server-side and database encryption using AES256.
Encryption keys are managed via Azure Key Vault and AWS KMS, with comprehensive audit logging and restricted access. Multi-factor authentication, continuous monitoring, and regular vulnerability assessments further strengthen security, maintaining the confidentiality, integrity, and availability of sensitive information across the network.
Availability and resilience
- Guaranteed availability
-
The solution is accessible 24/7, except during scheduled maintenance periods, for which we aim to give ample notice. These maintenance windows are carefully planned to minimise disruption and fall outside the Core Service Availability Period (CSAP), which is from 0800 to 1800, Monday to Friday, excluding public holidays.
Within the CSAP, our primary focus is on providing a robust operational environment, striving for a 99.9% availability rate, exclusive of planned maintenance that for operational or for reasons of expediency cannot be scheduled outside of the CSAP. This commitment underscores our dedication to delivering a dependable service to our customers. - Approach to resilience
-
ZellisONE is designed for resilience across a dual cloud architecture, with HR and Workforce Management services on Amazon Web Services (AWS) in Ireland and Payroll, AI, Analytics and Integration on Azure in the UK.
Each platform operates across three Availability Zones, providing geographic diversity and rapid failover if a local issue occurs. Traffic is directed to healthy endpoints via Azure Front Door in Azure and AWS Load Balancer in AWS, supporting performance during adverse events.
Workloads are decoupled using Azure Service Bus for durable queuing and SymmetricDS for bi-directional data replication between the AWS and Azure clouds, so that transient spikes or component outages in either environment do not block user actions.
Resilience is strengthened through routine disaster recovery exercises, frequent backups with point in time restore, and service objectives targeting RPO of around five minutes and RTO of up to 24 hours from when Zellis declares a major incident.
Continuous monitoring and alerting across Azure and AWS, including Sentinel, New Relic, Grafana and native cloud services, promotes early detection and rapid response.
This combination of multi zone data centre deployments, intelligent traffic management, asynchronous integration, tested recovery processes and proactive observability supports high availability and dependable service continuity. - Outage reporting

Supported methods include Multi-Factor Authentication (MFA), public key authentication (such as TLS client certificates), identity federation with existing providers including Google Workspace and Microsoft Entra ID, SAML2.0. OAuth2 support, and traditional username and password.
Authentication is managed through Zellis Auth, which integrates seamlessly with enterprise identity infrastructures and provides a unified login experience. These options enable organisations to adopt the most suitable authentication approach for their needs, enhancing both security and user experience while maintaining compliance with recognised good practice. - Access restrictions in management interfaces and support channels
-
Access to management interfaces is strictly limited through Privileged Identity Management (PIM) in Microsoft Entra ID, providing just-in-time, time-bound, and approval-based privileged access. Multifactor authentication is required for all role activations, with regular access reviews and comprehensive audit logging.
Support channel access to customer data is denied by default and only granted temporarily, following robust audit and compliance controls. These measures collectively minimise the risk of unauthorised access, maintain oversight of all administrative activities, and uphold the highest standards of security and data protection across all management and support operations. - Access restriction testing frequency
