- Cloud deployment model
- Public cloud
- Service constraints
- There are no constraints with the use of SpeechCursor. SpeechCursor is delivered as a fully managed cloud service, hosted in Microsoft Azure; this enables us to provide continuous updates, patches, and maintenance without disruption to end users. Planned maintenance (once or twice a year) for the implementation of releases is limited to up to 2 hours, and carried out after 6pm (so after working hours); we are working to reduce this window of unavailability.

- Support levels
- G2 Speech provide a comprehensive, fully-managed service proactively, encompassing support for all the server infrastructure, OS, software, backups, etc. Our ITIL-aligned support system includes a dedicated 1st-line team, contactable Mon-Fri (9am-5pm) via our online support suite or a dedicated telephone number & email. All methods provide the customer with a unique call reference number. 2nd and 3rd-line levels ensure that tickets get the correct level of expertise applied in a timely manner to ensure adherence to the SLA. A Service Manager oversees complex issues and provides additional structure and ownership where required; they ensure clear communication and updates are provided, and that tickets are updated to ensure accurate recording. Where onsite support is required (and this is included in our standard support package), we can do so quickly, due to having team members located across various regions in the UK. A clearly documented escalation path is included in the agreed SLA to ensure that our customers have the relevant contact information should they need to use it. We can also agree extended support hours with our customers. Should a major problem arise (e.g. system being down, a major outbreak occurring), we provide a 24-hr emergency service as standard.

Onboarding and offboarding
- Getting started
- Following installation, we provide a bespoke, comprehensive and CIPD-accredited training package to ensure end-users are fully competent. Training is hands-on and instructor-led, and delivered via a 'train the trainer' approach (for end-users) and direct training (for system administrators & superusers); we offer classroom-based and/or one-to-one training (onsite and/or remotely via MS Teams, Zoom, TeamViewer, etc.). Full, up-to-date and comprehensive documentation is provided. We provide training and up-to-date materials with each upgrade of SpeechCursor. We offer a suite of e-learning self-training courses, to train and re-train users at their convenience. This suite, made bespoke to each customer, is accessible 24/7 from any location and device (desktop, mobile, tablet) via a link, or can be uploaded on the customer's LMS. It consists of a series of competency based, interactive modules, bite-sized video tutorials, best practice speech recognition techniques, and quizzes/competency tests. Courses are fun and interactive, with simulations, reinforcement, correction, and reward. Users can choose which module(s) to revisit. All training resources are tailored. We also assist customers with technical queries, via our support suite, accessible online and by telephone/email. Our technical team is fully available for onsite visits (and this is included in our standard support package).

- End-of-contract data extraction
- No patient/client data is stored in SpeechCursor, as the solution is used to input data directly into a third-party system via front-end speech recognition. The audio and speech document files are kept in the solution’s database for a limited amount of time and will be purged automatically after 30 days, so not extractable. We can provide a leaving customer with statistical data on their recognition rates when using SpeechCursor, however this would not usually be required by the customer.
- End-of-contract process
- Our usual process is as follows: A date will be agreed with the customer upon which all user access will be revoked, the services will be switched off and all SpeechCursor software and files will be removed from the servers. Then, the customer’s IT team will be advised to uninstall any remaining SpeechCursor software from user PCs. Should a customer wish to end their contract with us, we don't typically apply an end-of-contract charge, however all outstanding payments will still apply. SpeechCursor operates with a minimal data footprint where no dictated audio or recognised text beyond immediate processing needs is stored. The only persistent data held is basic user account information (name, email address, and encrypted password), which can be securely extracted and transferred if required.
- Documentation accessibility standard
- None or don’t know
- How the documentation is accessible
- Our onboarding and offboarding documentation is accessible both in print format and electronically – usually in PDF and/or HTML format, however it is also available in PowerPoint (e.g. as presentations) and MS Word. Training information can be imparted in various formats, including video. All documentation can be provided in a modified format – e.g. in bigger font, videos can be adapted with sub-titles. Offboarding documentation will include notifications of end of contract and service, as well as information aimed at providing technical support to the customer. We would provide this to each customer by liaising with the relevant members of their project team.

- Description of service interface
- The user interface consists of an interactive, responsive dictation window which the user simply dictates into in real time. The target is automatically selected when starting the dictation using a microphone or a foot pedal. The user reviews and amends the text before committing it to the third-party application.
- Accessibility standards
- None or don’t know
- Description of accessibility
- SpeechCursor adapts to individual ways of speaking, speech patterns and accents. Users can create and input autotexts (standard paragraphs of text and groups of headers/fields) with single voice commands, on the fly, reducing keyboard use. Users can make adjustments to their text based on a pre-defined prompt, at the click of a button on their microphone.
- Accessibility testing
- We will be undertaking interface testing with assistive technology in the near future.
- API
- Yes
- What users can and can't do using the API
- Where deeper integration or direct embedding of SpeechCursor into a third-party system is required, we can use our API Integration, SpeechExpress. This enables third-party applications to connect to a local API, allowing developers to designate specific fields for voice dictation and command-and-control functionality. This approach requires minimal development effort while providing flexible voice enablement within existing workflows.
- API documentation

- Customisation available
- Yes
- Description of customisation
- • We offer SpeechCursor in a variety of languages (the language displayed is configurable) and users can add their own vocabulary to the dictionary, on the fly. • SpeechCursor adapts to individual ways of speaking, speech patterns and accents. • Users can create and input autotexts (standard paragraphs of text and groups of headers/fields) with single voice commands, on the fly, reducing keyboard use. • The user can make adjustments to their text based on a pre-defined prompt, at the click of a button on their microphone. • The training we provide is also tailored to individual requirements. • In future versions of SpeechCursor, users will be able to change the colour scheme of their interface, the monochrome aspect and the lightness/darkness; these changes will be simple to implement by each user.
Scaling
- Independence of resources
- SpeechCursor is designed for high scalability in cloud-hosted environments: The underlying Microsoft Azure infrastructure supports elastic scaling to accommodate large user volumes and usage spikes. Our environments are continuously monitored and automatically scaled up if demand is high and scaled down if demand is low. SpeechCursor (multi-tenant) is built to serve a large shared user base and already supports thousands of active users across multiple customers.

Availability and resilience
- Guaranteed availability
- As our cloud environment is hosted on Microsoft Azure, we automatically gain the benefits of the disaster recovery procedures Microsoft has in place to ensure maximum uptime and availability of our entire environment – with SQL servers backed up frequently, application servers imaged daily, and workstations continuously synchronising data. In case of failures, efficient recovery processes restore functionality quickly, minimising downtime and data loss. This means risks regarding network, server or storage failure are minuscule as Microsoft can guarantee an availability percentage of 99.95% on the underlying infrastructure. To cover for the remainder, a template of the complete environment allows the full migration of the entire cloud infrastructure to another Microsoft datacentre within a day if a natural disaster were to occur which could cause our services to be unavailable for a longer period of time. G2 Speech take responsibility for backups. G2 Speech agree to be bound to specific SLAs for service uptime and service recovery.
- Approach to resilience
- As our cloud environment is hosted on Microsoft Azure, we automatically gain the benefits of the disaster recovery procedures Microsoft has in place to ensure maximum uptime and availability of our entire environment. The entire cloud infrastructure is monitored – including the networks, all servers, the databases and storage facilities, internet facing endpoints, Service and Process monitoring and Operating System essentials like CPU, RAM and disk space. Due to the nature of Microsoft Azure, Microsoft is responsible for monitoring the physical hardware and external infrastructure, and detect and mitigate for example DDOS attacks. Microsoft has various preventative measures in place to fight off these kinds of attacks to ensure their customers (i.e. G2 Speech) as well as G2 Speech's customers are not affected.
- Outage reporting
- In case of an unexpected outage, G2 Speech will immediately notify its customers individually via email and/or by phone, in accordance with the agreed SLA. We will continue to provide updates for the duration of the outage. When the outage has been resolved, we will also communicate this via the previously-mentioned communication channels.

- G2 Speech operates an ISO 27001-certified ISMS, subjected to regular audit. Internally, we complete annual security audits, to ensure continued adherence to required standards. We maintain a comprehensive Clinical Risk Management System, overseen by an external CSO, and which includes: a live Clinical Risk Management Plan; a Clinical Safety Case Report; and a Hazard Log and Risk Assessments. In the company, dedicated individuals are responsible for data security/protection and cyber security, at senior level. Our Information Security Manager and COO oversee our Information Security Policy (an overarching document consisting of 14 different policies, procedures, risk logs, registers…), reviewing it annually. We ensure the correct measures are in place to prevent: unauthorised/unlawful personal data processing or disclosure, except in accordance with the law; accidental loss/destruction/damage to personal data. We have clear lines of responsibility/accountability for information security and data protection, including cyber security; these are communicated to all employees. As part of our ISO accreditation, all staff are regularly trained in security standards, including Information Security Awareness; all training is recorded.
