It is counterproductive to complete a simple “lift and shift” of shared folder content to Microsoft Teams and SharePoint Online. Some level of analysis, and review by content owners, is therefore required.
Departments will receive a detailed project overview which explains the overall migration and on-boarding process, and what is required from those involved in the migration.
Each department will then be asked to review their shared folder inventory wand categorise folders as either “active”, “archive” or “delete”.
The departments current use of Teams and SharePoint Online will also be reviewed at this stage. Departments may choose to continue with their existing Teams and channel structure, or update this to accommodate the migration of their shared folder content. Some departments may also choose to start fresh and migrate existing files into an entirely new Teams structure. The number of Teams, associated channels and potentially SharePoint sites required to meet the departments migration requirements will be confirmed.
The final stage will be to complete a migration mapping file for the department. The mapping file will highlight all folders included in the migration (active and archive) and the folder destination e.g. Teams channel, Teams archive, SharePoint Site or Intranet. - Planning service works with specific services

Mployee will receive in-depth training ahead of their departments shared folder migration. This training will cover three key areas. 1) A high-level overview of organisations approach to using Teams, SharePoint and OneDrive for Business, based on the outlined governance decisions. 2) Scenario based training about how Teams, SharePoint and OneDrive for Business can be used to complete common tasks. 3) Detailed self-service “how-to” guidance on how specific features and functionality included with Teams, SharePoint and OneDrive for Business work.

All required Teams, Channels, and sites will be created. This may include completing configuration updates for existing Teams or re-organising the content and channels within existing Teams.
Once created, if any additional Teams or SharePoint configuration has been agreed with the department, this will also be completed.
Before being on-boarded to Teams, all employees will attend a schedule Microsoft 365 training session. Employees will also be encouraged to spend time familiarising themselves with the self-paced training content provided.
An initial bulk migration will be performed, followed by a second incremental migration. The department will complete a high-level review of migrated folders prior to the final incremental migration.
Following the delta / incremental migration, each service area will go-live and be fully on-boarded to Microsoft 365. At this point, support will be available throughout the day to assist with issues or queries. - Setup or migration service is for specific cloud services

All configuration work completed by yoko:10 is subject to functional testing. Test plans are created and agreed during the project initiation stage, when all requirements are confirmed. Testing, in line with the agreed plans, is undertaken as each area of configuration completes.
Where relevant, user acceptance testing (UAT) is undertaken by the organisation. All UAT feedback is jointly reviewed by yoko:10 and project stakeholders. Any requests for changes or additions are discussed and agreed before implementation.
