Our UK based customer services team answer support requests promptly and resolve problems quickly whether they relate to training or configuration. We follow a 6 stage case management process. All cases, issues, or requests for change are, in the first instance, reported to the Help Desk as the central point of contact. As first line support, the Help Desk can be contacted via our online ticketing service Monday to Friday 8:30-17:30. Requests are recorded and monitored in our case management system which ties the request to your customer account to provide a complete history. Where first line support is unable to solve the customer issue, the case is escalated to second line support. Here, our system experts will work to understand the customer issue and diagnose the problem. Once derived, the solution is communicated to the customer in our outlined SLA. If second line support cannot resolve the customer issue, the case is escalated to third line support for root cause analysis and/or data fix.

Evotix provides, as part of the implementation, 360 training using a “train the trainer” approach. The aim of the training is for G-Cloud 15's system administrator(s) and champions to become self-sufficient in maintaining and supporting the solution. We train the trainers how to use the system (e.g., end user training), while the administrators and designers are trained on how to use designer tools so they can manage the system and make configuration changes, as needed, post go-live. Evotix’s training program and training materials are based on the Evotix Standard Configuration database. Evotix has not included any allowance for customization of Evotix’s standard training or supporting materials.

- Data can be exported/extracted anytime to Excel/CSV formats from the web application. Additionally, the OData Reporting API allows your organisation to consume data from the Evotix 360 data warehouse directly into your own Corporate data warehouse for consolidated reporting or any other OData compliant reporting tool (e.g. Microsoft Power BI or MS Excel).

The customer is responsible for the data that is processed, transmitted, and stored by the application. This data remains the property of the customer.
At the end of the contract, Evotix’s technical services group will work with the customer to deliver all data in an agreed format. Once this process is completed, or when Evotix receives written instructions to do so, all customer data will be irretrievably deleted.
It is possible that Evotix may be required by applicable law to retain some or all of the customer data post termination. Where this is the case, the customer will be informed of such (unless Evotix is legally prohibited from doing so).
Customer databases are erased (deleted within the SQL administration console), and the deletion is immediately replicated to the Disaster Recovery (DR) site. Backups are automatically erased by the backup management software as the retention period is reached.

Evotix 360 REST API allows external applications to perform create, read and Update operations against 360 records. API calls are secured using an API Key (generated in 360), where a key is associated with a single user. The security permissions/roles defined for that user account determine what operations the REST API can perform. The REST API's schema is dynamic and supports Evotix 360’s data structure. Any configuration changes to fields/relationships will be reflected in the API schema after a successful publish.
Evotix 360 supports importing data in bulk, using an external REST API as a source (payloads in JSON format). Administrators can configure the import setup in the web app import tool. Imports can be run ad-hoc or on a schedule. Evotix 360 REST API Callouts allow integrations by allowing external REST APIs to be triggered from saving a record in Evotix 360. Administrators can define conditions on forms/processes to control when the REST API gets called.

Change requests are subject to the Change management process with different authorisation requirements for standard, minor and major changes. There is also a process for Emergency changes.
Standard changes are logged and completed without approval. These are changes which happen regularly, which have robust processes in place and are low risk.
