MyBins Ltd, quick, easy to set up, no GDPR compliance issues, all set up via our dedicated account manager will work with councils to –

Once set up our account manager will –

Councils receive the following to start using the service
- Account manager to work with council to set up the app with regular meetings
- There are three key items of information required for the app – council vehicle routing information (council will already have this, we just need to convert to format required for the MyBins app), Which Bin finder – we will populate an extensive list for approval by the council and lastly information links council wants on the MyBins app. These will be based on existing council weblinks and can all be altered and modified by the council on the MyBins App Management Panel.

- Refresher training is provided on request and the intention will be to record short videos to support users

Data stored within the MyBins application is minimal and primarily mirrors information already held by the contracting local authority. The authority remains the data owner at all times.
Upon termination or expiry of the contract, authorised users may request a full export of all data associated with their tenancy. Data will be provided promptly in commonly used, open formats such as CSV and/or PDF to ensure ease of access, review, and onward use.
There are no technical or contractual barriers to data extraction, and no proprietary formats are used. Data will be supplied securely in line with agreed information governance and data protection requirements. - End-of-contract process

At contract end, council customers may choose to:
Terminate the service, with the council area removed from the MyBins app and access disabled for local users.
Allow continued use, retaining non-personal configuration data (for example routing information, “Which Bin” details and public links) so MyBins Ltd can offer the app directly to residents for a nominal fee.
Renew or renegotiate, potentially at a reduced cost or no charge, subject to agreement, as alternative revenue models are developed.
The council may request a full export of its data at contract end, provided securely in CSV or PDF format.

The MyBins app is using Amazon Web Services (AWS) which provides ‘elastic hosting’ allowing us to automatically scale server and database resources up or down as required in order to provide consistent service regardless of demand.
As a small team, we carefully manage demand on staff resources to ensure consistent service for all customers. Most effort is required during contract onboarding, after which resource requirements reduce. We control the number of contract setups per month and have scalable plans in place to increase staff capacity as demand grows, ensuring no customer’s service is impacted by another contract.

The management dashboard will be live prior to the commencement of any G-Cloud 15 contract.
Solution and focus resource tagging is not applicable. MyBins is delivered as a fully managed SaaS service with a single, shared hosting environment. Councils are charged a fixed contract price, and infrastructure costs are not itemised or allocated across internal departments.

MyBins App will be available for download through iOS and android for the duration of the contract period, and necessary updates will be made to comply with iOS and android updates.
MyBins App Management Panel will be available at all times with exception of maintenance windows for maintenance and updates which will be agreed in advance.
MyBins is provided as a cloud-hosted service with a target availability of 99.9% per calendar month, excluding planned maintenance. Availability is monitored continuously. Planned maintenance is scheduled outside core hours wherever possible and customers are notified in advance.
If availability falls below the guaranteed level due to a MyBins service issue, service credits may be applied in line with contract terms. Refunds or service credits are calculated proportionately based on the period of reduced availability and agreed with the customer. - Approach to resilience

The MyBins service is designed with resilience built in from the outset to ensure availability, reliability and data protection.
The application is developed using secure design and development practices to minimise vulnerabilities and reduce the risk of service disruption. MyBins is hosted on Amazon Web Services (AWS), using elastic, cloud-based infrastructure that can automatically scale to manage demand peaks and maintain consistent performance for all users.
The service benefits from AWS’s resilient data centre architecture, including built-in redundancy and high availability. Data is backed up regularly, and disaster recovery processes are in place to enable service restoration in the event of an incident. Details of the underlying AWS data centre resilience are available on request.
MyBins is delivered in line with iOS and Android platform guidelines and specifications, supporting stable and reliable operation across supported devices. - Outage reporting

MyBins uses AWS monitoring and alerting to provide real-time detection of service issues and anomalies. Service availability is continuously monitored, and incidents are logged and investigated promptly.
Where an outage or service degradation occurs, affected customers are notified by email with details of the issue and updates on resolution. Internally, alerts trigger incident response processes to restore service as quickly as possible. A public status dashboard is not currently provided; outage information is shared directly with customers as required.
