Onboarding and offboarding

Getting started
CFRMIS is delivered with both Test and Live environments, providing customers with a secure and structured approach to implementation. The Test environment enables comprehensive User Acceptance Testing (UAT) and hands-on training, ensuring users gain confidence in all aspects of the application before going live. To support this, training can be delivered onsite or remotely via Microsoft Teams, following a train-the-trainer model to empower key personnel to cascade knowledge effectively across their teams.
Every delegate receives professionally prepared training courseware, available in Word or PDF formats for easy reference. Additionally, CFRMIS offers the flexibility to link training guides directly to individual screens within the application, allowing organisations to customise Help Screens to reflect their unique processes and ways of working. This tailored approach ensures that users have immediate, context-sensitive guidance at their fingertips, enhancing efficiency and reducing reliance on external support.

End-of-contract data extraction
At the end of the contract, Civica follows a structured exit management process to ensure a smooth and secure transition. This includes:
- Data Extraction and Transfer: Customer data is prepared and exported in an open, portable format (e.g., XML or CSV) or its native format, as agreed.
- Data Integrity Verification: Civica works with the customer to validate completeness and accuracy.
Coordination with New Provider: Civica liaises with the incoming supplier or in-house team to ensure compatibility and minimise disruption.
- Secure Transfer: Data is provided via encrypted drives or secure electronic transfer, as reasonably requested.
- Data Deletion: Secure deletion of all customer data from Civica systems, in compliance with data protection regulations, is included in the contract price.
End-of-contract process
Included in the contract price
- Preparation and export of customer data in agreed formats
- Secure data transfer (encrypted media or secure electronic methods)
- Secure deletion of customer data in compliance with regulations
- Decommissioning of the operating platform and removal of customer data

Exit Management:
The costs of Exit Management can be agreed upfront when contracting with Civica. Typically, customers agree the price of exit towards the end of the contract (as the handover to an in-house team varies from a handover to a replacement supplier). Through this a detailed handover plan is provided, outlining roles, responsibilities, timelines, and milestones for data transfer, decommissioning, and transition activities.

Additional Costs (If Required):
- Data conversion to custom or non-standard formats
- Additional consultancy, training, or bespoke transition activities
- Complex integrations or extended support beyond agreed scope
- Transfer of redundant assets or specialised software components

This approach ensures transparency, compliance, and minimal disruption during contract exit, while giving customers flexibility to request additional services if needed.

User support accessibility
None or don’t know
Description of service interface
CFRMIS is a Commercial Off-The-Shelf (COTS) solution designed for reliable, cross-platform operation via web browsers on PCs, laptops, tablets, and smartphones. While delivered as a standard COTS product, CFRMIS provides extensive configuration and customisation capabilities, enabling organisations to adapt both the user interface and system functionality to meet specific operational and workflow requirements.
The solution incorporates robust security measures, including role-based access controls, encrypted data transmission, and adherence to recognised industry standards. These features ensure data integrity, confidentiality, and compliance with regulatory frameworks, making CFRMIS a secure and adaptable platform for mission-critical environments.
Accessibility standards
WCAG 2.2 AA
Accessibility testing
Civica has not undertaken interface testing as the interface is designed to be fully configurable by the customer. This configurability enables organisations to implement bespoke adjustments either through the standard Commercial Off-The-Shelf (COTS) interface or by utilising their own Quick Screens functionality. Consequently, the responsibility for validating, testing, and ensuring compliance of any customisations rests with the customer. Civica provides the underlying framework and tools to facilitate these configurations but does not prescribe or verify individual design choices. Customers are therefore required to perform appropriate assurance activities to confirm that any modifications meet their operational, regulatory, and security requirements.
API
Yes
What users can and can't do using the API
The CFRMIS API is a powerful tool that enables other systems to connect and share information with CFRMIS. Using the HTTP POST protocol with JSON and XML, it provides flexibility and supports a wide range of applications. This means you can design your own screens or tools and send data directly into CFRMIS with a simple request.
The CFRMIS API gives you the freedom to create processes tailored to your organization while keeping all data securely stored in the CFRMIS database. This improves efficiency, reduces manual data entry, and ensures your teams have accurate information when they need it most. In CFRMIS, every screen is closely linked to a specific table in the database. This structure maintains data consistency and reliability. If you build custom tools, keeping this relationship in mind ensures smooth integration.
In short, the CFRMIS API makes integration simple. It allows you to connect, customise, and streamline fire risk management processes without being limited to standard screens giving you more control, flexibility, and the ability to meet operational needs effectively.

Customisation available
Yes
Description of customisation
CFRMIS is designed to be highly adaptable, giving organisations the flexibility to configure the system to meet their specific needs. Using the Configurable User Interface, the CFRMIS Administrator can easily tailor the platform by hiding areas that are not required for different user groups. This ensures that each user sees only the information and tools relevant to their role, creating a streamlined and efficient experience.
In addition to these built-in configuration options, customers can take customisation even further by creating their own interfaces or dashboards. This can be achieved through the CFRMIS API or Quick Screens, both of which provide powerful tools for extending functionality and designing bespoke solutions. These options allow organisations to build workflows and views that align perfectly with operational requirements.
However, it is important to note that using the API or Quick Screens requires technical expertise. Developers will need knowledge of HTML, CSS, SQL, and the .NET Framework, specifically VB.NET, to ensure smooth integration and maintain system integrity.
By offering both simple configuration and advanced customisation capabilities, CFRMIS empowers organisations to deliver a tailored experience that enhances usability, improves efficiency, and supports their unique fire risk management processes.
