Onboarding and offboarding
- Getting started
-
RedOptima offers a robust three-month training programme designed to ensure seamless service adoption across diverse council departments. We provide intensive upskilling for two to three representatives per department, focusing on GIS capabilities, analytics proficiency, and the technical interpretation of RedOptima data.
To ensure flexibility, the curriculum is delivered through live virtual training sessions, which can also be conducted on-site depending on client requirements. These sessions are supplemented by a wealth of resources available via the RedOptima portal, including pre-recorded instructional videos, essential reading materials, and other technical documentation.
Beyond the initial training, users receive ongoing support to master the product interface and data request processes. This comprehensive approach ensures that staff are not only proficient in using the platform but are also equipped with the analytical skills necessary to translate predictive risk data into actionable safety improvements. Furthermore, each account is supported by a dedicated Account Manager and a Data Analyst, providing continuous technical and strategic guidance throughout the onboarding phase and beyond at no additional cost. - Service documentation

Multi-Modal Content: We provide comprehensive written documentation alongside instructional videos to cater to different learning styles and requirements.
Recorded Training: All live onboarding sessions are recorded and issued with full transcriptions for future reference and accessibility compliance.
On-site Support: Where necessary, we offer direct on-site assistance to ensure smooth implementation and tailored user training.
Open Formats: Documentation is provided in Open Document Format (ODF) to ensure it can be accessed using various software without proprietary restrictions. - End-of-contract data extraction
-
Self-Service Portability: Throughout the contract term, users have continuous access to extract their analytics via on-demand, self-service flat-file CSV and geospatial data exports.
Data Ownership: RedOptima retains ownership of its proprietary collision risk models and analytics. The customer is granted a non-exclusive licence to use these services for their own internal business purposes during the term.
Supplier Data Handling: As the service is a purely predictive SaaS platform, customers do not typically "upload" their own sensitive data for storage; RedOptima processes data using Amazon Web Services (AWS).
Final Deletion: Upon termination, RedOptima follows strict data sanitisation protocols. RedOptima will return all material and data provided by the customer (to the extent practicable) and ensures that all Customer Data is deleted or anonymised as per the MSA.
Support: RedOptima staff are available to provide technical assistance during the offboarding phase to ensure all required final analytics reports have been successfully downloaded. - End-of-contract process
-
The subscription fee covers the Core Context platform, providing historical (2013-2025) and predictive analytics, back-end maintenance via AWS, and direct data feeds (e.g. ice levels). Standard support includes strategy, operational, and technical troubleshooting led by dedicated Data and Business Analysts on upto weekly level (monthly in year 2, and quarterly in year 3). Bespoke work, such as custom Road Safety Strategy Reports or advanced data science consultancy, is chargeable at a blended day rate of £1,200 (ex. VAT).
To ensure effective knowledge transfer, formal training is capped at 2–3 people per department in the first year. This capacity tapers to 1–2 people per organisation in each subsequent year. Users may supplement these sessions with instructional videos and recorded transcriptions. Additional training beyond these caps is available as a chargeable consultancy service.
The agreement continues until notice is served (minimum one-year initial term). Upon termination, all licences and access to RedOptima’s proprietary models cease immediately. Users are responsible for extracting their analytics via self-service CSV or geospatial flat-files before the contract ends. RedOptima will delete or anonymise all Customer Data, though non-attributable aggregated data is retained for global benchmarks. All outstanding fees must be settled in full upon exit.

- API
- Yes
- What users can and can't do using the API
-
To set up the service via the API, users must first obtain a unique Client ID and API Key through the RedOptima portal. These credentials authenticate each request, ensuring users only access their own organisation's data. Once authenticated, users can programmatically configure the same parameters available in the manual interface, such as defining geographical boundaries (GeoJSON), selecting vehicle classes, and choosing specific "influence groupings" like surface microclimate or hyperlocal weather.
Managing Changes and Limitations
Users can initiate new requests and track existing order statuses through the API. However, there are some limitations to ensure system integrity:
Immutable Orders: Similar to the portal, once a data request is submitted via the API, it cannot be edited or modified. Users must instead issue a new request if parameters need to change.
Security Restrictions: The API does not allow users to view or interact with orders from other client organisations.
Rate Limiting: To prevent system spam and ensure fair usage, the API enforces standard rate limits. - API documentation

What can be customised
Clients can refine their data requests using a wide range of variables to ensure the output meets their specific requirements:
Time and Date: Requests can be filtered by specific start and end dates, as well as time of day (day or night).
Influence Factors: Users can select from over 60 predictors of collision risk, including hyperlocal weather, road surface friction, driver visibility, and surrounding vegetation.
Road Users and Vehicles: Requests can be subset by specific vehicle classes.
Geography: Users can define the geographical area for their request, such as by uploading GeoJSON files.
Output Format: The shape and format of the data (e.g., shapefiles or specific grid types like hexagons) can also be customised.
How users can customise
Customisation is managed through the data request order form within the RedOptima portal. For more advanced integration, these same parameters can be configured programmatically via the API to automate requests into existing client workflows. Additionally, for clients with robust internal datasets, RedOptima can consider utilising that client-provided data to further refine and improve the accuracy of the predictive modelling.
Scaling
- Independence of resources
- RedOptima guarantees resource independence through AWS-native automated scaling and multi-tenant partitioning, routing user requests to isolated execution environments to prevent "noisy neighbour" interference. We deploy multiple API instances managed by a supervisor; if one instance fails, it is automatically restarted to ensure continuity. High-demand tasks are managed via a First-In-First-Out (FIFO) queuing system, ensuring fair, sequential processing. To maintain equitable performance, we implement resource quotas and throttling, preventing any single organisation from monopolising capacity. Resources span multiple AWS Availability Zones; if a zone reaches peak demand, traffic is automatically rerouted, maintaining consistent performance for all users.

Data importing and exporting
- Data export approach
- Users extract analytics through a secure, self-service web portal. The platform provides two primary export methods: geospatial data formats for integration into GIS software (RedOptima advocates for the open-source solution QGIS) and flat-file CSVs for universal compatibility with spreadsheet software. These exports include historical collision risk data (typically the most recent five years) and are available for any geography within entire local authority networks. RedOptima staff can also initiate data requests to assist users. Because the service is a hosted SaaS model, no physical data extraction is required upon contract termination; users simply download their required reports before access expires.

VPC Isolation: All internal instances reside within an AWS Virtual Private Cloud (VPC), providing a logically separate network unreachable by other tenants.
Network Partitioning: Subnets utilize stringent Network Access Control Lists (NACLs) and Security Group rules to isolate environments (e.g., development cannot communicate with production).
Intrusion Detection: The Suricata NIDS scans all internal traffic passing through the Proxy and VPN gateways in real-time.
Proxy Interception: All outbound internet access is forced through a Proxy Server utilising Squid + SslBump to decrypt and scan internal packets for malicious activity.
Availability and resilience
- Guaranteed availability
-
RedOptima guarantees a Monthly Uptime Percentage of at least 99.9% for its Core Context product. Availability is defined as the service being reachable and the API responding to authenticated requests. To maintain this standard, the architecture leverages multiple AWS Availability Zones and automated instance recovery.
In addition to Client’s other rights and remedies under the Agreement, Client will receive a credit equivalent to 3 days of Service added to the end of the then-current Service term at no charge to Client for each period of 1 day that the Hosted Services are not available.
The aggregate maximum number of Service Credits to be issued by the Company to Client in a single calendar month shall not exceed fifteen (15) days of Service. The Service Credit does not apply to any services that expressly exclude this Schedule or to an event caused by force majeure. - Approach to resilience
-
RedOptima ensures resilience through a multi-layered architectural approach. All infrastructure is hosted in the AWS Ireland Region, utilising three separate Availability Zones (independent data centres) to provide native fault tolerance. If one data centre experiences a technical incident or peak demand, traffic is automatically rerouted to maintain steady performance.
At the application layer, we deploy multiple API instances managed by a supervisor that automatically restarts any failed instance to ensure continuity. We utilise AWS Auto Scaling to dynamically adjust resources in real-time, preventing performance degradation during demand surges.
Data resilience is maintained through regular automated backups and AWS KMS encryption. Our Business Continuity and Response Plan defines a Recovery Time Objective (RTO) and Recovery Point Objective (RPO) of 24 hours for critical failures. Network-level resilience is provided by Suricata NIDS and redundant VPN/Proxy gateways, ensuring secure and persistent access. Standard monitoring through the ElasticStack SIEM provides continuous alerting on system health, allowing for proactive incident response - Outage reporting
-
RedOptima manages outage reporting through a structured communication process to ensure customers remain informed during service disruptions.
Email Alerts: RedOptima provides proactive notifications via email to the primary customer representatives specified in the Order Form in the event of any planned maintenance or unscheduled outages.
Maintenance Notifications: For planned maintenance that may result in downtime, RedOptima issues written notice at least 48 hours in advance.
Support Portal: Users can report suspected outages or performance issues through the support desk, which categorises tickets by priority (Critical, High, Medium, or Low) with defined response and resolution targets.
Direct Liaison: Our Data and Business Analysts provide standard operational and technical support, acting as a direct point of contact for troubleshooting and status updates during incidents.
Internal Monitoring: While we do not maintain a public-facing dashboard, our infrastructure is continuously monitored by the ElasticStack SIEM and Suricata NIDS, which generate internal alerts and triggers to initiate our Business Continuity and Response Plan

- Security governance approach
-
RedOptima’s security governance is built on a supplier-defined framework that integrates risk management directly into the SDLC. We utilise STRIDE threat modelling and NIST standards to define security requirements from project inception.
Governance is enforced through mandatory code reviews and automated Veracode scans, ensuring high-level application integrity. We maintain a clear segregation of duties; only authorised personnel can release changes to production via a formal Jira-based approval workflow. While inheriting AWS’s physical certifications, our internal governance ensures continuous compliance through real-time SIEM monitoring and regular policy reviews by senior leadership. - Information security policies and processes
-
RedOptima operates under a comprehensive set of supplier-defined security policies that govern all aspects of our service delivery. Our primary framework is documented within our SDLC Policy, Patch Management Policy, and Network Intrusion Detection System Policy.
Reporting Structure
Our security governance follows a top-down approach. The CTO holds ultimate accountability for security strategy and policy approval. Technical leads are responsible for ensuring compliance within development teams, while the security operations team monitors infrastructure. Any high-risk changes or emergency patches require formal Request for Technical Change (RTC) approval from the CTO before implementation.
Ensuring Compliance
We ensure policies are strictly followed through a combination of automated and manual controls:
Automated Verification: We use Veracode for static code analysis, mandating high security scores (typically 99/100) before code can progress.
Workflow Enforcement: Our Jira-based workflow prevents changes from reaching production without documented peer reviews and testing in isolated environments.
Continuous Monitoring: The ElasticStack SIEM and Suricata NIDS provide real-time auditing. Any deviation from established security baselines triggers immediate alerts for investigation.
Segregation of Duties: Logical access controls ensure that those developing the code do not have the permissions to self-approve or deploy to production.
Operational security
- Configuration and change management standard
- Supplier-defined controls
- Configuration and change management approach
-
RedOptima utilises a rigorous Change Management Framework to track service components and assess security impacts. All source code and configurations are version-controlled in Git and documented within Jira throughout their lifecycle. To prevent configuration drift, we manage infrastructure using Terraform, Puppet, and Ansible.
Security assessments are integrated into the Jira workflow. Changes are evaluated against STRIDE best practices during the design and testing phases. This process ensures that potential security impacts are identified and remediated before any change reaches the "Released" status in production. - Vulnerability management type
- Supplier-defined controls
- Vulnerability management approach
-
RedOptima employs a proactive vulnerability management process integrated into our SDLC. We assess potential threats using Veracode Static Analysis, achieving a score of 99/100 to ensure application integrity. External threats are monitored via Suricata NIDS and Squid Proxy, scanning all traffic for malicious activity in real-time.
We obtain threat information from AWS security feeds, CERT notifications, and vendor RSS feeds.
Patching timelines are strictly defined by criticality:
High/Emergency threats: Deployed within 8 working hours.
Critical application flaws: Fixed within 15 days.
Medium risks: Addressed within 7 working days for infrastructure or 180 days for applications. - Protective monitoring type
- Supplier-defined controls
- Protective monitoring approach
-
RedOptima identifies potential compromises using Suricata (NIDS) and ElasticStack SIEM. All infrastructure logs, including AWS VPC Flow Logs, VPN, and Proxy traffic, are aggregated centrally for real-time analysis. When an alert is triggered, our Incident and Change Management Policy is activated to contain the threat and initiate investigation.
Our response speed is based on criticality: Emergency threats to the network are addressed within 8 working hours. High-priority incidents follow a formal Request for Technical Change (RTC) process, requiring CTO approval to ensure rapid, secure remediation - Incident management type
- Supplier-defined controls
- Post-quantum cryptography secure
- No
- Incident management approach
- RedOptima employs pre-defined, supplier-controlled processes for managing service defects. Users report incidents via a dedicated support email or telephonic primary and emergency numbers, classifying them as Severity Level 1, 2, or 3. We respond to Severity Level 1 issues within one hour, working continuously until resolution, with a 24-hour target. Incident progress and resolutions—delivered as workarounds, patches, or releases—are communicated through the support desk. RedOptima ensures standardised treatment for all customers, providing service credits of three days for every day of unavailability.
