- Ultimate Migrator is customer-hosted, so buyers must provide the hosting environment (Windows Server/IIS, SQL Server, and one or more agent servers), as well as network routes and permissions to source and destination systems. Migration throughput depends on source/destination constraints (for example, throttling), network conditions and agreed migration windows. Some connectors require vendor components/APIs and specific access rights. Buyers are responsible for ensuring platform resilience, backups, and monitoring within their environment. Planned maintenance applies only to software updates and is coordinated with the buyer.

Onboarding and offboarding
- Getting started
-
We help buyers start using Ultimate Migrator through a structured onboarding process. We confirm scope (source systems, destinations, volumes, migration windows and security requirements), then provide installation packages and guidance for deploying the console, database and agent components in the buyer’s environment. We support connector configuration, permissions setup and initial test migrations to validate access, performance and reporting.
Training is provided for administrators who will run migrations, covering configuration, scheduling, monitoring, exception handling and report export. Training can be delivered remotely (screen share) and can also be provided onsite by agreement. We provide practical runbooks and best-practice guidance to help buyers plan phased migrations and manage throttling, retries and cutover.
Where required, we can provide optional implementation support to help buyers move from pilot to production migration, including regular check-ins during time-critical migration windows. - Service documentation

- End-of-contract data extraction
-
Ultimate Migrator is customer-hosted, so buyers retain their data within their own environment throughout the contract. Message data is migrated directly from source systems to the chosen destination (for example Microsoft 365) and is not stored centrally by the service by default. As a result, no “data export” is required to retrieve migrated content at contract end; the buyer’s data remains in the destination platform(s) and/or any file-based exports created within the buyer environment.
Buyers can export operational reports, logs and migration evidence from the management console at any time during the contract. If file-based outputs are required (PST/MSG/EML), these are generated and stored in buyer-controlled locations. If the buyer requires a final archive of logs/reports at contract end, we can provide guidance on exporting these and agreeing retention in line with buyer policies. - End-of-contract process
-
At the end of the contract, the buyer can either renew the software licence to continue using Ultimate Migrator or allow the licence to expire. Because the service is customer-hosted, the buyer retains all migrated data in the destination platform(s) and any file-based exports created within their environment.
Included in the contract price: use of the software during the licence term and standard support as described in the service listing. Buyers can export reports, logs and migration evidence from the console at any time.
Optional, additional cost (by agreement): extended/out-of-hours support for time-critical migration windows, onsite support, additional training, consultancy to support final migration waves, and creation of final reporting packs or bespoke exports where required. Buyers remain responsible for uninstalling the software and securely deleting any local configuration/log databases and files in line with their retention and disposal policies; guidance can be provided on request. - Documentation accessibility standard

- Description of service interface
- Ultimate Migrator provides a web-based management console used by administrators to configure connectors, define migration rules, schedule jobs, monitor progress and export reports. One or more agent services run within the buyer’s environment to perform the migrations. The interface is intended for administrative users (IT and project teams); end users do not need to access the tool.

- Accessibility testing
- The management console is an administrative interface for trained IT users rather than a public-facing service. We have not completed formal testing with assistive technology users against a specific WCAG 2.2 or EN 301 549 conformance target. We aim to follow good practice for accessible user interfaces, including clear labelling, keyboard operability where supported by the browser, and logical page structure. Where buyers have specific accessibility requirements for administrative tools, we can review them during onboarding and agree any reasonable adjustments or improvements as part of an implementation plan.

- Configurable migration rules, mappings, schedules, throttling and reporting. Optional bespoke connector work by agreement.
Scaling
- Independence of resources
- Ultimate Migrator is customer-hosted and runs within each buyer’s own infrastructure, so buyer performance is not impacted by other organisations’ usage. Migration workloads are isolated to the buyer’s dedicated console, database and agent resources. Buyers can scale throughput by adding agent capacity and can control concurrency, scheduling and throttling settings to align with source/destination limits. Where cloud services impose tenant-level throttling (for example, Microsoft 365), the tool manages retries and back-off within the buyer’s tenant, without contention from other buyers.

Data importing and exporting
- Data export approach
- Ultimate Migrator is primarily used to migrate data into a target system (for example Microsoft 365). Where “export” is required, administrators configure an export job in the management console and run it via one or more agents within the buyer’s environment. Exports are written to buyer-controlled locations (file shares or storage) and can be structured per user, mailbox or batch while preserving folder hierarchy and key metadata. The service can also export operational reports and audit logs from the console for assurance and record keeping.

- Other
- Other protection within supplier network
- Customer-hosted: internal traffic is buyer-controlled; segmentation/firewalls restrict flows between console, database and agents.
Availability and resilience
- Guaranteed availability
- Ultimate Migrator is customer-hosted and runs within the buyer’s own infrastructure (server farm, private cloud or IaaS). As a result, we do not provide a supplier-hosted availability SLA for the service itself; availability is determined by the buyer’s platform, network and operational controls. We provide support on a best-endeavours basis to help diagnose and resolve product issues, and we will work with the buyer to restore service as quickly as practicable. Planned maintenance relates to software updates and is coordinated with the buyer to minimise disruption. We do not offer service credits or refunds linked to availability, as the runtime environment is buyer-managed.
- Approach to resilience
- Ultimate Migrator is deployed in the buyer’s environment, so infrastructure resilience (datacentre, compute, storage, network, backups and monitoring) is provided by the buyer and/or their chosen cloud provider. The software is designed to be operationally resilient during migrations: jobs can be paused and resumed; transient failures are handled using retry and back-off logic; and processing continues where possible while recording detailed exceptions for items that cannot be migrated. Agent-based processing supports horizontal scaling and isolation (buyers can add agents and distribute workloads). Configuration, logs and progress statistics are stored in the buyer’s database and can be backed up using the buyer’s standard processes. For time-critical migration windows, we recommend deploying the console/database on resilient infrastructure (for example HA SQL and redundant application servers) and using multiple agents to reduce single points of failure.
- Outage reporting
- Ultimate Migrator is customer-hosted, so outages are normally identified through the buyer’s own monitoring and alerting (for example server/service health checks, SIEM/log monitoring and cloud platform alerts). The management console provides real-time status of services, agents and migration jobs, and logs errors and interruptions for investigation. We do not operate a public status dashboard because the runtime environment is buyer-managed. Where the buyer raises an incident, we provide best-endeavours support via email/online ticketing (and phone where agreed) and will communicate progress, workarounds and fixes through the agreed support channel. For planned software updates, we coordinate maintenance windows and provide release notes in advance.

- User authentication
-
- Username or password
- Other
- Other user authentication
- Customer-hosted: access can be restricted to the buyer’s network and protected using buyer controls (e.g. VPN/zero-trust access and MFA at the access layer).
- Access restrictions in management interfaces and support channels
- Access to the management console is restricted to authorised administrative users within the buyer’s environment. Accounts are role-based access-protected (for example, admin/operator), least privilege and strong credentials. Buyers can further restrict access using their own network controls (VPN/zero-trust, IP allow lists, firewall rules and segmentation) and can enforce MFA at the access layer where required. Service credentials for connectors are stored securely in the buyer environment and are only accessible to authorised users. Support channels are restricted to named buyer contacts; we verify requester identity and use ticketing/email (and phone, where agreed) with access limited to authorised support staff.

Operational security
- Configuration and change management standard
- Supplier-defined controls
- Configuration and change management approach
- We manage configuration and change through a controlled release process. Service components (console, agents and supporting scripts) are versioned, with changes tracked from request through development, testing and release. Changes are assessed for operational and security impact (including authentication, authorisation, data handling and dependency updates) and reviewed before approval. Releases are packaged with release notes and, where required, rollback guidance. Customer deployments are customer-hosted; changes are applied by the buyer or with our assistance, using agreed maintenance windows. Configuration within the tool (connectors, credentials, schedules and throttling) is controlled via role-based access and audit logs.
- Vulnerability management type
- Supplier-defined controls
- Vulnerability management approach
- We assess threats through routine review of vendor advisories and vulnerability feeds, plus internal testing and scanning of our code and release packages. Reported vulnerabilities are triaged by severity and potential impact, assigned an owner, tracked to remediation and verified before release. Security patches are prioritised and delivered as software updates with release notes; urgent fixes are expedited. As the service is customer-hosted, buyers apply updates in their own environment, supported by our guidance where required. We monitor emerging threats through platform/vendor notifications (for example, Microsoft), security bulletins and customer-reported issues via support channels.
- Protective monitoring type
- Supplier-defined controls
- Protective monitoring approach
- Ultimate Migrator is customer-hosted, so protective monitoring is primarily provided by the buyer using their standard tooling (SIEM, endpoint monitoring, IDS/IPS, OS and application logs). The software generates audit logs and operational logs (for example, admin actions, job activity, errors, authentication events) which buyers can forward to monitoring platforms. Where a compromise is suspected, we support investigation on a best endeavours basis via the agreed support channel, helping identify relevant logs, isolate affected components and apply mitigations or patches. We aim to acknowledge security incidents within 1 working day during UK business hours, with escalation for critical issues by agreement.
- Incident management type
- Supplier-defined controls
- Incident management approach
- We operate a documented incident management process with predefined triage steps for common events (access issues, connector failures, job failures, performance degradation and suspected security incidents). Buyers report incidents via email/online ticketing (and phone where agreed). Incidents are logged, prioritised by impact/urgency and assigned an owner, with updates provided through the support channel. As the service is customer-hosted, we work with the buyer to gather logs and environmental details, identify root cause (software, configuration or platform), and agree mitigations or fixes. Incident reports and post-incident summaries can be provided on request, including timeline, impact, actions taken and recommendations.
