Onboarding and offboarding

- We provide support to help clients complete DPIAs and understand relevant IT and information governance requirements. When a new client starts using WorkInConfidence, they are assigned a dedicated account manager who supports them throughout the onboarding process to ensure a successful launch. This includes providing pre-launch guidance materials, online administration training, and internal marketing collateral. Clients also receive access to a comprehensive online support area with resources for administrators, managers, and users. During setup, we deliver administrator and manager training sessions as required and work with the client to ensure the system is configured appropriately for launch. We also support clients in preparing for internal publicity to staff and provide assistance to help promote awareness and uptake of the system. Following launch, the account manager continues to work with the client on a regular basis to ensure they get the best ongoing value from WorkInConfidence.

If any organisation ceases to be a client of WorkInConfidence, we will remove all of its data and that of its staff/users within three months of their ceasing to be a client. Alternatively, the client may choose to have a paid 12 months run off period (15% of usual cost) after which the data would be deleted three months post that.

- WorkInConfidence is highly configurable, giving clients control over how the service is used. Client administrators manage settings through an administration interface, including customisation of messaging on landing pages and elsewhere in the system, selection of which facets are enabled such as anonymous speak up and open case logging, control over administrator and management access rights, configuration of publicity routes and choice of staff registration methods including work email, any email with registration code, no email, or bulk upload. Anonymous speak up functionality can be configured to define active topics and assigned management responders, direct specific topics to the most appropriate manager, determine whether anonymous dialogue is managed on a strictly one-to-one basis or shared with primary administrators or other managers at defined stages, and set reminder and suspension periods to prevent misuse. Case management configuration supports creation of custom fields, setup of templates for case notes and reports, control of case-sharing settings. Reporting allows creation and pinning to a dashboard of reports configurable by time period, case type, and other defined fields. Surveys allows configuration of mini feedback surveys on the process.

- WorkInConfidence has: 1. Clarity on what is collected, what purposes and how stored. This is clearly documented in Privacy policies and a further internal policy; 2. Technical measures to guard security and privacy. The CTO is in charge of this, and has close oversight of all aspects of the build and operations of the Company’s services. This is discussed regularly with the CEO and also in every board report there is an update, also highlighting any areas of security risk; 3. Organisational measures. All staff are required to be aware of the organisation’s security policies and processes, and are trained and regularly updated on these. Any third parties working with us have to sign up to and adhere to these. Any security risk is required to be notified to the CEO and CTO immediately.
