Onboarding and offboarding

Getting started
VoicePower provides onboarding assistance to help buyers begin using Philips SpeechLive. This includes setting up the SpeechLive tenant, creating user accounts, configuring basic workflow options and ensuring users can access the browser, desktop or mobile apps. We provide guidance on installing the optional desktop app and connecting Philips dictation devices where required.

Standard onboarding includes access to online user documentation, quick-start guides and links to Philips’ help resources.

Full training, workflow consultation and ongoing optimisation are not included with the software purchase but are available separately under Lot 3 (Cloud Support). This allows buyers who require additional support—such as structured remote training sessions, onsite training, or workflow design—to purchase these services when needed.

End-of-contract data extraction
Users can extract their own data directly from Philips SpeechLive before the contract ends. Administrators and authorised users can download audio files, completed transcripts and workflow information from the SpeechLive interface in standard formats such as WAV, MP3, DSS, DS2, DOCX or TXT.

SpeechLive does not store clinical or document content beyond the files uploaded by the organisation, so there is no complex data extraction process. All exported data is saved locally by the buyer for retention under their own policies.

Once the contract terminates and accounts are disabled, any remaining data held in SpeechLive is deleted by Philips in accordance with Microsoft Azure data sanitisation processes. There is no access to data after account closure, so buyers should extract any required files prior to termination.
End-of-contract process
At the end of the contract, buyer access to Philips SpeechLive is disabled and all associated user accounts are closed. Buyers can download any audio files, transcripts or workflow data before the contract ends, as SpeechLive does not retain document content beyond the files uploaded by the organisation. After termination, remaining data is securely deleted by Philips in accordance with Microsoft Azure’s sanitisation procedures. No data can be retrieved once accounts are disabled.

The contract price includes access to the SpeechLive platform, cloud storage, workflow features, speech recognition (if purchased as part of the SpeechLive Speech-to-Text package), browser and mobile access, and standard VoicePower support.

Additional costs apply for optional services such as:
– user training or workflow consultancy (Lot 3)
– onsite support

– premium hardware such as dictation devices or foot pedals

Differences between the mobile and desktop service
The SpeechLive mobile app provides secure dictation creation, upload and workflow submission directly from iOS or Android devices. Users can record, edit, attach images and send dictations to assistants or transcription services.

The desktop and browser versions include additional features such as full workflow management, administrative controls, detailed routing settings and access to speech recognition within the desktop environment.

The mobile app focuses on fast dictation capture on the move, while the desktop and browser interfaces provide the full management and configuration capabilities.

SpeechLive provides a modern web-based interface accessible through standard browsers, offering secure access to dictations, workflow routing, team inboxes and basic activity metrics. Users can upload, create and manage recordings, assign tasks and configure simple workflow rules.

An optional desktop app is available for Windows and macOS, providing local speech recognition integration and enhanced file handling. Mobile apps for iOS and Android support quick dictation capture and upload.

What users can and can't do using the API
Philips SpeechLive provides an API for approved integration partners, but it is not designed for buyers to configure or manage their own service. The API allows authorised development partners to integrate SpeechLive with external systems such as document management tools or workflow applications, subject to Philips’ approval.

Users cannot set up SpeechLive through the API. Account creation, user management, licensing, workflow routing and configuration must all be performed through the SpeechLive administrative interface. Buyers therefore cannot provision users, change roles or alter workflow structures using the API.

Users also cannot modify core service behaviour—such as transcription engine settings, storage policies or security configurations—through the API.

Users can export their data directly from the Philips SpeechLive interface. Administrators and authorised users can download audio recordings, completed transcripts and workflow items at any time through the browser or desktop application. There is no charge for exporting data, and no specialist tools are required. All exports are initiated and controlled by the buyer, who retains responsibility for storing and managing the data once downloaded.

Availability and resilience

Philips SpeechLive is hosted in Microsoft Azure and provides a platform availability target of 99.5% uptime, excluding planned maintenance. Azure’s resilient multi-zone infrastructure and continuous monitoring help maintain this availability level.

Philips monitors the service and manages incident response, while VoicePower provides first-line support and escalation.

If availability falls below the guaranteed level, buyers may receive service credits in accordance with Philips’ terms, applied to future billing. These credits are the sole remedy for availability shortfalls. VoicePower does not provide a separate uptime SLA, as overall availability is controlled by Philips and Azure.
Approach to resilience
Philips SpeechLive is hosted in Microsoft Azure, which provides high resilience through redundant infrastructure, multi-zone deployment, load balancing and automatic scaling. Azure datacentres include diverse power, networking and fault-tolerant hardware to maintain service continuity.

SpeechLive benefits from Azure’s continuous monitoring and automatic failover to minimise disruption during component or service failures. Philips manages platform-level resilience and disaster recovery within the Azure environment. More detailed information is available on request.
Outage reporting
Philips SpeechLive reports outages via a public status dashboard at status.speech.com, which shows service health and incident updates. Email alerts are also sent to registered administrators and buyers receive notifications through VoicePower. A dedicated API is not provided. VoicePower monitors the dashboard and escalates any major disruption, while buyers may contact support directly for further incident details and post-incident reports.

Access to the SpeechLive administration interface is restricted to authorised administrators using unique authenticated accounts. For cloud services such as Philips SpeechLive, platform changes are managed exclusively by Philips within Microsoft Azure. VoicePower does not alter the hosted service but follows our own internal controls when supporting customers.
