Every customer receives a dedicated account manager responsible for the complete onboarding journey. Onboarding includes:

Upon contract termination, customers should notify Anima with confirmation from a senior clinician and Caldicott Guardian to initiate data deletion. Anima securely deletes all customer data in accordance with GDPR, NHS Records Management Code of Practice, and ISO 27001 standards.

A structured offboarding call is provided to confirm timelines and ensure a controlled transition with no disruption to patient services. Data extraction and deletion are included at no additional cost.
End-of-contract process
Anima ensures customers leaving the platform receive the same quality of support as those joining. Upon contract end or non-renewal:

Anima uses AWS serverless architecture (Lambda, DynamoDB, API Gateway) which auto-scales automatically based on demand. DynamoDB uses on-demand capacity mode, scaling instantly without manual intervention.

Tenant isolation is enforced through per-organisation rate limiting and concurrency controls. OTP verification, API requests, and bulk operations use Redis-backed rate limiting with configurable windows per tenant.

Bulk operations (document processing, SMS, emails, search indexing) are processed via SQS queues with dead-letter queues for failure handling, preventing resource contention.

The Anima platform serves 600+ NHS practices with 99.5%+ availability. Blue-green deployments ensure zero-downtime releases with instant rollback capability.

Anima commits to a minimum 99.5% service availability measured monthly, excluding scheduled maintenance windows and force majeure events. This aligns with NHS England service level expectations for clinical software.

Scheduled maintenance is communicated at least five business days in advance and conducted outside core hours (typically 22:00–06:00 UK time) to minimise disruption. Our cloud-native architecture supports zero-downtime deployments for routine updates.

Availability is continuously monitored with real-time alerting. Service status is communicated proactively to customers during any incidents. Customers can raise availability concerns with their dedicated account manager at any time.
Approach to resilience
Anima operates a cloud-native architecture hosted in AWS UK-based datacentres with a leading cloud infrastructure provider. The platform is designed for high availability with:

    • Understanding of employment and skills issues, and of the skills and employment shortages of high growth sectors relating to the contract
    • Creation of employment opportunities particularly for those who face barriers to employment, such as prison leavers, care leavers and/or who are located in deprived areas, and for people in industries with known skills shortages or in high growth sectors
    • Delivery of training schemes and programmes to address any identified skills gaps and under-representation in the workforce for the contract (e.g. prison leavers, care leavers, kinship carers, disabled people)
    • Understanding of the issues affecting the representation of disabled people in the workforce in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors
    • Inclusive and accessible recruitment practices, and retention-focused activities, including those provided in the Guide for line managers on recruiting, managing and developing people with a disability or health condition
    • Introducing transparency to pay and reward processes
    • Working conditions which promote an inclusive working environment and promote retention and progression
    • Understanding of the issues affecting inequality in employment, skills and pay in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors. Measures to tackle inequality in employment, skills and pay in the contract workforce
    • Inclusive and accessible development practices, including guidance for line managers on recruiting, managing and developing people with a disability or health condition

    • Understanding of issues relating to health and wellbeing, including physical and mental health, in the contract workforce
    • Understanding barriers to access to health and social care services or employment opportunities e.g. digital inclusion
    • Inclusive and accessible recruitment practices, development practices and retention policies that support-focused activities including those provided in the Guide for line managers on recruiting, managing and developing which support people with a disability or health condition
    • Actions to invest in the physical and mental health and wellbeing of the contract workforce
