Properties Portal uses a banded pricing model, based on the number of units under management within the contracting organisation, (not user numbers). Standard "blocks" of 200 units are reviewed and fees updated annually at the anniversary of contract commencement.
Not all maintenance requires down time, and we schedule downtime to be outside of core business hours wherever possible. Scheduled maintenance cover tasks including, but not limited to:
• New releases (software upgrades) and server patching.

Portals for People provides on-site and remote training as well as post Go Live support if necessary. Throughout the on-boarding and subsequently, a recording and transcribed version of all planned and ad-hoc training will be provided, together with helpful user documentation, check lists and how-to guides. There are also help prompts within the platform itself.
We advocate a champions approach, where partners establish key people across key functions of their business to provide local SME expertise as well be equipped with train-the-trainer courses. In turn they are expected to carry out suitable training activities within their own organisations, effectively preparing employees for using the new system.
As part of the default SaaS Agreement we also provide quarterly refresher or induction training for anyone from the client organisation and their immediate community to attend, (re)gain the required level of capability, as well as discuss any problems or advancements they'd like to promote. - Service documentation

Our Properties portal enables full data extraction of all data into a .csv file format. This may be used for broader GDPR and administration purposes also.
In addition to this, Portals for People will provide support to enable smooth, secure and timely migrations to any other future services. - End-of-contract process

At the end of the contract term, customers using the Portals for People Properties Portal can export their data in a commonly used format, such as CSV, to support transition or archival needs. Where a customer chooses to renew or extend their agreement, uninterrupted access to the service will continue. If the contract is not renewed, access to the platform will end on the final contract day.
Following termination, all customer data held within the Properties Portal will be securely and permanently deleted from Portals for People’s hosting environment, including associated backups and replicated data. Customer data is stored in logically segregated data stores to ensure tenant isolation. Data deletion is carried out in line with Amazon Web Services’ security and data sanitisation controls, preventing unauthorised access to deleted data and ensuring secure wiping or physical destruction of storage media when retired.

Users can set up the service using a secure, REST-based API. The API supports initial configuration of organisations, schemes, properties, tenancies and user accounts. Identity and access can be integrated using Single Sign-On (SSO) with platforms such as Microsoft Entra ID (Azure AD) and other standards-based identity providers. Initial data, including tenants, properties, rent structures and service charges, can be imported via API or integrated directly from existing systems.
How users can make changes through the API
The API allows authorised users to manage data and workflows in real time, including tenancy updates, rent and service charge management, tenant information, and reporting. The platform supports integrations with client finance systems and local authority Housing Benefit systems to enable automated data exchange, subject to local authority capabilities and agreed interfaces.

Some sensitive configuration changes require administrator permissions or approval to protect data integrity. API usage is subject to security controls and rate limits. Properties Portal is intentionally aiming to be researched, informed, designed and developed to fulfil all the evolving needs to organisations working across the Social Housing and broader Housing Sector - so with our active and advancing roadmap all features should either be in place already or soon, and provided to all SaaS agreement licencees.
However, PfP are fully willing to engage with specific feature requests for individual or groups of organisations to provide for other requirements in fulfilment of operational needs and achievement of mission and vision objectives.
At a basic level, all branding, fonts, icons, colours, asset inclusions and workflows may be customised readily, by the clients on their own instance of the platform. However, we would recommend engaging with our PfP to ensure no underlying issues will emerge as a result of changes made.
Management information dashboards and reporting may be customised by end clients, as well as configuration of reporting, compliance information and all of the drop down level information about types of services, repairs, certifications, property information, tenant and RSL / MA information may all be adjusted to suit.

This ensures complete separation, so your data and operations remain entirely independent. The Portals for People Properties Portal is hosted on Amazon Web Services in the UK, designed for high reliability and uptime - between 99.9-99.99%. Our platform leverages multiple Availability Zones within the AWS London region to ensure continuous service and minimize the risk of disruption.
We are committed to providing a dependable experience for all customers and offer a clear service level agreement (SLA) for availability. If the Properties Portal fails to meet our guaranteed levels, customers may request service credits within 30 days of the incident. The SLA credits are as follows: if uptime falls below 99.0%, customers may receive 10% of the monthly bill; below 95.0%, 25% of the monthly bill; and below 90.0%, 50% of the monthly bill.
This approach ensures that customers have confidence in the platform’s reliability, while providing clear remedies in the unlikely event of extended downtime. Portals for People continues to work closely with AWS to maintain robust infrastructure and protect your business operations. - Approach to resilience

The Portals for People Properties Portal is made up of a set of virtualised, containerised components that rely on Amazon Web Services (AWS), configured and optimised to deliver a secure, reliable, and scalable SaaS platform.
The platform only uses commodity, highly available resources that can be provisioned, scaled, and configured on-demand. Each dedicated customer instance runs within AWS in the various UK regions, leveraging highly available and resilient services with no single points of failure.

Automated backups of all databases, data, and configuration to support RPO and RTO targets.
Backups written to disk immediately within the primary region.
Automatic replication of backups to a second AWS UK region to protect against region-wide incidents.
Unique security keys for each customer stored in both regions.
Data Recovery processes are tested regularly.
Complete Disaster Recovery testing performed on a scheduled basis.
Back-up and failover versions of the platform and all code and databases are stored in secure, resilient repositories, under different control and management than the hosted platform.

Service outages are communicated based on their scope and impact. For platform-wide outages affecting multiple customers, email updates are sent to all affected customers, providing the current status and regular progress updates. A notice is also displayed on the Properties Portal home page to keep users informed in real time.
For issues affecting a single customer, communications are sent by both email and telephone to ensure prompt awareness and support.
Historical outage information is made available through the online support portal, giving customers an on-demand view of past incidents as well as resolutions. Additionally, summary reporting of service availability and outage history is included in the quarterly service review pack.
This approach ensures transparency, keeps customers informed during disruptions, and provides confidence in the reliability and responsiveness of the Portals for People SaaS platform hosted on AWS.

The Properties Portal supports multiple authentication options, including integration with customers’ own identity providers (subject to supported configurations), enabling MFA and other customer-specific security requirements where needed. The default is username and password, with enforced MFA.

Policy Outcome 6: Employment and training: For those who face barriers to employment
- Understanding of employment and skills issues, and of the skills and employment shortages of high growth sectors relating to the contract
- Creation of employment opportunities particularly for those who face barriers to employment, such as prison leavers, care leavers and/or who are located in deprived areas, and for people in industries with known skills shortages or in high growth sectors
- Delivery of training schemes and programmes to address any identified skills gaps and under-representation in the workforce for the contract (e.g. prison leavers, care leavers, kinship carers, disabled people)
- Understanding of the issues affecting the representation of disabled people in the workforce in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors
- Offering a range of quality opportunities with routes of progression if appropriate, e.g. T Level industry placements, students supported into higher level apprenticeships.
- Working conditions which promote an inclusive working environment and promote retention and progression
- Other measures to provide equality of opportunity for disabled people and those with health conditions into employment, including becoming a Disability Confident employer and inclusion of supported businesses in the contract supply chain
- Understanding of the issues affecting inequality in employment, skills and pay in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors. Measures to tackle inequality in employment, skills and pay in the contract workforce
- Inclusive and accessible development practices, including guidance for line managers on recruiting, managing and developing people with a disability or health condition
Policy Outcome 7: Creating a pipeline of opportunities: For the contract workforce, reducing barriers to entry for under-represented groups.
- Understanding of the issues affecting the development of new skills by target cohort
- Other measures to offer development opportunities for the target cohort(s) in the contract workforce
- Advertising, promotional and outreach activities designed to raise awareness of the offer to reach the target cohort
- Understanding of issues relating to entering the contract workforce
- Creation of outreach activities to create a pipeline of employees for the future contract delivery
