Onboarding and offboarding

Getting started
We support users to start using Jam Up! through a clear and accessible onboarding approach (using a simple to use voucher code) for both organisational partners and families.

For organisational partners (such as local authorities, schools, GP practices, family hubs and charities), we provide structured implementation support including clear setup guidance, digital onboarding materials and user guides, optional staff briefings or online onboarding sessions, and ongoing support via email. We also actively support awareness and uptake by sharing information about Jam Up! across local services and networks, including family hubs, schools, charities, child development centres and SEN support groups. This helps ensure as many families as possible are aware of and can access the support available.

For families, getting started is simple. Jam Up! is free to download, and the app includes clear in-app guidance to help users set up routines and begin using features quickly. To further support access, we also provide printed information leaflets and short video guides that show families how to download the app and how to use any free access codes available to them. The app is intentionally designed to be child-friendly, accessible and easy to navigate, helping reduce barriers to engagement from the outset.

End-of-contract data extraction
At the end of a contract, Jam Up! supports secure data extraction in line with data protection requirements.

Individual users (families) retain access to their own data within the app during their active use of the service. Where organisational data has been collected (for example, anonymised usage or evaluation data agreed as part of a contract), we can provide this to the contracting organisation in a commonly used, accessible format such as CSV or Excel.

Data extraction arrangements are agreed in advance with the buyer and are aligned with:

GDPR and UK data protection legislation

Our privacy policy and data processing agreements

The principle of data minimisation

Where required, we can also support the secure deletion of data following confirmation that extraction has been completed.

We aim to ensure that organisations are not locked into the service and that data can be accessed or removed responsibly at contract end.
End-of-contract process
At the end of the contract, Jam Up! follows a straightforward offboarding process agreed with the buyer. End-users will be notified full access to the platform will end. This includes confirming the contract end date, supporting any agreed data extraction, and ensuring data is handled securely in line with GDPR and data protection requirements. Where requested, organisational data (such as anonymised usage or evaluation data) can be provided in a commonly used format (e.g. CSV). Data can also be securely deleted if required.

There are no additional costs at end of contract.
All offboarding activity, including reasonable data extraction and secure closure of the service, is included within the contract price.

The contract price covers access to the Jam Up! service, standard support, onboarding materials, and ongoing support throughout the contract term, with no hidden fees for ending the contract.

Differences between the mobile and desktop service
Jam Up! is primarily designed as a mobile service.

The full user experience is available via the mobile app (iOS and Android), which is optimised for children and families. This includes interactive features such as virtual-pets, routine tools, reminders/notifications, and child-friendly design that supports engagement and accessibility.

A desktop or browser-based experience (via website) is more limited and is typically used for:

Viewing information about the service

Accessing supporting resources

Organisational use (e.g. by professionals signposting families)

Key functionality such as child interaction, routine engagement, and notifications is therefore best experienced on mobile-devices.

User support accessibility
WCAG 2.2 AA
Description of service interface
Jam Up! provides a service interface through its mobile application. The app is the primary interface for children, parents/carers and professionals, enabling interaction with routines, virtual pets, guidance content and reminders.

Organisations access the service primarily by using the app and through supporting materials such as onboarding guides, referral links and resources.

Jam Up! does not currently offer a separate web-based administrative dashboard, but organisational partners are supported through structured onboarding and direct account support from the Jam Up! team.
Accessibility standards
WCAG 2.2 AA
Accessibility testing
As part of our DTAC (Digital Technology Assessment Criteria) process, Jam Up! underwent an independent accessibility audit, which included structured testing of the app interface against recognised accessibility standards.

This assessment considered how the interface performs for users who rely on assistive technologies and accessibility features, including:

Screen readers

Dynamic text sizing

Colour contrast and visual clarity

Touch target size and navigation

Cognitive accessibility and clarity of language

In addition to formal audit testing, Jam Up! has been developed using co-production with neurodivergent children, parents and carers, many of whom use accessibility features on their devices. Their feedback has directly informed interface design, navigation, content presentation and usability.

We continue to iteratively improve accessibility as part of our ongoing development and quality assurance process.

Customisation available
Yes
Description of customisation
Yes, buyers and end users can customise the Jam Up! service within defined parameters using an access code.

Families can personalise a range of features within the app to make the support bespoke to their child and family’s needs. This includes tailoring routines, selecting goals, adjusting prompts and using features in ways that reflect individual preferences, abilities and priorities.

Organisational buyers can customise how Jam Up! is implemented and presented within their service. This can include:

Branded onboarding and support materials (where required)

Tailored staff onboarding sessions

Adaptation of guidance content to align with local pathways

In addition, Jam Up! can develop bespoke features for organisations where there is a clear use case. For example, one local authority Short Breaks service requested features to support families to tidy and clean caravans after use, and to encourage greater engagement in physical activity. We are able to develop such features at additional cost, agreed per project.

Core app functionality remains consistent to ensure safety and quality.

Scaling

Independence of resources
Jam Up! is designed to ensure that one user’s experience is not negatively affected by demand from others. As part of our DTAC (Digital Technology Assessment Criteria) assessment, the service underwent performance and load testing to confirm that it can handle concurrent user activity without degradation in performance.

The platform infrastructure supports scalable capacity, allowing the service to manage increased demand as usage grows. Performance is monitored as part of ongoing service management, and we take a proactive approach to addressing any performance issues.

This ensures that families and professionals experience a consistent, reliable-service even during periods of higher demand.

Availability and resilience

Guaranteed availability
Jam Up! is designed to be highly available and is hosted on resilient cloud infrastructure provided by Amazon Web Services (AWS).

We align with the availability commitments of our cloud providers and aim to provide a minimum service availability of 99.5% per calendar month, excluding planned maintenance.

Planned maintenance is scheduled where possible outside of peak usage times and communicated in advance where it may affect availability.

If availability falls below the agreed level within a contracted arrangement, we will work with the buyer to investigate the issue and agree an appropriate remedy. This may include a service credit or fee adjustment, agreed on a case-by-case basis and proportionate to the impact and duration of the disruption.

We actively monitor service performance and availability and take a proactive approach to resolving issues to minimise disruption to users.
Approach to resilience
Jam Up! is designed with resilience in mind and is hosted on enterprise-grade cloud infrastructure provided by Amazon Web Services (AWS).

Our service benefits from the built-in resilience of these platforms, including:

Hosting across resilient data centre infrastructure with high availability

Redundancy across underlying hardware to reduce single points of failure

Automated monitoring and alerting to identify and respond to issues quickly.

The database is backed up daily and backups are retained for 14 days
The recovery point objective is a maximum of 24 hours data loss in the event of a critical incident, with an average of 12 hours.
The recovery time objective is 8 hours.

Regular backup processes to support data recovery if required

The application is designed to fail safely, ensuring that issues affecting one component do not compromise the wider service. We actively monitor service performance and work with our hosting providers to maintain service continuity.

More detailed technical information about our architecture and datacentre resilience can be provided to buyers on request where needed.
Outage reporting
Jam Up! has a defined process for identifying and communicating service outages.

Service availability is monitored internally using automated monitoring and alerts. If an outage occurs, affected organisational buyers are notified directly by email as soon as reasonably possible, with updates provided until the issue is resolved.

Jam Up! does not currently provide a public status dashboard or outage reporting API. This reflects the scale of the service and the nature of delivery. However, we ensure that buyers are kept informed through clear and timely communication.

For larger deployments or where required by contract, we are open to discussing enhanced reporting arrangements.

Our approach includes oversight of GDPR compliance, supplier assurance for key providers (e.g. AWS), role-based access controls, secure development practices, and incident management processes. We have completed assurance activity as part of the NHS DTAC process and align with the principles of the Software Security Code of Practice.

While not formally certified to ISO-27001, we actively maintain and continuously improve our security-controls as the service develops.
Information security policies and processes
Jam Up! follows documented information security policies and processes appropriate to the scale and nature of the service. These include policies covering data protection and GDPR compliance, access control, incident management, data retention, acceptable use, supplier assurance, and secure development.

Security governance is overseen by senior leadership (CEO-level), with clear accountability for information security and data protection. Security responsibilities are embedded within team roles and reviewed regularly.

We ensure policies are followed through practical measures such as role-based access controls, least-privilege permissions, onboarding guidance for team members, use of secure systems, and ongoing review of access and processes. Security incidents and risks can be escalated to senior leadership and are managed using defined incident management processes.

Our approach is proportionate, risk-based, and aligned with public sector expectations, including the principles assessed through NHS DTAC.

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
Jam Up! follows defined configuration and change management processes appropriate to the scale of the service. Service components such as application code and infrastructure settings are tracked using version control and documented within our development processes. Changes are planned, reviewed and tested before release. Security impact is considered as part of change assessment, including potential effects on data handling and access controls. Access to make changes is restricted to authorised team members only. Where appropriate, changes are tested in non-production environments before deployment to reduce risk and support service stability.

Supplier-defined controls
Vulnerability management approach
Jam Up! uses a proportionate vulnerability management approach appropriate to the service. Potential threats are assessed through secure development practices, review of changes before release, and consideration of risks to data, access and availability. Security patches and updates are applied as soon as reasonably practical, with urgent issues prioritised. Updates are reviewed and tested before deployment. We also rely on the security monitoring and patching provided by our cloud provider ( AWS). Information about potential threats is obtained through provider security alerts, software supplier updates, and relevant security guidance for cloud and digital health services.
Protective monitoring type
Supplier-defined controls
Protective monitoring approach
Jam Up! uses proportionate protective monitoring supported by the monitoring and alerting tools provided by AWS. Potential compromises are identified through provider security alerts, unusual system behaviour, error reports or user concerns. Issues are escalated to senior leadership and investigated promptly. Where needed, access can be restricted and corrective action taken. We aim to respond to security-related incidents as quickly as possible, prioritising urgent issues. Organisational partners are informed where appropriate. This approach aligns with DTAC expectations and public sector good practice.
Incident management type
Supplier-defined controls
Incident management approach
Jam Up! follows defined incident management processes appropriate to the scale of the service. We use pre-defined steps for common incidents such as service disruption or security concerns, including escalation, investigation and resolution. Users and organisational partners can report incidents via email, and issues may also be identified through monitoring alerts or error reports. Where an incident affects a buyer, we provide timely updates and a short incident summary explaining what happened and what actions were taken. This supports transparency, accountability and aligns with NHS DTAC expectations.
