Personas will be defined for key user roles / audiences within the business. These will help define specific functional and non-functional requirements for the new intranet.
Next, a series of workshops and interviews will be completed to define the intranet requirements, structure, and functionality. Workshop outputs will be captured in a requirements matrix and will be prioritised using the MoSCoW system.
Workshops topics include; Discussing know requirements and options for implementing each, Content requirements for locations and business functions / departments, Delivery of news and internal communications including potential integration of Viva Engage and Viva Connections, Homepage components and layout, Document centre content structure and layout (the publication and management of published controlled documents), FAQ’s and “How do I” page options, Overall intranet structure (hubs, sites, and pages) and navigation, Page layouts and page components for key intranet areas, Use of media (images, videos, and icons), Intranet branding, Initial content creation requirements and responsibilities, including the re-use of existing content.

- Workshops are provided for both content editors and intranet owners. The workshops outline all intranet functionality, any associated tasks and how these should be completed. Workshop content is supplemented with a series of “how-to guides”. The guides are created as a SharePoint pages and include annotated screen shots, outing core tasks associated with each role. Topics covered in each guide include; Overview of content editor tasks, Creating a new page and news articles, Adding and editing text, Adding and configuring web parts, managing the organisations media and assets library, Uploading and tagging documents.

All configuration work completed by yoko:10 is subject to functional testing. Test plans are created and reviewed following the creation of the intranet specification document. Testing, in line with the agreed plans, is undertaken as each area of configuration completes.
The intranet pilot phase also provides user acceptance testing (UAT). All pilot / UAT feedback is jointly reviewed by yoko:10 and project stakeholders. Any requests for changes or additions are discussed and agreed before implementation.
