Onboarding and offboarding

Getting started
We can work with your team remotely or on site (though typically we do most of the work remotely). We work with the relevant people in your teams to plan, design and install and configure the LMS structure. We'll do some hands on training as part of this service, to show how to build courses and use the functionality. Then we hand over to you- with our team on hand remotely to help and advise as you start building out your learning platform. Everything is done within a familiar SharePoint or Teams interface, using common Office 365 applications to create content. User documentation and an online knowledgebase are also available to support you.

The content your organisation creates is all owned by you, and can be simply saved or extracted elsewhere. Learn365 is built on top of the clients SharePoint and so all data is stored within SharePoint and can be extracted in the same way in which SharePoint extractions would occur. As a Microsoft partner we can provide export services and SharePoint migrations.
End-of-contract process
Just advise us 45 days before contract end, and we'll close everything off contract wise. We will work with you to determine which information and records you might need to extract for future use.

Learn365 utilises the Microsoft Azure platform for our primary compute platform. This allows the service to dynamically scale based on load, adding additional nodes to the platform when required. In addition, Learn365 utilises dynamic load balancing at the database level to ensure a consistent and low latency service.

In addition to this, we proactively scale our compute and data services based on historical load and demand patterns.

Any learning content is stored on the clients tenant database.

Availability and resilience

Guaranteed availability
The Vendor provides the following commitment:

Learn365 will provide Customer access to the SaaS production application on a twenty-four hour, seven days a week (24x7) basis at a rate of 99.7% (“SaaS Services Uptime Metric”).

The SaaS Services Uptime Metric commences on the start of the Zensai License. “The Go Live Date” is the date at which the customer has activated the license(s).

On a quarterly basis, the SaaS Services Uptime Metric will be measured using the measurable hours in the quarter (total time minus planned downtime, including maintenance, upgrades, etc.) as the denominator.

The numerator is the denominator value minus the time of any outages in the quarter (duration of all outages combined) to give the percentage of available uptime (2,193 actual hours available / 2,200 possible available hours = 99.7 availability).

An “outage” is defined as two consecutive monitor failures within a five-minute period, lasting until the condition has cleared
Approach to resilience
The datacentre is geo-resilient across two or more European Azure datacentres.
Outage reporting
Via the customer forums and support site.

Fighting climate change

“No printing” culture internally

Online platform and online demos/meetings - no need to travel.

We use teleconferencing technology to deliver services remotely.

Covid-19 recovery

Zensai have taken all possible steps to support our staff, partners and community in recovering from the impact of Covid19.

Including:
- Enabling staff to continue working from home as needed or preferred
- Centralising core company systems in the cloud to support flexible working
- Adapting office space usage to suit changing needs
- Providing solutions and advice to customers to support their needs for flexible hybrid workplace solutions, enabling them to return to work safely

Tackling economic inequality

Learn365: Upgrading skill set/ training opportunities.

Flexible work arrangements = to fit the individual need, e.g people located outside the bigger cities.

Fair pay: We are collaborating with a system supplier called - Mercer an organization that grades jobs and salaries globally - and puts the "difficulty" into context.

We support called Girls Who Code - they are on a mission to close the gender gap in technology and to change the image of what a programmer looks like and does.

Education and Skill Development: Investing in education and skill development programs to provide individuals with the tools and opportunities to access higher-paying jobs and improve their economic prospects.

Equal opportunity

- Inclusive recruitment processes - working conditions promote inclusive work conditions (flexible work arrangement, different cultures)
- Using skill-based assessment tasks in recruitment.
- Collection of diversity data (Close to 50/50 men and women)

Wellbeing

We work proactively to promote continuous wellbeing. Weekly check-ins helps the organization have a proactive approach to employee wellbeing, ensuring that they intervene before "problems" escalate.
Mental health: Approximately once a year, we host a mental health initiative - last year, it was a workshop with a mindfulness coach.

We provide opportunities for the employees to learn about how to manage their own mental health Cooperation Committee: We've established a work council consisting of employees and leaders from each location. It serves as a confidential forum where all topics, including wellbeing, can be discussed. It supports our desire for a transparent culture, where employees are involved in decisions and initiatives.

In offering adaptable settings to match the modern workplace, we have built a culture that supports our international workforce. Need to take a call on the train? Or exercise during the afternoon? We support our employees in finding better balance in their work and personal life, while still being a part of the larger company culture.
