Customers are on-boarded on to the platform by first nominating a Workspace Admin. This person will need to create a OnePlanet account and notify the OnePlanet team once this is done. This account will then be upgraded to the Ecosystem package they have purchased, and they will be set as the Workspace Admin for this Ecosystem.

OnePlanet we will arrange a 1-hour on-boarding meeting to support the Workspace Admin with setting up their Ecosystem to ensure it is ready to go.

OnePlanet provides an additional four levels of training and staff support which can be purchased on G-Cloud 14 under Systems-Mapping Consultancy, Training and Support. This can be purchased where further support than that included in the software package is required.

It is the client’s decision to decide how they use their consultancy, training and support hours from their package, our services include: Basic training and resources, Consultancy and technical support, Strategy upload, Workshops, Software integration and custom functionality, and Template creation.

Getting started

End-of-contract data extraction
Users can download all information into a combination of Excel or PDF format. All information entered onto the platform can be easily extracted and downloaded.
End-of-contract process
Three months prior to the end of the contract, the customer is notified that their contract is ending so that they can prepare to purchase a new annual license of the platform. If they do not wish to renew the contract they can extract all of their information from the OnePlanet platform

Description of customisation
The interface can be customised by the user - naming of key headings and departments for example.
If users have their own specific framework or categorisation this can be built out as a 'lens', enabling the user to to view their plans in their desired framework lens.
Users can create and install templates for new plans.
The names of key elements of the platform can also be customised to match the users existing language. Users must contact OnePlanet to create their customised framework lens or rename key elements. Only OnePlanet can edit these elements of the platform.

Availability and resilience

Guaranteed availability
To ensure availability all service providers are monitored for uptime availability from external providers with failover resources also monitored. OnePlanet has no availability guarantee and is unable to refund users if the service is unavailable. On request OnePlanet can provide a report on historical service availability.
Approach to resilience
Redundancy for service outages is incorporated within the design of the data and we can provide customers with geographically resilient hosting options. Further information on how our service is designed to be resilient are available on request.

Role Based Access Control is documented as part of the Information Security Management System Access Register. Change Management and version control is effectively managed through internal policies and procedures. Internal auditing is undertaken whenever significant changes or upgrades are implemented. The auditing applies to all stages of the service provided. We provide documentation of change management procedures under an NDA after written request is authorised by a director.

We commission an external company to scan all Internet facing service endpoint IP addresses for vulnerabilities. Security notifies the appropriate parties to remediate any identified vulnerabilities. Findings and recommendations resulting from these assessments are categorized and delivered to the business and form part of Information Security Risk Management. All critical operating system vulnerabilities are installed within 14 days of issues, 3rd party patches and non-critical updates are also delivered within a 30 day period and typically install within 7 days of issue by vendor.

Internal Auditing is completed regularly through the use of additional software including the assessment of the control environment. Findings and recommendations resulting from these assessments are categorized and delivered to the business and form part of Information Security Risk. Any potential compromises are addressed immediately and the documented standard for patch implementation is Inline with Cyber Essentials including critical operating system vulnerabilities installed within 14 days, this is included within the patching policy which can be provided upon written request.

OnePlanet's incident response program, plans and procedures have been developed in alignment with ISO 27001 standard, and outlines the processes for common events. All data stored on behalf of customers has strong tenant isolation security and control capabilities. Users report incidents directly to OnePlanet. Our Security Incident Response Plan that has been completed inline with ISO 27001 requirements and can include specific requirements needs if requested and authorised by a director. Reports are available upon written request.

Fighting climate change

OnePlanet’s mission is to provide software to enable citizens, companies, and governments to collaborate to tackle climate change, build resilient communities and regenerate the living systems of planet Earth. Therefore, those who use our software will be influenced by us to also work towards these objectives. OnePlanet provides support to help local governments develop, implement and manage their climate and environmental strategies through training and guiding them through the use of our software. Our best practice templates support Local Governments to work towards net zero greenhouse gas emissions in a number of ways. It will allow users to align their climate strategy with other strategies within the local government and identify the co-benefits of environmental action to encourage collaboration across all departments to devise and deliver all the actions needed to fight climate change. The software also enables external stakeholders to create a plan and connect it to the climate strategy which means that suppliers, local businesses and even people in the community can all support environmental protection and improvement. OnePlanet follows the 10 One Planet Living principles, a sustainability framework that helps people live happily within the Earth’s resources. We educate our staff, supply chain and customers on the severity of climate change and influence them to adopt the One Planet Living principles into everything they do to influence environmental protection and improvement. OnePlanet’s employees all work from home which means no commuting and therefore reduces greenhouse gas emissions. It also means we do not require an office space and that the energy that would be needed to run the space is mitigated. If employees are required to travel for work, they are encouraged to make short distances on foot or cycle and longer distances by public transport.

OnePlanet has over 30 years of experience in sustainability and we are always open to give work experience and internship opportunities to anyone with an interest in the industry to develop their skills and progress. One of our employees first started out doing work experience with OnePlanet. They had a strong interest in sustainability but not necessarily the skills and experience needed to break into the industry. After completing their internship with OnePlanet, they were offered a permanent role on the team where they continue to develop their skills. OnePlanet is a small company and has a flat organisational structure to have as little hierarchy possible which leads to better communication between roles, better team spirit, increased collaboration and the ability for employees to work more autonomously. The flat organisational structure is also reflected in the pay structure of the company. OnePlanet employees are based all over the world, therefore, the company offers flexible working hours to all its employees because of the different time zones.

Wellbeing

OnePlanet follows the One Planet Living framework which includes the principle Health and Happiness and therefore understands issues relating to health and wellbeing. Our employees have scheduled into their calendars a walk every Wednesday to encourage them to get outside and moving to contribute to better physical and mental health.
