Configured to locally agreed and national employment regulations; governed by algorithms (Safe staffing), sensible automation. Machine Learning and AI used to support heatmap and redeployment.

As part of the training, all users will receive guidance on how to report an issue or raise a ticket. For example, only certified users will be permissioned to raise severity 3,4 and 5 tickets. Using realtime dashboards, all tickets and issues are tracked and can be escalated or down graded by the technical support team.

Onboarding and offboarding

Getting started
Customers complete a short form on the produqtive.com website. This will give them access to the system as part of a 60 day trial. The website will also navigate the users to the correct location if the solution is to be procured/called off from G-Cloud. Once they are onboarded, customers have the option to request training and access online tutorials in the resource section and on-page video clips. For larger deployments, bespoke manuals can be created. ProduQtive offers other, more complex solutions where onsite training is beneficial. Please note that the adoption plan is a partnership between the client and ProduQtive.

End-of-contract data extraction
Once the end of term notification is issued, the project team is created to liaise with the client and where possible, include the new provider to map the data requirement and then agree to the process to systematically close the service. ProduQtive allocate 1 project manager, 1 technical architect and 1 technical lead to assist in the process. Once data is transferred, all data is purged from the ProduQtive platform, including redundancy and back-up services. Once all data is removed, the client is notified and the service will no longer be available to the customer. Important to note, this service is a charged service on a time and materials basis.
End-of-contract process
End of contract process and charges are not included in the standard license fee and technical support structures. The process is structured as a project and correctly resourced. The charging model is based on time and materials and the client will be in a position to sign off the cost before the process starts. As a minimum, the process will include 1 project manager at £85.00 per hour, 1 technical Architect at £110.00 per hour and 1 Data admin at £76.00 per hour.

Description of customisation
ProduQtive encourages our customers to help us to enhance our solutions. Customisation takes place in 3 levels:
1. During implementation the system is configured using the settings section to match the organisation structure, workflows, terminologies and resource mapping to name but a few.
2. Organsiations can request additional customisation to include branding, Single sign on, access to office 365 settings etc.
3. Customers can also request very bespoke enhancements to make the system "their own"

Important note is that we discount the cost of configuration against the license fees and all bespoke development is also discounted if it adds value to the solution.

The architecture of the ProduQtive platform allows us to fragment the resources and since we use a public hosting provider (azure), we have access to unlimited resources to scale up or down the resources to ensure users are not experiencing any latency when trying to perform a task.

The solution offers a powerful reporting tool to create and maintain reports, which are all exported using excel. Availability and resilience

Over the past 7years ProduQtive maintained a 99% service update with planned down-time scheduled on Sunday mornings at 02:00 am. Users receive one months notice, following by a two week, 3 day and 24 hour reminders.
Approach to resilience
ProduQtive providers services to central government organisations processing highly sensitive personnel data. The redundancy and recovery infrastructure consist of a minimum:
- daily back-ups
- all data is first encrypted then electronically shipped to a different location (UK)
- Daily back up retained for 10 days
- Monthly Back up retain for 18 months
- Annual back-up retained for 7 years

Disaster recovery. In the event of a major disaster, requiring invocation of the service, ProduQtive endeavors to restore the service within 2 hours from invocation with recovery point objective at 12 hours.
Outage reporting
Infrastructure administrators rely on instant messaging provided by the hosting partner to prompt the team on any planned or unplanned service outages. The outage data is directly reported in system and can be viewed by admin users in the settings section of the application.

We find a balance between a flexibility to support our customers at pace and robust procedures:
• A signed and approved Change Request must be submitted for all changes
• All scheduled Change Requests must be submitted in accordance with change management procedures (templates)
