Onboarding and offboarding
- Getting started
-
We provide a structured onboarding process to ensure buyers are set up efficiently and confident using the platform. Onboarding begins once payment is confirmed, at which point our relationship manager (RM) is notified via our internal CRM. The RM reviews the onboarding information, issues a welcome email (including the welcome letter where payment has been received), and arranges an initial welcome call.
A welcome call is held within seven days and provides an overview of the buyer’s package, expectations, training requests, user management, supplier membership, and next steps. Where appropriate, an invitation to a training session is issued.
Training is delivered via Microsoft Teams at a time convenient to the buyer and includes a guided walkthrough of project creation, dashboards, and report tracking. Following the session, the RM records notes in the internal CRM and issues a follow-up email with user sign-up instructions and supporting resources.
User activation is completed once onboarding is finalised. Registration emails are automatically triggered via the internal CRM, and users are activated within Compliance Chain with the appropriate solution access and project limits. - Service documentation

- End-of-contract data extraction
- At the conclusion of a contract, Compliance Chain ensures that users can easily and effectively extract their data, maintaining full control over their information. We have the tools to extract into Excel. This straightforward process allows for convenient access and manipulation of data, enabling users to transition their information into other systems if needed. In addition to exports, all user data within Compliance Chain is captured and managed by Metabase, a robust system that operates in the background. Metabase organises and categorises data, providing a structured and comprehensive overview of all historical and current information. At the end of the contract, users can utilise Metabase to extract their data, benefiting from its advanced data handling capabilities. This includes the ability to pull historic data that has been accumulated over the duration of the contract. These tools ensure that user data can be retrieved in a user-friendly format, facilitating a smooth transition without data loss. Our aim is to provide a seamless data extraction experience, ensuring that all necessary information is accessible/ retrievable at contract termination.
- End-of-contract process
-
At the end of a contract with Compliance Chain,
our process ensures a seamless transition,
whether a client chooses to renew or not. During
the final quarter of the contract, our relationship
manager engages with the buyer to review their
experience and discuss renewal options. If the
decision is to renew, we issue a new contract and
an invoice once it is signed, keeping the account
active without interruption. If a client decides not
to renew, we conduct an exit interview to

understand their reasons and discuss any
potential alternative solutions. Regardless of the
renewal outcome, we ensure that the account is
respectfully deactivated on the contract end date
if no new contract is signed. Prior to deactivation,
we provide all required data and information back
to the buyer. This includes the ability to export
data directly into Excel or via Metabase, ensuring
clients retain full control over their historical data.
Additionally, we issue a customer satisfaction
questionnaire to gather feedback, which helps us
continually improve our services. Importantly,
there are no additional charges associated with
either renewing or exiting a contract, ensuring
transparency and fairness in our pricing
structure.

- Accessibility testing
-
Compliance Chain is committed to ensuring our
service interface is accessible to users with
assistive technologies. While our platform has
implemented several accessibility features—
including high color contrast, legible fonts,
sufficient spacing, accessible forms, and clear
navigation cues—we recognise the importance of
practical testing to validate these measures. We
conduct regular interface testing sessions
involving users with a variety of assistive
technologies such as screen readers and
keyboard-only navigation. These sessions help
us identify any usability challenges and gather
direct feedback from users who rely on these
technologies daily. The insights obtained are
crucial for guiding further improvements to our
accessibility features, ensuring our service
remains usable and inclusive for all users. Our
testing approach is iterative, aligning with
accessibility best practices to meet and exceed
compliance standards. We focus not only on
technical elements like alt tags and code
structure but also on the overall user experience,
ensuring that every interaction with our platform
is intuitive and accessible. - User support accessibility

- Customisation available
- Yes
- Description of customisation
-
Compliance Chain is primarily an off-the-shelf
product, but it does offer limited customisation
options to meet specific user needs. Users can
customise what they report on within our three
key functions: project management, supply chain
management, and social value management. For
project and supply chain management, users can
create customised templates for question sets for
their monthly reports. In the social value
management function, users can import their own
social value measures. Our team assists by
uploading these measures into the system, which
then automatically updates the calculations
necessary for measuring social value. While
Compliance Chain is designed as a ready-to-use
solution, these customisation options allow users
to tailor aspects of the system to better align with
their specific operational needs.
Scaling
- Independence of resources
- Compliance Chain is hosted on Microsoft Azure infrastructure, with CI/CD managed through Azure DevOps. The application architecture supports horizontal scaling through load balancing and can be configured to scale using Azure App Service scaling rules or Azure VM Scale Sets. Additional compute and storage resources can be provisioned based on monitoring of system load, user activity, and performance metrics. We assign additional infrastructure and engineering resources when predefined performance thresholds (CPU, memory, request latency, concurrent users) are reached to ensure consistent performance and availability for all users.

check-ins with a designated Relationship
Manager, with further in-depth training available
at an additional cost. Through these measures,
we remain dedicated to providing reliable service
and ensuring your data’s uninterrupted
availability and security. - Approach to resilience
-
Compliance Chain’s service is designed for high resilience and is fully hosted on Microsoft Azure. Our infrastructure incorporates multiple layers of protection to ensure availability, continuity, and data integrity. Data is stored using geographically redundant cloud storage, safeguarding against regional failures and ensuring availability across multiple locations. Application services are configured with failover capabilities to maintain service continuity in the event of outages or system failures.
All data is backed up daily, with backups retained on a rolling 30-day basis to provide a reliable recovery window. Backups are stored within the primary cloud environment and replicated to a secondary cloud environment to further enhance data protection and recovery capability. This multi-layered resilience approach ensures Compliance Chain can maintain uninterrupted service and protect customer data under adverse conditions. - Outage reporting
-
Compliance Chain employs multiple channels to
report service outages to ensure transparency
and prompt communication. For planned
maintenance, users are informed well in advance
via email and notifications within the platform
itself. In the case of urgent or unexpected
outages, an immediate email alert is sent to all
users, followed by regular updates every few
hours detailing the steps being taken to restore
service. Additionally, we utilise an external third-
party uptime monitoring service,
status.compliancechain.com, which sends email
and text notifications to users immediately if the
service experiences downtime.

Compliance Chain is committed to robust
information security, guided by comprehensive
Information Security Policy Statements. These
policies address evolving security threats and
complex compliance requirements, ensuring the
protection of IT resources and assets. Our
Director oversees the framework, supported by a
Management Team responsible for monitoring,
maintaining, and advising on policy
implementation. Our Information Security
Management System (ISMS) adheres to ISO
27001/2022 standards, the Data Protection Act
2018, and the UK General Data Protection
Regulation, ensuring data integrity, availability,
and confidentiality. The ISMS is continually
evaluated and improved, responding to
environmental changes, technology updates, and
legislative shifts. Incidents are managed through
a structured escalation process: Low-Level Incidents are handled by the Incident Response
Team with standard procedures. Mid-Level
Escalation is triggered for potential significant
disruptions. High-Level Incidents involve top
management and focus on crises potentially
impacting operations or compliance. All
employees, contractors, and third parties must
report security issues through the Head of
Operations’ channels. Non-conformities, security
events, and incidents are investigated, with
corrective actions reviewed and implemented
swiftly to prevent recurrence.

impacts. The Director appoints a Change Owner
to oversee each process, ensuring thorough
consultation and risk evaluation. All changes are
documented, reviewed, and if necessary,
escalated through our Safety & Assurance
Consultant, guaranteeing alignment with our
comprehensive security and management
policies. This approach ensures ongoing
compliance and operational safety. - Vulnerability management type

Workbook. Potential compromises are identified
through regular audits, incident log analyses, and
trend assessments during our biannual internal
audits. Upon detecting a potential compromise,
we swiftly initiate corrective actions, aiming to
resolve incidents with minimal impact. Our
response protocol ensures incidents are
addressed rapidly, typically within predefined
timelines based on severity and impact, aligning
