Support levels
Activ8 have a dedicated Support Team on hand to support you through every step post implementation. We offer all of our customers the same level of support and the cost of that support is included in your licence fee. However, you will be provided with our target times in our Service Level Agreement, along with your login details to our ITSM portal and online help. If you have a requirement for a specific level of support we are happy to discuss this and any additional charges that this may incur.

Our Support Team are available 0900-1700hrs UK Time Monday to Friday (excluding Bank Holidays) and offer support via Email, Online Portal and Step-by-Step online help documentation.

Onboarding and offboarding

Getting started
Activ8 Intelligence will work with you to understand your systems and data that will be in scope to provide an accurate implementation plan, responsibility matrix and timescales to complete integration and training. A project lead will be assigned to manage the implementation process and coordinate communications between you and Activ8’s technical and support teams. We also work with you to support them with their internal roll plan including stakeholder engagement, training, and communications. Full step-by-step online (end user and administrator) help documentation accompanies the illumin8HR product.

End-of-contract data extraction
As you provide Activ8 Intelligence with the data that you would like imported into illumin8HR, you will not need to extract any data to return to you. At the end the contract, Activ8 Intelligence will destroy the data within your illumin8HR implementation and delete your instance. A certificate of data deletion will be provided after contract termination.
End-of-contract process
When it comes to the end of contract process, we will support you as much as possible. We will do so in a controlled manner, with consideration given to business continuity. See Terms and Conditions for full details.

Differences between the mobile and desktop service
There are features in the platform that are designed to be responsive for mobile devices, such as My Metrics and Insights. These are designed with the Line Manager in mind, to provide a high level view of what's on track. The analytics and reporting elements of the platform are designed to be viewed in desktop mode and not on a mobile device due to their complexity. However, part of our 2024/25 UI/UX development will include a refresh on the mobile version.

The Illumin8HR solution is controlled by a defined change control process. This process includes approvals, testing, and roll back plans. All changes are tracked throughout their lifetime. All details on Activ8 Intelligence's change management process can be requested.

Network and hardware monitoring are in place to specifically monitor and prevent potential threats or vulnerability. All emergency patches are deployed immediately, and general patching is maintained at T-1 and tested prior to deployment. If we detect a vulnerability within our systems, we will isolate and take those systems offline within 15 minutes, whilst any remedial work is completed.

These provide our employees with clear guidance on what to do and the reporting structure. You can raise incidents via our online ITSM solution, which has pre-defined processes for common events. You also have the ability to raise an Urgent incident that will follow it’s own SLA process. All communications, from all parties are tracked on the Incident and any fix/resolution details are recorded here also, keeping you informed at all times.

Activ8 has a commitment to reach net zero emissions as a business by 2040. If we can get there sooner, we will. All our workers now work from home, removing all commuting emissions with zero office occupancy. We encourage both internal and external meetings to be ran virtually using digital technology and promote the use of public transportation where necessary for meetings and events. We encourage and incentivise the use of employee car sharing schemes and have rolled out the following measures to further drive our progress towards our goal:

Covid-19 recovery
