Onboarding and offboarding

- PebblePad Onboarding occurs over a minimum three month period and includes implementation planning, integration support, administrator training, user orientation, train the trainer, and learning design support. The Onboarding process is coordinated by our Onboarding Manager and facilitated by the Onboarding team that includes the Implementation Engineer, Learning Developer, Learning Designer and Customer Success Manager. All sessions are conducted online, unless otherwise negotiated, and supported by PebblePad portfolios and workbooks. Onboarding targets key customer staff and focusses on upskilling internal teams who can then train and support users.

In support of our commitment to lifelong and life-wide learning, students and all learners have the option to either export their assets as PDFs or convert their accounts to free Alumni accounts upon graduating. Converting their account will make their assets available to them via a personal PebblePad account which is independent of their institutional one. The alumni account has all the tools of the institution account and learners can continue to edit and add to their existing assets as well as creating new ones.
They will have access to this Personal Account for free for as long as the institution licenses PebblePad and for three years thereafter. At this point they can choose to retain their Personal Account for a low annual fee. A notification will be sent to the user detailing this if a decision is required. - End-of-contract process

In the rare situation that a customer decides to leave we would work in partnership to make the process as smooth as possible. Once we receive a formal notice of the decision decided to terminate, customers they will have 30 days from the contract end date to export any required data. After a further 60 days all data will be removed from our system.
PebblePad is divided into two areas: 1.Assessment (ATLAS), and 2.Personal learning space (Pebble+). For data held within ATLAS assessment data tutors have the option to export any required submissions to PDF. For data held within Pebble+ users have the option to either export their assets to PDF or convert their accounts into Alumni accounts. Converting their account will make their assets available to them via our personal service and is independent of their institutional account. Alumni Accounts are free to all higher education customers during the lifetime of the contract, and for 3 years after end of the contract.

- PebblePad allows full access to mobile devices through the main application which provides a responsive layout appropriate to the device in use. In addition to the responsive web version, PebblePad also has a mobile app for iOS and Android based smartphones. The App is designed to work offline so that users in remote locations can still record and reflect upon their activities, or video/photograph them, and then synchronise them to their personal space when they have an internet connection available.

We are proud to offer a 99.9% uptime guarantee. Where in any annual period we fail to meet our availability commitment you will be entitled to a refund in the form of service credit. The amount of service credit due shall equate to 1% of license fees paid in the annual period for every 0.1% of unavailability, measured across the whole annual period. The annual period commences on the start date as set out in the organisation’s PebblePad license agreement and a new period will commence on the anniversary of the start date. The maximum refund in any annual period will be 20% of the license fees paid in the annual period.
This guarantee excludes circumstances beyond our reasonable control, including, without limitation, outages elsewhere on the Internet that hinder access to your service, unavailability of or interruption or delay in telecommunications or third party services not appointed by Pebble Learning, or other force majeure event issues outside the direct control of Pebble Learning or its appointed agents.
Clients must notify us indicating that they wish to pursue their rights as guaranteed by this SLA within 30 days the service exceeding the guaranteed level of operation. - Approach to resilience

PebblePad is committed to protecting your data and privacy. PebblePad is ISO27001 and Cyber Essentials+ accredited, and is headquartered in England and bound by UK GDPR legislation and European GDPR legislation, some of the strictest global privacy and security legislation.
All data for the UK & EU is hosted in the European Economic Area. Primary hosting is provided by Amazon Web Services (AWS) in Ireland. Our nightly backup hosting for disaster recovery purposes is provided by an alternative hosting partner, Google, and is also located within the EEA and in multiple locations providing enhanced geographic resilience. This adds another layer of resilience and redundancy, that of supplier diversity.
Both hosting partners provide high levels of physical and network security as well as hosting provider diversity. They each maintain an audited security program, including SOC 2 and ISO 27001 compliance. These world-class server providers leverage the most advanced facilities such as power, networking, and security.
Our core team are based within the UK, we do not outsource any element of our engineering, product development nor Client Success functions. All employees are full-time PebblePad staff. Our Information security governance strategy aims to align all business practices to the key principles of our ISO 27001 accreditation, and that are appropriate to our business. Educators are able to distribute workbooks and course materials within the system and provide comments and feedback to support learners, allowing for more flexible ways of learning including distance learning whihc may cut down on transportation costs and CO2 emissions.
