The Engage Web Agent is an AI-enabled webchat service for public-sector organisations. It provides an organisation-wide chatbot across an agreed public website/domain, answering citizen queries using website content and guided flows. Engage supports managed knowledge refresh and optional add-ons for additional domains, internal document knowledge packs and live-agent hand-off.

Service constraints
Planned maintenance, causing downtime, is infrequent and communicated in advance. Maintenance windows are for low traffic periods. The service is accessed via supported web browsers and does not require specialist hardware.
Engage is delivered for one agreed public website/domain; additional domains are chargeable. Knowledge sources are limited to public HTML pages on the in-scope domain; PDFs / content behind authentication excluded unless provided via Knowledge Packs. Knowledge refresh is supplier-managed and supports quarterly or monthly cadence (tier dependent); weekly and customer-triggered refresh are not supported currently.

Onboarding and offboarding

Getting started
Idox provide customer-led supported onboarding through a structured implementation process. We agree the in-scope website/domain, confirm knowledge source boundaries (inclusions/exclusions) and configure the webchat placement and initial hybrid flows. We provide guidance on conversation design, escalation rules (if live hand-off to an agent is enabled), and basic analytics interpretation. A named account contact supports go-live planning and the service desk provides operational support once live. Where required, Idox can provide remote training sessions and written guidance for administrators and service owners.

End-of-contract data extraction
At the end of contract, buyers can request an export of service data and usage reports. Data can be provided in open formats such as CSV and test-based report formats. Where the service includes analytics reporting, summary exports can be provided from the reporting portal or by Idox on request. Data is transferred securely and in line with agreed exit arrangements.
End-of-contract process
Idox supports the offboarding process including (where requested) data export and confirmation of service termination. It is the responsibility of the buyer to remove the web agent from their environment; Idox cannot do this on their behalf. Any off-boarding support included in the contract price is included as standard guidance and data export. If additional support or bespoke services, such as complex data migration, are chargeable. Service termination timelines and any data retention requirements are agreed during offboarding.

Description of customisation
The Engage solution can be tailored across several areas, including fixed conversational flows, AI‑driven flows, knowledge‑base content, custom system connections and integrations. In addition, the chatbot’s look, feel, and personality—such as tone of voice and visual styling—can be configured to align with the organisation’s branding.

Customisation is delivered by Idox based on buyer requirements. Buyers provide content and approval; Idox implements and tests changes, before the buyer tests and approves.

We recognise that information security important in the development and implementation of all systems delivered to our customers, to Idox as a corporate entity, and to our supply chain.

To ensure a consistent and effective approach, we operate an externally audited and certified, organisation wide Information Security Management System (ISMS) which implements and enforces controls on all business functions covering but not limited to information systems, networks, physical environment, incident/threat management, project and contract management and personnel management. 

Our systems and controls are also externally verified and certified annually as part of the ISO 27001 certification process.  Risks raised through internal and external audits are reviewed at management meetings by the Information Security Manager, the appropriate Head of Business and a board representative.

Engage is built using Infrastructure as Code therefore infrastructure and software updates are both subject to our release pipeline and procedures. This approach ensures full tracking coverage for all major components of the service.
Code and built containers are scanned for potential security issues prior deployment to Production environment, this scan takes place per release. We also carry out code level scans on a weekly basis to identify newly discovered vulnerabilities and emerging threats on code level, this enables us to assess and fix vulnerabilities even when no standard release is scheduled.
