Support levels
Exclaimer provides a comprehensive Service Level Agreement (SLA) that defines the level of service a customer is guaranteed to receive when they purchase an Exclaimer solution.

All Exclaimer customers can receive dedicated technical support via the creation of an online support ticket through the Exclaimer portal.

Once the customer has submitted the support request, they receive an email confirmation with more details and will be allocated a unique Support Ticket ID.

The following actions then take place:

1. The case is reviewed and assigned to an Exclaimer engineer who contacts the customer directly.

2. If possible, the engineer will send direct instructions on how to fix the issue. Otherwise, a remote desktop session is arranged according to the Exclaimer Support team’s availability.

3. The date and time of this remote session is confirmed via a separate meeting request.

All support requests are assigned a severity level from 1 to 3 based on the impact that the issue is having on business operations. Severity levels may be changed after initial contact and assessment of the issue from an
Exclaimer Support Engineer.

Onboarding and offboarding

Getting started
Exclaimer provides comprehensive product documentation for Exclaimer solutions. This comes with Getting Started guides, video tutorials and knowledgebase articles. All of this can be found at https://support.exclaimer.com/hc/en-gb.

In addition, our dedicated onboarding team can run users through the entire setup process. They will show them how to aggregate their Azure Active Directory/Google Directory data and make sure that their mail is flowing correctly to Exclaimer's Azure servers.

On-site training is offered to enterprise-level organisations.

End-of-contract data extraction
Exclaimer does not store any data. When a customer subscribes, they grant permission for the service to read user data from their Azure Active Directory/Google Directory. This data is inaccessible to anyone as it is located within an isolated network.

In the event of a contract expiring or early termination, the user may turn off their connectors to stop sending mail to Exclaimer. The only data remaining would be a local database containing outdated aggregated data, which can be removed upon request.
End-of-contract process
The standard contract terms for Exclaimer is 12 months. When signing up for a paid subscription, this gives the user full access to the service. Contracts are automatically renewed every 12 months once the initial 12 months has finished.

Differences between the mobile and desktop service
Exclaimer guarantees that all mobile devices that send email via Microsoft 365 (Office 365) and Google Workspace (G Suite) will have the same high-quality email signatures as desktop users. Users don't need to login to applications like OWA, Outlook for iOS or Outlook for Android either to get signatures added to their emails.

IT administrators can also manage all company signatures via a mobile device so updates can be made on the move.

Customisation available

Description of customisation
Exclaimer lets assigned administrators design customised signature templates using a sophisticated drag-and-drop editor. Once signatures are completed, they can be assigned to different users and departments according to the nature of the business. This cutting-edge editor allows someone to easily create a professional signature design without having to code any HTML. It is simple to update any signature element and all changes are applied in real time. The service also comes with an extensive library of professional signature templates.

Exclaimer also allows you to measure the monetary value of running email signature campaigns with the new Exclaimer Signature Equivalent Advertising Value™ (EAV) Calculator. This is a metric unique to email signature management that quantifies the value of advertising and messaging placed in the signature templates of an organization’s business email messages.

On top of the main solution, customers can access 'Power Ups' that provide additional features designed at improving recipient engagement through professional email signatures to drive customer satisfaction, improve Net Promoter Scores (NPS), and book calendar appointments.

Scaling

Independence of resources
The Exclaimer Azure setup uses load balancing to provide a single network service from our regional Azure servers around the world. The service is situated in load balanced groups for reliability and scalability purposes. Network and application traffic is therefore distributed across a number of different servers.

If one of Microsoft’s Azure servers were to cease operating, our high-availability servers work together to ensure uptime and reliability. Measures are in place to ensure that the service scales with increased number of tenants, maintaining reliability and uptime.

Fighting climate change

Fighting climate change

We do not manufacture any “physical” products as all of our services are accessed either online or via an electronic download. As the procurement process is digital, we create less waste and ensure we have a low carbon footprint. At the same time, it helps Exclaimer as a company to improve cost control. We are proud to say that our carbon footprint is exceptionally low and has been decreasing gradually year-on-year as we invest more resources into our Exclaimer service.

As part of our efforts to continually reduce our impact on the environment, our service utilises Microsoft Azure datacenters located around the world. These datacenters use carbon-neutral servers and Microsoft is committed to using more clean energy to power these every year.
