Provision of help for defining business requirements, enterprise architecture and solution for EDRMS using cloud-based, hybrid or on premise solutions. We can provide experience of implementation of Records Management systems, e.g. Microsoft Compliance Centre or Gimmal. We work with clients to ensure compliance and easy business processes to allow organisations to leverage as much value as possible from their system. We can provide technical assurance/intelligent customer when working with third party vendors, help with procurement or provide solutions ourselves. We also work with clients to improve or upgrade existing systems. Cloud readiness consultancy We work with organisations to understand the cost benefits, security impact and preparation needed to move to Cloud computing. We can prepare business cases and report on the different options available for users. We help clients to prepare a strategy to move to the cloud in line with Government-wide policies and strategies.

How the setup or migration service works
We have worked with various clients and organisations in both the legal and public sectors to implement new or enhanced Document and Records management solutions using a range of software this normally includes the migration of users and content into the new environment. An initial meeting would be held to assess the needs and define the way forward within timescales and budget. We would then work with the client to define the scope of the project.

In terms of a migration offering, we would either work with you to draw up the migration process to manage permissions and data assurance. A plan would be put together to move manageable units of users over to the new environment in line with other project dependencies. An effective test plan and scripts put together to ensure each tranche of migrated data can be signed off by the business owner.
We also work with third party migration tools and suppliers.

We work with your project to establish, as part of the delivery or development process, a standard or testing and benchmarking at the beginning of the process. We work with both Agile and Waterfall approaches. This will normally include:

- Test scenarios and scripts
- Smoke, Unit, Integration and Confidence testing
- Work with the project for User Acceptance Testing
- Benchmark testing with third party tools as appropriate
- Best practices and Governance established at the beginning of the project to ensure system signoff.

How the support service works
We can provide ongoing software development support for existing applications which have been built to a customer’s requirements. This includes legacy applications built in earlier versions of Microsoft technologies (VB6, Classic ASP, .net 1.1), along with more up to date development frameworks (latest .net frameworks, SharePoint, for both Web, desktop and back-end technologies particularly DocuSign, iManage, eDocs, NetDocuments Rest API’s). Our support service allows us to be an extension of your own internal support team. We have an onboarding processes where we review and analyse your existing custom applications and offer a business as usual service for maintaining those applications. We use a ticketing system to allow services request to be raised to the development support team and provide updates and build releases as part of your own maintenance and release processes.

Fighting climate change

We have actively supplied training to our staff and encourage all our teams to engage with good practice, including being aware of our carbon footprint and making steps to change. We work remotely where possible, keeping our carbon footprint due to travel to a minimum. Company cars are 100% electric. We no longer have server farms but have adopted cloud computing as a shared resource for all our work.

Covid-19 recovery

We understand that budgets have been tight following Covid-19 in the public sector, therefore we endeavour to work with departments to ensure that we can work in pragmatic ways to keep costs lower. We prefer to work remotely and expect this to be the case with most projects, unless there is a particular need to be on site, to ensure that expenses are lower and work collaboratively as far as possible to work with your own in-house teams rather than supply duplicate resource. We support staff who are recovering from Covid-19, allowing them to work remotely if they can, or providing support if they are not well enough.

Tackling economic inequality

We endeavour to employ suitably qualified young people to train with us and this currently constitutes 10% of our workforce, with plans to grow proportionally with our growth over the next 18 months. Our remote working policy has also meant that staff do not have to be in London to work with our primarily London based customer base and we now have consultants based in York, Newcastle and other areas of the UK.

We do not expect any of our employees to work long hours and expect them to maintain a work/life balance. Although some projects do demand out of hours working, we do have policies in place to ensure staff do not do this regularly and get adequate days out to make up for this. Overtime is shared among everyone. All are encouraged to take lunch and holidays and we take our duty of care to the people who work with us seriously. We try to get regular “face to face” events in the year to ensure the team works together happily and feels important to the company.
