Onboarding and offboarding

Getting started
Clinked is delivered as a fully managed SaaS service with assisted onboarding and training to help customers start using the platform quickly and effectively.

Onboarding and setup:
Clinked provides assisted onboarding at no additional cost. This includes account provisioning, initial environment setup, configuration guidance, and support with creating workspaces, user roles, and access permissions. Where required, Clinked can also support initial data upload and configuration of integrations.

Training:
Online training and walkthrough sessions are provided to administrators and end users, covering core features, security controls, and best-practice use of the platform. Optional on-site training can be provided for customers who require in-person sessions.

Documentation and self-service support:
Users have access to online documentation, help guides, and knowledge resources covering platform features, administration, and common tasks. Ongoing support is available through the Clinked support service.

This combination of assisted onboarding, training, and documentation ensures customers can adopt and operate the service effectively from the outset.

End-of-contract data extraction
Self-service data extraction:
Admins can export and download their data directly through the Clinked interface. This includes downloading files and folders, along with associated content and records, in commonly used electronic formats. Administrators can organise and retrieve data without supplier intervention.

Assisted data extraction:
If required, Clinked can provide assisted data extraction as a professional service. This may include bulk exports, structured data extracts, or support with organising and transferring data to another system.

After extraction:
Once the customer confirms successful data retrieval, Rabbitsoft securely deletes customer data within a reasonable period, unless retention is required by law.

This approach ensures customers can retrieve their data independently, with optional support available where required.
End-of-contract process
At the end of the contract, customer access to the Clinked service is maintained for an agreed off-boarding period to allow orderly exit and data retrieval.

The customer is notified of contract expiry and the off-boarding process. Administrators can export and download their data using Clinked’s self-service tools. After the customer confirms successful data retrieval, Rabbitsoft securely deletes customer data within a reasonable period, unless retention is required by law. Access to the service is then terminated.

The contract price includes: Continued service access until contract expiry, standard self-service data export, standard support during the off-boarding period, secure deletion of data following confirmation

Additional cost options are: Assisted data extraction, structured exports, or migration support, on-site or specialist exit assistance, professional services requested to support transition activities

Description of service interface
Yes — Clinked provides a service interface that users interact with to access all features. Specifically:

Web-based user interface: a full browser portal for dashboards, files, tasks, groups, and settings.

Mobile app interface: streamlined native app for iOS and Android for on-the-go access.

Accessibility testing
Accessibility considerations are addressed during general UI/UX testing and iterative design, but structured testing with assistive technology users has not been formally undertaken or certified.

This may be reviewed and improved as part of future accessibility initiatives.
API
Yes
What users can and can't do using the API
Clinked provides a comprehensive REST API that enables authorised users to interact programmatically with the Clinked platform. The API is accessed over HTTPS, uses JSON format, and supports standard authentication via OAuth tokens obtained with client credentials or user credentials.

Using the API, users can perform a wide range of actions within an existing Clinked environment. This includes creating, listing, updating and deleting resources such as accounts, members, groups, files and folders, invites, tasks, events, discussions, comments, attachments, shares and notifications. Users can also manage workspace properties, branding, custom domains, integrations and SSO configuration.

Users can set up integrations and automate workflows, for example by synchronising user accounts, uploading files, organising group structures, generating content and managing tasks or discussions via API calls. Administrative actions like updating account settings and managing member roles are supported to the extent allowed by the API and the authenticated user’s permissions.

Limitations: the API does not replace the core service provisioning process; full tenant provisioning and onboarding still require use of the Clinked UI or support engagement. API actions are subject to role-based access controls and rate limits

Customisation available
Yes
Description of customisation
Clinked supports configuration-based customisation to allow customers to tailor the service to their organisational and operational needs.

Customers can configure portal branding (logos, colours, portal layout and domain), workspace and group structures, user roles and access permissions, notification settings, collaboration features, and content organisation. Enterprise customers may also enable additional branding options, single sign-on configuration, and optional white-label mobile applications.

Customisation is primarily performed through the Clinked administrative interface. Authorised administrators can create and manage workspaces, configure branding, control access rights, set collaboration rules, and organise content structures. Where enabled, some configuration and automation actions can also be performed via the Clinked API. Assisted configuration can be provided during onboarding or as part of professional services.

Only authorised customer administrators can apply customisations. End users are limited to actions permitted by the roles and permissions assigned to them. Certain advanced or infrastructure-level changes (for example private cloud deployment or bespoke configurations) are managed by Rabbitsoft as part of an agreed onboarding or support engagement.

Scaling

Independence of resources
Clinked is delivered as a scalable, multi-tenant SaaS platform designed to ensure one customer’s usage does not affect others. The service is hosted on elastic cloud infrastructure with load balancing, automatic scaling and continuous performance monitoring. Customer environments are logically segregated, with access controls enforced at the application and data layers. Operational controls such as capacity management, rate limiting and automated failover are used to manage demand and prevent abnormal usage from degrading the service. These measures ensure consistent performance, availability and security for all users.

Availability and resilience

Guaranteed availability
Clinked provides a monthly availability target of up to 99.8% uptime, depending on the subscription plan selected.

Higher-tier plans include a Service Level Agreement (SLA) covering service availability. The SLA measures uptime on a monthly basis and excludes scheduled maintenance and events outside the supplier’s reasonable control.

Service credits and refunds

If the guaranteed availability level is not met:

Customers may be eligible for service credits, applied against future subscription fees

Credits are issued in line with the SLA terms for the affected billing period

Cash refunds are not provided; remedies are limited to service credits as defined in the contract.

Availability commitments and remedies vary by plan and are detailed in the applicable SLA or contract terms.
Approach to resilience
Clinked is designed as a cloud-native, resilient service using established infrastructure patterns to maintain availability and protect customer data.

The service uses:

Redundant infrastructure components to remove single points of failure

Auto-scaling and load balancing to manage fluctuating demand

Continuous monitoring and alerting to detect and respond to issues quickly

Regular backups to support data recovery in the event of failures

Datacentre resilience

Clinked is hosted in third-party cloud datacentres that provide:

Multiple availability zones within regions

Redundant power, cooling, and network connectivity

Physical security and resilience controls aligned with recognised industry standards

Detailed architectural and datacentre resilience information can be provided on request, in line with security best practice.
Outage reporting
Clinked reports service outages and availability through a combination of a public status dashboard, API monitoring, and direct customer notifications.

Public dashboard:
Clinked provides a real-time, publicly accessible service status dashboard showing current platform health, component status, and historical uptime.

API monitoring:
Clinked’s API availability is continuously monitored and its status is reported through the public status service, providing visibility of API performance and incidents.

Email notifications:
Customers are notified by email of significant service incidents and unplanned outages. Updates are provided during major incidents and when service is restored.

Support channels:
Customers can report issues and receive outage updates through Clinked’s support service. Enterprise customers also have access to telephone support during incidents.
