GeoSpaces is a cloud-hosted SaaS platform accessed via a modern web browser. The service depends on the availability of an internet connection and compatible sensor hardware where physical monitoring is required. Planned maintenance is scheduled outside normal business hours wherever possible. Unplanned maintenance may occasionally be required, with customers given reasonable notice. Hardware installation, network connectivity, and onsite services are optional and delivered separately where required. Support is provided during UK business hours unless otherwise agreed.

We support users through a structured onboarding process that can include onsite training, remote training sessions, and comprehensive user documentation.

During onboarding, our team works with customer stakeholders to configure the service, set up users, and align workflows with operational requirements. Training is tailored to user roles and can be delivered in person or online.

End-of-contract data extraction
GeoSpaces provides structured access to all customer data at end of contract. Data can be exported directly from the platform using built-in export tools in common formats such as CSV .

Where required, customers can also extract data via the GeoSpaces API, enabling bulk download or integration into third-party systems. Data exports can be provided during the contract term and for an agreed period following contract termination.
End-of-contract process
Following a formal request to terminate the licencing agreement,
Geosphere will cease to provide the service on the agreed termination
date in accordance with the licence terms.

Geosphere will provide data exports by email or FTP file transfer in an
agreed-upon common format for up to three months after termination.
Off-boarding costs are not covered by the pricing document but can be
provided separately by our Professional Services team, depending on any
specific requirements.

GeoSpaces provides secure REST and Web Feature Service (WFS) APIs for accessing environmental, occupancy and asset data captured by the platform.

The API supports read-only data access for reporting, analytics and integration with third-party systems such as asset management, compliance and business intelligence tools. Core configuration, user management and system administration are managed via the web interface.

API access is read-only by default. Any write access, automation, or bespoke integrations are agreed on a customer-by-customer basis.

Description of customisation
GeoSpaces can be customised to meet customer operational, regulatory, and reporting requirements.

Customers can configure the service through the platform interface, including thresholds, alerts, dashboards, roles, reporting views, and the upload and management of building floorplans to support spatial context and visualisation.

The platform supports integration with LoRaWAN and other IoT devices where vendors provide documented APIs and integration processes. Device onboarding and data ingestion are supported via standard integration patterns, subject to technical validation.

More advanced customisation, including bespoke reports, data models, workflows, floorplan-linked analytics, and API integrations, is delivered by GeoSphere engineers working with the customer. Customers with appropriate SQL capability can also develop their own reports.

All structural or functional changes are controlled, documented, and delivered via GeoSphere’s professional services to ensure security, performance, and platform integrity.

Independence of resources
We prevent impact through tenant isolation and resource governance. Each tenant has quotas and rate limits at the API boundary, and workloads run with CPU/memory limits to prevent resource starvation. Batch processing is separated from interactive traffic using dedicated worker pools and queues. The platform scales horizontally and operates with planned capacity headroom. We monitor per-tenant and platform metrics (latency, errors, throughput, saturation) and alert on abnormal usage. If a tenant exceeds limits, throttling is applied to that tenant only.

Availability and resilience

Guaranteed availability
GeoSphere commits to using commercially reasonable efforts to make the GeoSpaces service available 24 hours a day, 7 days a week (excluding planned and emergency downtime).

GeoSpaces is hosted on Amazon Web Services (AWS) within UK regions, using highly available, resilient cloud infrastructure. GeoSphere aims to achieve a minimum service uptime of 99%, aligned with AWS availability targets.

Planned maintenance is scheduled in advance, with a minimum of 7 days’ notice provided to customers wherever possible. Emergency maintenance may be performed where required to protect service integrity or security.

Where required, GeoSpaces can be deployed to support access from UK public sector approved networks, including the Public Services Network (PSN), subject to customer requirements and network accreditation.

Contractual service levels, availability commitments, and any associated service credits or penalties are agreed on a contract-by-contract basis.
Approach to resilience
The application is load balanced to allow for variable traffic and also
provides global DDoS protection. Backend components are able to scale
both vertically and horizontally. Despite the proactive measures taken,
backups are taken daily and disaster recovery exercises are carried out at
least every 6 months.

Geosphere follows the Group ISMS aligned to ISO/IEC 27001/27002, which is certified at parent company level. Geosphere adopts the Group’s security policies and operating processes, including risk assessment, access control (least privilege/MFA), secure development and change control, vulnerability and patch management, logging and monitoring, incident response, supplier assurance, backup and disaster recovery testing, and staff security training.
