- Our service integrates with school information systems via Wonde, a widely used and secure data aggregation platform. Schools that do not already have a Wonde connection can set one up at no cost, and onboarding is typically quick. Aside from this integration requirement, there are no specific service constraints, hardware limitations, or planned maintenance arrangements that would impact buyers.
- System requirements
- MIS compatible with Wonde; no additional software or hardware required.

Onboarding and offboarding
- Getting started
- Equipple offers a free 30 day trial and online support during this process. We also provide a full support portal of videos and articles to support end-users with each task. Onsite training is then provided for schools availing of the 'Max' tier to ensure that teachers and leaders are getting the most out of the software.

- End-of-contract data extraction
-
At the end of a contract, users can extract all of their data. Upon request, we provide a full data export in a structured format (e.g., ZIP file containing all records) delivered securely via encrypted transfer.
We provide support during this process to ensure data is transferred smoothly and without loss and no additional fees apply for standard data export. - End-of-contract process
- Once a contract expires Equipple retains the school's information for 90 days and then securely deletes the data.

- How the documentation is accessible
-
Our onboarding and offboarding documentation is designed to be accessible to all users and follows WCAG 2.2 AA and EN 301 549 principles. All written guidance is provided in clear, plain English with consistent structure, headings and descriptive labels. Images and screenshots include meaningful alt text, and videos are supplied with captions and transcripts.
PDF versions are tagged for accessibility, with logical reading order and bookmarks for straightforward navigation. We ensure adequate colour contrast, scalable text, and avoid relying solely on colour to convey meaning. Interactive elements—such as walkthrough videos and setup checklists—are also designed to support assistive technologies.
Overall, users can choose the format that best suits their needs, and our documentation remains accessible throughout the full onboarding and offboarding process.

Scaling
- Independence of resources
-
We ensure consistent performance for all users through a combination of modern cloud infrastructure, load balancing, and automatic scaling. Our platform is hosted on a scalable cloud environment that monitors real-time demand and dynamically allocates additional compute and storage resources whenever required. This prevents any single customer’s usage from impacting others.
Resource isolation techniques are also used to protect critical operations so that high demand from one organisation does not reduce service quality for others. This approach guarantees predictable performance during peak periods.

Security governance

- Security governance approach
- We approach data governance extremely seriously. We have completed Cyber Essentials for all staff and are currently undertaking ISO27001 audits and pen testing.
- Information security policies and processes
-
We follow a comprehensive Information Security Management System aligned with ISO/IEC 27001:2022 and SOC 2 controls. Our policies cover access control, data protection, encryption, incident response, business continuity, vendor management, and secure development.
Information security is overseen by our Security Lead, who reports to the executive team. Policies are enforced through mandatory staff training, role-based access controls, audit logging, regular risk assessments, and independent third-party audits. Compliance is monitored continuously, with incidents escalated through a defined reporting and response process. - Software Security Code of Practice
- Yes
Operational security
- Configuration and change management standard
- Supplier-defined controls
- Configuration and change management approach
-
We use a structured configuration and change management process aligned with ISO 27001 and SOC 2 practices. All service components are tracked throughout their lifecycle in a configuration management system, including ownership, version history, and deployment status.
Changes follow a formal workflow: they are logged, risk-assessed, and reviewed for potential security impact before approval. High-risk changes undergo additional security review and testing in a controlled environment. All production changes require authorised approval, are monitored during deployment, and are fully auditable through automated logging and version control. - Vulnerability management type
- Supplier-defined controls
- Vulnerability management approach
-
We operate a continuous vulnerability management process aligned with ISO 27001 and SOC 2. Potential threats are assessed through automated vulnerability scanning, dependency monitoring, penetration testing, and ongoing risk assessments. We track threat intelligence from reputable sources such as vendor security advisories, CVE/NVD feeds, and industry security communities.
Patches are prioritised based on severity: critical vulnerabilities are typically addressed within 24–48 hours, with high/medium issues scheduled into the next secure release cycle. All fixes are tested before deployment, and remediation progress is fully logged and reviewed as part of our security governance. - Protective monitoring type
- Supplier-defined controls
- Protective monitoring approach
-
We use continuous protective monitoring across our infrastructure and applications. Potential compromises are identified through automated alerting from log analysis, intrusion detection, anomaly monitoring, and behaviour-based threat detection. Suspicious activity is escalated to our security team through a defined incident workflow.
When a potential compromise is detected, we immediately investigate, contain, and remediate the issue, using predefined incident response procedures. Initial triage begins within minutes, and confirmed security incidents are handled according to severity, with critical incidents addressed immediately and tracked through to full resolution and post-incident review. - Incident management type
- Supplier-defined controls
- Incident management approach
-
We operate a formal Incident Management process aligned with ISO 27001 and SOC 2. We maintain pre-defined playbooks for common events such as service outages, security alerts, data access issues, and performance degradation.
Users can report incidents through our support portal or by email, which automatically logs the issue into our ticketing system. Each incident is triaged, assigned a severity level, and handled by the appropriate team.
We provide incident reports on request or for any significant event. Reports include a timeline, root-cause analysis, impact assessment, actions taken, and preventive measures to avoid recurrence. - Post-quantum cryptography secure
