- Accessibility testing
-
The service interface has undergone extensive testing with users of assistive technologies, including screen readers, keyboard navigation, voice recognition software, and magnification tools. We conduct both internal accessibility testing and user acceptance testing with real users who rely on assistive technology to ensure all course content, menus, forms, and interactive elements are fully navigable and operable. Issues identified during testing are documented, prioritised, and resolved promptly. Accessibility improvements are also guided by WCAG 2.2 AA standards and EN 301 549 where applicable.
Additionally, we run periodic audits using automated accessibility tools alongside manual checks by accessibility specialists. Feedback from learners and instructors with disabilities is actively collected and used to enhance the interface.
This approach ensures that learners with visual, auditory, cognitive, or motor impairments can effectively access courses, complete assessments, and participate in interactive activities. Administrative tasks, such as reporting and user management, have also been reviewed to confirm usability for staff using assistive technology. Accessibility considerations are incorporated into ongoing development, updates, and new feature releases to maintain an inclusive experience across the platform. - API

- Description of customisation
-
Users can customise the service in areas such as course content, learning pathways, branding (e.g., logos and colour schemes), and user roles and permissions. Customisation is carried out via the platform’s web-based administration interface. Authorised users, typically administrators or managers assigned by the buyer, can create, modify, or remove courses, set enrolment rules, assign roles, and configure learning pathways to suit organisational needs. Branding elements such as logos and colours can also be updated to align with the organisation’s identity.
Some system-wide settings, core platform features, and underlying software behaviour are fixed and cannot be customised by users; these must be managed by adaptiVLE administrators. Documentation and guidance are provided to ensure that users make customisations correctly and in line with platform best practices. Training and support for administrative users are available to help them effectively use customisation features.
Scaling
- Independence of resources
- AdaptiVLE guarantees independence of resources by providing dedicated servers for each client, ensuring that performance is fully isolated and unaffected by other users. Combined with load balancing, scalable cloud infrastructure, and routine monitoring, this approach ensures reliable access and consistent system performance. Scheduled maintenance and updates are carefully planned to minimise disruption, keeping client learning environments stable even during periods of high overall platform demand.

Availability and resilience
- Guaranteed availability
-
We guarantee 99.9% uptime for our platform, 24/7, 365 days a year, excluding scheduled maintenance. Unavailability is defined as a user’s complete inability to access the service due to hardware failure or sustained packet loss exceeding 50% for at least 15 consecutive minutes.
If availability falls below 99.7%, service credits are applied as follows: 1–4 hours of unavailability = 1 day’s fees credited, 4–48 hours = 2 days’ fees credited, 48–96 hours = 5 days’ fees credited. Users are notified promptly of outages and provided with cause, impact, and resolution information.
Our hosting infrastructure is ISO/IEC 27001 certified, GDPR compliant, and located in secure UK-based data centers. In the event of extended outages due to hardware failure, adapiVLE will transfer the customer’s environment to alternative hosting hardware to restore service with minimal disruption. - Approach to resilience
- AdaptiVLE is designed with resilience as a core principle. Each client is hosted on dedicated servers, reducing the risk of impact from other users. Our primary datacentre is ISO/IEC 27001 certified and GDPR compliant, with geographically redundant backup infrastructure to maintain continuity in the event of hardware or network failures. Data replication and automated failover systems ensure minimal service disruption. All systems are continuously monitored, with proactive maintenance and alerts for any anomalies. Detailed resilience architecture, including backup locations and failover procedures, is available on request to maintain security and operational confidentiality.
- Outage reporting
- AdaptiVLE provides timely outage reporting to ensure clients are fully informed. All outages are reported via our email-based help desk system, notifying the client’s designated technical contact with details including cause, affected systems, and estimated resolution time. Post-incident summaries are provided once the service is restored, detailing the root cause, corrective actions taken, and measures to prevent recurrence. Clients can also request reports on outages over the past 30 days. While there is no public dashboard or API for outages, dedicated communication channels and proactive notifications ensure transparency and allow clients to manage their operations effectively during any service disruption.

- Information security policies and processes
-
AdaptiVLE follows a structured set of information security policies aligned with ISO/IEC 27001 and UK GDPR requirements. These policies cover access control, data protection, incident management, business continuity, change management, and acceptable use.
Responsibility for information security sits with senior management, who oversee the implementation and ongoing effectiveness of security controls across the organisation. All staff are required to comply with documented policies and report any security incidents or suspected issues via the central help desk system.
Policy adherence is supported through mandatory staff induction and refresher training, controlled access permissions based on role, regular access reviews, and periodic internal audits. Technical safeguards such as system logging, monitoring, and secure configuration management are used to support and evidence compliance.
Third-party suppliers are assessed for security and data protection considerations prior to engagement and are contractually required to meet equivalent security standards. Any security incidents trigger a defined escalation and response process, including investigation, remediation, and reporting where required. - Software Security Code of Practice

Operational security
- Configuration and change management standard
- Supplier-defined controls
- Configuration and change management approach
-
AdaptiVLE uses documented internal configuration and change management processes to control changes across the service lifecycle. Service components are tracked through version control, deployment records, and infrastructure documentation from implementation through decommissioning. All changes are logged and reviewed before deployment.
Changes are assessed for potential security and operational impact, including effects on availability, data protection, and access controls. Where relevant, changes are tested in non-production environments prior to release. Emergency changes follow an expedited approval process and are reviewed retrospectively to ensure security and stability are maintained. - Vulnerability management type
- Supplier-defined controls
- Vulnerability management approach
- AdaptiVLE monitors potential threats through trusted sources, including vendor security advisories, industry alerts, and cloud provider notifications. Vulnerabilities are assessed for severity and impact on our services, and patches or mitigations are prioritised accordingly. Critical issues are patched immediately where possible, with lower-risk updates scheduled within standard maintenance windows. All updates and changes are tested in a controlled environment before deployment to production. This process ensures that services remain secure, resilient, and available to users while maintaining operational stability. Monitoring and patching activities are continuously reviewed for effectiveness.
- Protective monitoring type
- Supplier-defined controls
- Protective monitoring approach
- AdaptiVLE continuously monitors system logs, access patterns, and network activity to identify potential compromises. Automated alerts and anomaly detection tools flag unusual behaviour for immediate review. On detecting a potential incident, our security team investigates and contains the threat promptly, following predefined escalation procedures. Critical incidents are responded to immediately, while lower-severity issues are addressed within agreed operational windows. All incidents are documented, and mitigation measures are applied to prevent recurrence. Regular reviews of monitoring processes ensure detection methods remain effective and up to date.
- Incident management type
- Supplier-defined controls
- Incident management approach
- AdaptiVLE has pre-defined processes for common incidents, including service outages and security events. Users report incidents via the email help desk (support@adaptivle.co.uk) or by phone. Each incident is logged in the ticketing system, assigned a priority, and tracked until resolution. Post-incident, a summary report is provided to the client, detailing the cause, actions taken, and measures to prevent recurrence. Critical incidents are escalated immediately to ensure rapid response, while all incidents are reviewed regularly to improve response times and update processes.

Our ISO/IEC 27001 certification covers core information security for our Moodle SaaS services, including hosting, configuration, access control, encryption, monitoring, vulnerability management, incident response, and backups.
Areas not covered include physical security at client sites or third-party offices, development work outside the certified management system, and SaaS applications we do not manage. ISO/IEC 27001 also excludes financial or operational risks unrelated to information security.
For these areas, we apply internal security controls and secure development practices to ensure client data and services remain protected, resilient, and aligned with industry best practice, even outside the formal scope of the certification. - ISO 28000:2022 certification

- What the ISO 9001 doesn’t cover
- While adaptiVLE utilises ISO 9001 to ensure consistent quality management and customer satisfaction, we recognise its limitations in a cloud procurement context. ISO 9001 does not mandate the specific information security controls required to protect data (which are covered by our ISO 27001 alignment and Cyber Essentials certification). We treat ISO 9001 as our foundational quality layer, supplemented by our security and technical certifications to ensure full framework compliance.
