Getting Started with Publisure
Publisure is designed to help organisations rapidly adopt and use the platform while maintaining compliance, security, and operational efficiency.
Information Governance: Publisure supports strict data security and compliance requirements, ensuring all communications meet GDPR and NHS information governance standards. Users can manage consent, audit trails, and secure access from day one, providing confidence that sensitive data is protected during setup and ongoing use.
Networked Topology: The platform operates in a cloud-based SaaS environment, which simplifies deployment across networked topologies. There is no requirement for local hosting, and integration with firewalls, SSO, or Active Directory is straightforward, enabling seamless connectivity with existing enterprise systems.
System Administration: Administrators can configure user roles, messaging workflows, and branding through Publisure’s intuitive administration interfaces. Integrations with hybrid mail, digital communication providers, and third-party APIs are managed via comprehensive Document APIs, allowing secure automation of message delivery.
User Adoption: Publisure provides a combination of onsite and online training, as well as detailed user documentation, to support adoption.
Training covers message creation, template management, auditing, and reporting, ensuring users can confidently send communications across multiple physical and digital channels using simple least cost, auditable workflows. - Service documentation

Publisure allows customer data to be securely catalogued, indexed, and extracted using built-in, standardised export routines.
All communications, templates, audit logs, and user activity are stored in structured formats, with metadata applied to enable easy indexing and search. This ensures each record can be accurately tracked, filtered, and retrieved while maintaining information governance and compliance standards such as GDPR or NHS requirements.
Standard export routines allow administrators to select specific datasets or time periods for extraction, producing outputs in common formats such as CSV, XML, or JSON. These formats are compatible with other systems, enabling secure migration or analysis without needing custom tools. All extraction processes are logged, providing a full audit trail of who accessed data and when, preserving accountability.
For organisations with more complex requirements, the Document API can be configured to programmatically query, filter, and export large volumes of data in a controlled and secure manner. Combined with role-based access controls and encryption in transit, this approach ensures that sensitive customer information is protected throughout the cataloguing, indexing, and extraction processes, giving organisations confidence in data portability and security. - End-of-contract process
-
Standard and Custom Data Exports
Publisure includes standard data export routines as part of the subscription or contract price. These exports cover commonly required datasets—such as communications history, templates, user activity, and audit logs—using built-in tools or standard formats (CSV, XML, JSON). This ensures customers can securely catalogue, index, and extract their data as part of routine operations without additional cost.
For non-standard or customised data exports, such as tailored reports, complex queries, or data transformations outside the scope of the standard routines, additional charges may apply. This allows Publisure to provide specialist support or development resources to meet unique requirements, while keeping the base service predictable and cost-effective.
In all cases, both standard and custom exports maintain security, compliance, and auditability, ensuring that sensitive information is protected and fully traceable throughout the extraction process. Customers can therefore rely on Publisure for routine data portability as part of their contract, while retaining the option for bespoke extraction services if their needs go beyond standard operations. - Documentation accessibility standard

Publisure is committed to developing user interfaces that support those with disabilities that require assistive technology
For example, that means you should be able to:
• change colours, contrast levels and fonts using browser or device settings
• zoom in up to 400% without the text spilling off the screen
• navigate most of the website using a keyboard or speech recognition software
This covers our user based client interfaces including our intelligent print driver, Post Box and Publisure Lite applications
Conformance status
The Web Content Accessibility Guidelines (WCAG) defines requirements for designers and developers to improve accessibility for people with disabilities. It defines three levels of conformance: Level A, Level AA, and Level AAA. The Publisure print driver known as POD, user PostBox and Publisure Lite interfaces are conformant with WCAG 2.2 level AA.
Known Limitations
The current iteration of our MailCentral platform (v8.1) provides accessible user interfaces for all user based submission, management and receipt of digital documents via Publisure Lite. It currently excludes the back office administration interfaces used to initially set up and configure the MailCentral application. - API
- Yes
- What users can and can't do using the API
- Publisure leverages Postman to guide customers through its API, providing a clear, interactive way to set up the service and manage communications programmatically. Using Postman collections, users can see example requests, configure their accounts, and make updates such as adding users or adjusting message workflows directly through the API. While the API enables extensive control over communications, certain system-level settings—like enterprise-wide configurations or security policies—must still be managed through the Publisure platform interface, as these cannot be modified via the API. This ensures secure, compliant operation while giving customers flexible programmatic access for day-to-day updates.

Publisure allows System Administrators to configure and customise the platform to reflect their corporate branding, ensuring a consistent look and feel across all communications.
It can integrate with the customer’s Single Sign-On (SSO) or Active Directory, replicating existing organisational structures for seamless user management.
The platform also leverages existing integrations with hybrid mail and digital communication providers, while offering flexible API support to connect with third-party communication channels, enabling organisations to unify and streamline all their messaging workflows in one secure, centralised system.
Most system configurations and customisatoin is handled through Publisure’s intuitive administration interfaces, providing administrators with granular control over user permissions, message workflows, templates, and branding settings. Integrations with external systems, including hybrid mail providers and digital communication platforms, are managed via Publisure’s comprehensive Document API interfaces, enabling secure, programmatic access for automated message creation, delivery, and tracking across multiple channels.
Scaling
- Independence of resources
- Publisure’s hosted solution in Microsoft Azure is designed for scalability and resilience, ensuring that each customer experiences consistent performance regardless of overall system demand. By leveraging Azure’s cloud infrastructure, the platform can dynamically scale compute, storage, and messaging resources to handle spikes in communications traffic without affecting other users. This multi-tenant architecture with isolated resource allocation ensures that one organisation’s high-volume activity—such as sending bulk SMS or hybrid mail—does not impact the performance, reliability, or availability experienced by other customers. Combined with Azure’s built-in redundancy, load balancing, and monitoring, this approach provides organisations with a secure, robust, and predictable service.
